How TeamGantt resource planning works
TeamGantt’s resource-planning tools are built around assigning tasks and reviewing the workload those assignments create. You can assign a task to a person or a label. Labels are flexible tags that can represent groups or non-personnel resources; TeamGantt also markets booking people and assets together, but that does not establish that every asset workflow works exactly like assigning a person.
Once tasks are assigned, workload views help you see when work is scheduled and who or what is carrying it. Depending on the view and plan, the workload can be shown as task counts or estimated hours.
Project Workloads view: see assignments in a project
The project Workloads tab lists the people and labels invited to that project. It shows a daily count of assigned tasks or estimated hours, and you can inspect the current project or assignments across active projects. Select a workload cell to see the tasks behind that figure. This view is useful for spotting uneven distribution within a project. It is not the same as the account-wide report: the project view concerns people and labels invited to a project, while the report provides a wider account-level view.
Account Workloads report: compare availability across projects
Managers can use the Workloads report to review availability for account users and labels across projects. The report can display workload by task count or hours, and by day or week. Filters can hide completed tasks or users without assignments, and the report can be exported as a PDF or CSV. TeamGantt says the report updates in real time when assigned tasks are rescheduled. Use the account report when the planning question is “Who has room across our projects?” rather than “How busy is this project’s team?”
Task counts versus estimated hours
A task count is a quick way to compare scheduled assignments, but it treats a short task and a time-intensive task alike. Estimated hours provide a more useful view of scheduled effort when tasks differ substantially in size. In the Availability view, a day with more than eight estimated hours is highlighted red as a possible overload. That is a warning based on scheduled estimates, not proof that someone is over capacity: the signal depends on the estimates entered and does not establish that the schedule accounts for all availability factors.
How to adjust a workload
TeamGantt’s support instructions describe dragging an assigned task to a new date and observing the resulting workload or availability update. This lets a planner see the scheduling effect of moving work, but the documentation describes a visibility feature rather than automatic optimization.

- Cross-project visibility: Decide whether project-level workload is sufficient or managers need the account-wide report.
- Effort measurement: Decide whether task counts are useful or planning depends on estimated hours.
- Resource types: Check whether assigning people and labels covers your people, groups, and non-personnel resources.
- Reporting: Confirm whether PDF or CSV exports and the available filters meet your workflow.
- Advanced planning needs: The cited product documentation does not establish advanced skills matching, leave calendars, or automated capacity optimization. Verify those capabilities directly if they are essential.
