No—not for a meeting you have already sent. Microsoft’s documented organizer workflows save changes to a sent meeting by sending an update to attendees. If you cannot notify them, leave the sent meeting unchanged. You can save a new, unsent invitation as a draft, but that is different from silently editing an invitation already on calendars.
What happens when you edit a sent Outlook meeting?
A meeting invitation is shared information, not just a private calendar entry. When you change a meeting you organized, Outlook’s documented save controls also send the changed information to invitees. In classic Outlook, Microsoft says you must send an update to save changes to a meeting you created. The exact control varies by client, but Microsoft does not document a supported silent-save option for an already-sent meeting. If attendees need the correct time, location, or other details, send the update. If no attendee should be notified, do not save the change to the sent meeting. In a shared-calendar scenario documented by Microsoft, closing without saving discards the edits; do not assume an unsent change was retained.
Send the change using your Outlook client
New Outlook for Windows
- Open the meeting you organized from your calendar.
- Edit the meeting details.
- Select Save or Send. Outlook saves the change and sends updated information to invitees.
Classic Outlook for Windows
- Open the meeting you created from your calendar and edit it.
- Select Send Update to save and notify attendees.
For a recurring meeting, Outlook may ask whether to open one occurrence or the series before you edit. Check the scope before sending.
Outlook on the web
- Open the calendar event and make your change.
- For a meeting with attendees, select Send. For a personal appointment without attendees, select Save.
For a recurring meeting, choose the individual occurrence or the full series if prompted. Microsoft’s web guidance describes these controls in its instructions for creating, editing, or deleting a meeting request or appointment in Outlook on the web.
Choose the right path for your situation
- You are the organizer and attendees need the corrected details: Edit the meeting and send the update using the control for your Outlook client.
- You are the organizer but cannot notify anyone: Leave the sent meeting unchanged. Make a separate personal reminder if you need a private note.
- You have not sent the invitation yet: Save the new invite as a draft. Draft support and steps vary by client; this does not provide a silent-edit method for an already-sent meeting. See Microsoft’s Outlook on the web meeting and appointment guidance.
- You are an invitee, not the organizer: You cannot change the organizer’s meeting details. Moving the event on your own calendar does not notify the organizer and can leave it displayed at the wrong time. Contact the organizer about a correction.
- You are a delegate: With the necessary access, you can edit or cancel a meeting on the owner’s behalf. Outlook on the web provides an option to send the updated or canceled invitation on behalf of the owner. See Microsoft’s guidance on delegate access to mail and calendars.
Can you notify only some attendees?
There is a narrow option in classic Outlook: if the only change is adding attendees, you can choose to send the update only to the added people or to everyone. The new attendees still receive an update; this is not a way to save other changes silently. See Microsoft’s meeting-change instructions.

Shared calendars and unsaved edits
In the shared-calendar case described by Microsoft for Outlook for Windows, a change to an already-sent meeting can prompt you to send an update or continue editing without saving. If you close without saving, the edits are discarded. Shared-calendar behavior can differ with the Outlook client and calendar setup, so follow the prompt shown in your own app and confirm whether the change was saved.
