Sometimes—but replacing the Office desktop apps is a much smaller decision than replacing Microsoft 365. A suite such as LibreOffice or ONLYOFFICE can handle ordinary Word, Excel, and PowerPoint files, yet file-format support does not guarantee identical layout, formulas, macros, collaboration, or connected services. Treat the switch as two separate evaluations: first, whether another editor can run your documents; second, whether you still need the applications, storage, collaboration, administration, and business services included in your particular Microsoft 365 plan.
What exactly would you be replacing?
“Microsoft Office” usually means the desktop applications: Word, Excel, and PowerPoint. “Microsoft 365” is a subscription bundle whose entitlements vary by plan and region. Depending on the plan, it can include desktop and web apps, offline use, feature upgrades, cloud storage, shared files, Power Query, administration, security, compliance, and other enterprise capabilities. An alternative editor can replace the first category without replacing the second.
Write down the services your people actually use before comparing products. A person who writes letters and edits simple spreadsheets has a very different replacement requirement from a team that depends on shared cloud libraries, simultaneous editing, Power Query connections, VBA automation, retention policies, or centrally managed accounts.

- Application replacement: Can the proposed suite open, edit, save, print, and exchange the documents you use?
- Service-bundle replacement: Can your new setup provide every required storage, collaboration, identity, administration, security, and support function currently supplied by Microsoft 365?
Answer the first with representative files and a pilot. Answer the second with an inventory of plan entitlements and actual workflows. Passing one does not prove the other.

Can alternative suites open Word, Excel, and PowerPoint files?
Yes, common alternatives support Microsoft Office Open XML formats. LibreOffice documentation lists opening and saving Word DOC and DOCX, Excel XLS and XLSX, and PowerPoint PPT and PPTX files. ONLYOFFICE describes its desktop editors as compatible with Microsoft Office formats. Those statements establish that the formats are supported; they do not promise pixel-identical rendering or identical behavior in every document.
Compatibility is affected by the contents of a file, not just its extension. A short letter with standard fonts is a lower-risk conversion than a workbook containing external links, complex formulas, charts, comments, tracked changes, custom templates, or automation. A presentation can look correct in editing view yet change line breaks, object positions, fonts, animations, or print output after a round trip.
What to inspect during a file-fidelity pilot
- Open a copy of each representative DOCX, XLSX, and PPTX file in the proposed suite.
- Edit ordinary text, tables, formulas, charts, comments, and tracked changes that your workflow requires.
- Save in the format your colleagues or customers use, reopen the file in the original application, and compare the result.
- Check page breaks, headers, fields, fonts, print and PDF output, chart labels, and embedded objects.
- Test templates and recurring forms, not only one-off documents.
Do not turn a vendor’s format-support statement into a “100% compatible” claim. No universal pass rate is established here; your own files determine whether the differences are acceptable.
Why macros and add-ins can stop a migration
Automation is the clearest technical fault line. LibreOffice Help states: “With a few exceptions, Microsoft Office and LibreOffice cannot run the same macro code.” Microsoft Office commonly uses VBA and its object model; LibreOffice Basic uses a different API environment. Some Excel VBA scripts may run in LibreOffice when the relevant compatibility feature is enabled, but that is not a promise that a workbook’s automation will work unchanged.

Macro-enabled Word, Excel, and PowerPoint files use formats such as DOCM, XLSM, and PPTM. Microsoft describes DOCM as a macro-enabled XML format that stores VBA code. A file can therefore open normally while a button, event handler, custom function, or data import fails when the macro runs. Add-ins, COM components, ActiveX controls, and links to Windows-specific libraries create additional dependencies.
Macro migration procedure
- Inventory every macro-enabled file, add-in, scheduled task, and workbook function used by the business.
- Classify each item as optional, replaceable with a built-in feature, or business-critical.
- Run the critical workflows in the proposed suite on copies. Record errors, missing controls, incorrect calculations, and security prompts.
- Ask whether the automation can be rewritten against the alternative’s API, replaced by a script or service, or retained on a small number of Microsoft Office installations.
- Obtain sign-off from the people who own the process before removing the original environment.
If macros drive invoicing, reporting, imports, approvals, or regulated records, treat a rewrite as a project rather than an incidental setting change.
How file formats affect round trips
Saving to a familiar extension does not preserve every feature. Microsoft’s file-format documentation notes that formatting in ODT files can be lost when users save and reopen them in Word. The same principle applies in the other direction: a document authored with application-specific features may lose behavior or appearance when converted to ODT or another native format.

If your team can standardize on an alternative’s native format, test the entire round trip with anyone who still uses Microsoft Office. Never overwrite the only copy during conversion.

