Yes—some Copilot features in Outlook process email content. What they can use depends on whether you have a personal or work account, which Copilot feature you use, your license and mailbox, and your existing permissions. Summarizing an open message, drafting a reply with thread context, and asking Outlook Chat about supported mailbox content are different kinds of access; none means that every Copilot feature continuously scans every email.
What does “read your emails” mean in Outlook?
When you ask Copilot to summarize a message or draft a reply, Outlook can use the message or conversation context needed for that action. For example, Microsoft documents prompts such as “Summarize my emails from the last week related to Project Alpine” and “Which unread emails are most important?” Outlook Chat can also answer questions using supported mailbox content beyond the message currently open.
For work accounts, Microsoft describes Copilot as grounding responses in organizational data through Microsoft Graph. Depending on the experience, that data can include email, calendar items, meetings, chats, contacts, and other content. This is access for the requested Copilot task—not evidence that every feature indiscriminately reads every mailbox. Microsoft says Copilot respects the user’s existing Microsoft 365 permissions. What limits access to your mailbox?
Your permissions still apply
For work or school accounts, Copilot can reference organizational content that the signed-in user is already authorized to access. It does not grant access to another person’s restricted email simply because Copilot is being used. Microsoft says the experience inherits existing Microsoft 365 permissions and controls. Only certain mailbox types and messages are supported
Microsoft’s Outlook FAQ says Copilot scenarios are available only for a user’s primary mailbox, not archive, group, shared, or delegate mailboxes, and require an Exchange Online-hosted mailbox. Some protected messages are also inaccessible: Microsoft lists S/MIME and Double Key Encryption as unsupported, and says features do not work with signed or encrypted email, messages protected by IRM, and some emails with Microsoft Purview Information Protection labels. The exact feature can have additional account and client requirements; consult the Outlook Copilot FAQ for current eligibility details.
Does Microsoft store Outlook Copilot prompts or use them for AI training?
Work or school accounts
Microsoft says work prompts, responses, and data accessed through Microsoft Graph are not used to train foundation models. That is not the same as saying nothing is stored: prompts and Copilot responses can be retained as interaction or activity history under the organization’s Microsoft 365 contractual commitments and retention settings. Administrators can use Microsoft Purview or Content Search to view or manage relevant stored data. Microsoft’s privacy documentation explains interaction data and administrative handling.

When users sign in to Copilot Chat with a work or school account, Microsoft says prompts and responses receive enterprise data protection. It also says prompts, Bing queries, and responses are logged, and IT administrators can use search and audit tools to view logged information. Web search is a separate data flow: Microsoft says generated Bing queries are a few words informed by the prompt and are not linked to the user’s account or organization. Personal accounts in Microsoft 365 apps for home
For personal accounts using Microsoft 365 apps for home, Microsoft says Copilot uses the file being worked in or content in another file the user asks it to inspect, and that prompts, responses, and file contents in those apps are not used to train foundation models. The apps are covered by the Microsoft Services Agreement. These consumer-account statements do not establish the work-account Graph grounding or organization retention rules described above. What privacy controls can you use?
For work or school accounts
- Turn Work IQ grounding on or off: Microsoft says a Work IQ control is available in the Copilot app. Its availability and default state can vary with the license and organization configuration. Check Microsoft’s Work IQ control guidance.
- Ask your administrator about organizational controls: Microsoft 365 identity, permissions, sensitivity labels, retention, audit, and administrator settings can apply. Purview can also restrict certain prompts involving sensitive, labeled files or email, depending on configuration. Microsoft documents Purview DLP restrictions for Copilot.
For personal accounts in Microsoft 365 apps for home

Microsoft’s product names and eligibility details can change. Its current documentation refers to Microsoft Copilot Chat, while some license and capability references may retain older Microsoft 365 Copilot terminology. The Outlook FAQ cited here was last updated in February 2026, so check Microsoft’s current account and mailbox requirements when a specific feature is missing.
