Start with CISA’s no-cost guidance and tools, then pay for software or managed support only where it fills a specific gap your team cannot cover.
What should a small business evaluate?
Compare tools by what they protect and what happens when something goes wrong. A product that covers one account or device may leave cloud services, other endpoints or recovery processes untouched.
- Coverage: Which user accounts, devices, cloud applications, data and logs are included?
- Security strength: Does it support phishing-resistant MFA? For outside providers, can you require MFA and limit permissions to what their work needs?
- Recovery: Can you retrieve the data and system configurations you need, including from a copy kept apart from your network?
- Operational fit: Who configures and updates the tool, watches alerts, and decides what to do when one fires?
- Cost and overlap: What do your existing services already provide, and can a no-cost CISA resource meet the need?
CISA’s small-business resources address phishing, strong passwords, MFA, software updates, logging, backups, encryption and incident-response planning. They are a useful U.S. government baseline, not legal or compliance advice for every jurisdiction.
How can MFA reduce account risk?
Require multifactor authentication wherever it is available, and choose the strongest method your accounts and devices support. CISA says, “MFA is a simple way to increase your business’s digital security.” Its listed methods, from strongest to weakest, are:

CISA identifies a physical security key as its strongest listed MFA method and says it provides the best phishing protection among those options. A FIDO security key is a relevant physical-product category; YubiKey is an example CISA names, not a guarantee of compatibility with every setup. Before buying, check the key’s standards and connector, supported devices and identity provider, and how your organization will recover accounts if a key is lost.
What makes backups useful for recovery?
A backup is valuable only if the business can retrieve and restore what it needs. CISA’s guidance for managed service providers (MSPs) and small and medium businesses recommends automatically and continuously backing up critical data and system configurations, including an air-gapped copy stored apart from the organization’s network.

- Identify which business data and system configurations are critical.
- Know where each copy is stored and who can access it.
- Keep a retrievable copy separated from the network.
- Decide who is responsible for restoring systems and data.
Backup software is one component of readiness, not a recovery plan by itself. The cited guidance does not establish a particular recovery-time target or prove that any named product will defeat ransomware.
What should logging and monitoring include?
Logs help only when someone collects relevant events, reviews them and can act on what they find. CISA recommends deciding what to log and enabling logs across relevant servers, firewalls, endpoint devices and cloud services. Where practical, centralize the logs; set alerts for high-risk activity; review them regularly; and restrict access so records cannot be changed or deleted without authorization.

Assign responsibility before an alert arrives. CISA advises designating a crisis-response team and points of contact for technology, communications, legal matters and business continuity. For a no-cost starting point, CISA offers Logging Made Easy. Whether a tool is sufficient depends on the systems covered and the people available to operate it.

Managed IT or security support may fit when nobody on staff has the time or expertise to configure controls, monitor logs, maintain systems or coordinate response. Treat the provider as part of your security design: require MFA for provider access and grant only the permissions needed for the work. Agree who reviews alerts, who can authorize changes and how incident contacts are reached. The right choice depends on your systems and available staff; the cited CISA guidance does not endorse a specific provider.