What Microsoft 365 services an editor does not replace
A desktop editor does not automatically provide the rest of a Microsoft 365 subscription. Microsoft’s official plan comparison shows that entitlements differ by plan and can include offline support, feature upgrades, Power Query, cloud services, and enterprise functions. Confirm the exact plan, geography, operating systems, and current documentation because these details can change.
Storage and shared files
Determine where working files live, who owns them, how sharing permissions are granted, and how version history and recovery work. A local editor can open a file from a network share, but that is not equivalent to managed cloud storage with browser access, audit records, or policy-controlled sharing. If your organization needs self-hosted or on-premises storage, evaluate the deployment and administration model separately.
Simultaneous collaboration
Ask whether several people must edit one document at the same time, whether comments and mentions are required, and how conflicts are resolved when someone works offline. A candidate may offer integrations or collaborative features only in a particular server, cloud, or enterprise edition. Test the exact combination rather than assuming that desktop compatibility includes real-time collaboration.
Data connections and specialist features
Power Query, external data connections, pivot behavior, specialized chart types, and industry add-ins can be decisive. List the data sources and refresh schedules your workbooks use. A suite that opens the workbook but cannot refresh a connection is not a functional replacement for that workflow.

Identity, administration, and compliance
Businesses may rely on centralized identity, device policies, retention, eDiscovery, audit logs, encryption controls, or regulated-region data handling. These are service and governance requirements, not document-format features. Map each requirement to a product and deployment capability before cancelling a subscription.

These are starting points, not interchangeable Microsoft 365 clones. Select candidates according to your files, operating systems, collaboration model, and support obligations. Verify current system requirements and plan details before deployment.
A practical replacement assessment
- Inventory usage by person or team. Record the Microsoft 365 applications, storage locations, shared sites, meeting or messaging dependencies, automation, add-ins, and administrative controls each group uses.
- Collect a representative corpus. Include the largest and most complex spreadsheets, presentations with embedded objects, templates, tracked-change documents, forms, and every macro-enabled file.
- Define acceptance tests. Specify required calculations, print layouts, chart output, comments, tracked changes, refresh operations, accessibility checks, and export formats.
- Test round trips. Open copies in the candidate suite, edit them, save them, and reopen them in the original application. Compare both visual output and business behavior.
- Test automation separately. Run each critical macro, add-in, import, and scheduled process. Mark it as passing, needing a rewrite, or requiring continued Microsoft Office access.
- Pilot collaboration and storage. Have a small group share files, edit concurrently if needed, restore an earlier version, work offline, and reconnect. Test permissions and administration with realistic accounts.
- Price the operating model. Compare the actual license or subscription, server or hosting costs, migration labor, training, support, and any remaining Microsoft services. No current prices are established here, so obtain quotes for your geography and deployment.
- Run a transition period. Keep the existing environment available, publish file-handling rules, and provide a recovery path while users complete real work in the pilot.
Common decision outcomes
Replace the desktop apps, retain Microsoft services
This hybrid approach can work when documents are straightforward but the organization still needs existing cloud storage, identity, meetings, or administration. It requires clear rules about which application edits shared files and how format conversions are handled.

Replace both apps and services
Choose this only when the pilot passes file, automation, collaboration, storage, and governance tests, and when an alternative operating model meets support and compliance requirements. A successful document test alone is insufficient.

Keep Microsoft Office for selected users
Users with critical VBA, specialized add-ins, complex data connections, or customer-mandated formats may need the original applications while other staff move to an alternative. Limit the exception deliberately and document which workflows depend on it.
Do not switch yet
If key files fail, macros cannot be replaced, or shared services are irreplaceable, postpone the migration. Fix the specific dependency first rather than forcing users into an unsupported workflow.
Costs, support, and operational risk
Software price is only one line in a replacement calculation. Include conversion and macro-rewrite work, user training, testing time, help-desk capacity, deployment tools, server or hosting charges, backup, and the cost of maintaining a small Microsoft environment for exceptions. A free desktop editor can still produce a costly migration if a critical workbook must be rebuilt.

Support expectations also differ. LibreOffice publishes desktop requirements and community documentation. ONLYOFFICE describes enterprise support and migration assistance for organizational deployments. Confirm response times, supported versions, escalation routes, and responsibility for integrations in the specific offer you evaluate.
Bottom-line test
A Microsoft Office reimplementation can replace Microsoft 365 for a document-centered workflow that uses standard files, has modest automation, and can obtain storage and collaboration elsewhere. It cannot be declared a full replacement merely because DOCX, XLSX, and PPTX open successfully. The responsible decision is to inventory your plan, pilot real files and macros, test collaboration and services, and retain the current environment until every business-critical acceptance test passes.
