Mavenlink, now Kantata OX, documents project margin reporting that shows projected and actual costs, billable revenue, margin, and margin rate for time-and-materials (T&M) work. It is not a complete profit-and-loss statement: the T&M report excludes non-billable expenses and may not represent fixed-fee project margins accurately.
What profitability information can you see in Kantata OX?
Kantata’s T&M Margin Analysis report presents project and personnel financial results, including projected and actual cost, billable value, margin, and margin rate. Its calculation is based on labor hours and rates, so treat the result as a margin view for the supported billing model—not as a universal measure of project profit.
The report’s documented calculation is:
- Labor cost: all hours, both billable and non-billable, multiplied by the member’s cost rate.
- Billable revenue: billable hours multiplied by the billing rate.
- Margin rate: margin divided by billable revenue.
Kantata notes that organizations can define margin differently, and that this report may be too limited for some of them. Its margin calculation does not include non-billable expenses. Kantata’s T&M Margin Analysis documentation describes the report and its limits.
Does the report work for fixed-fee projects?
Do not assume it gives an accurate margin for fixed-fee work. The documented report is designed around time-and-materials billing, where revenue is calculated from billable hours and billing rates. A fixed project fee does not necessarily map to that calculation. If you use the report for a fixed-fee project, verify how its figures are calculated in your Kantata account and accounting setup before relying on them as project profit.

What other project financial views are available?
Project Overview estimates
The Project Overview tab summarizes estimated financial values by resource or top-level task, including estimated hours, fees, and margin. It is most useful during the Estimate stage and updates as resources, hours, or rates change. Access requires a project permission such as Project Administrator, Edit Financials, or View Financials. Viewing cost details also requires Report Viewer with Cost account permission or higher. See Kantata’s Project Overview documentation.
Expense Budgets
Expense Budgets can help plan non-labor costs such as travel, licensing fees, or materials. Their summary includes task and expense budgets, pass-through expenses, labor costs and fees, and estimated margin. An expense can be set to affect margin; if it is not, it is treated as a pass-through with zero project cost. This budget view adds financial context, but it should not be confused with the T&M Margin Analysis report’s calculation, which excludes non-billable expenses. Expensify integration
Kantata documents an Expensify integration that imports project-based expense reports into Kantata OX so their impact on project financial health can be viewed. The documented integration requires M-Bridge and an Enterprise subscription. See Kantata’s Expensify integration documentation.

For T&M projects, the report can help compare projected and actual labor cost and billable revenue. Before treating any figure as overall project profitability, check that the billing model fits, that the rates and hours reflect your setup, and that relevant expenses are represented in the view you are using. For fixed-fee work or a broader profit-and-loss view, confirm the calculation and expense treatment with your organization’s Kantata and accounting configuration.
