If those built-in options do not fit the workflow, consider a dedicated transcription service such as Otter.ai or Fireflies.ai. The right choice depends less on an unverified accuracy ranking than on platform fit, visibility, sharing, search, consent, and control of meeting data.
Start with the meeting platform already in use
A built-in tool is often the simplest first option: it avoids introducing a separate service when the client’s platform already supports call notes. Confirm the account’s eligibility and organization settings before building a workflow around it.
Google Meet: notes in Google Docs
Google Meet’s “Take notes for me” feature can create notes in Google Docs, show late arrivals a “Summary so far,” and send the organizer a recap link after the meeting. Google says the feature is available to eligible work or school accounts or eligible Google AI plans; availability may also depend on administrator settings. Google recommends it for meetings lasting 15 minutes to 8 hours. That is Google’s product guidance, not an independently tested performance limit. See Google Meet’s notes feature details.
Zoom AI Companion: an option for some third-party meetings
Zoom documents a way to invite AI Companion into Google Meet and Microsoft Teams meetings. It joins as a participant, transcribes the meeting, creates a summary, and supports questions after the call. Zoom lists requirements that include an eligible Zoom Workplace account, connected calendar and contacts integration, an enabled setting, and desktop app version 6.4.5 or later for the operating systems it specifies. Zoom also says the meeting chat receives a notice three minutes after the third-party meeting starts, and a visible tile identifies the companion’s owner and transcription activity. Requirements and interface details can change; check Zoom’s current setup instructions before relying on this workflow.

When to consider a dedicated transcription service
Services such as Otter.ai and Fireflies.ai are candidates when a client needs a separate meeting-transcription workflow rather than notes tied to one platform. The available vendor disclosures explain aspects of data handling, but they do not establish comparative transcription accuracy, current pricing, plan limits, or which service will work best for a particular assistant. Verify current product documentation, account features, and terms before choosing.
Otter.ai
Otter says customers control sharing of their recordings and transcripts, and that it obtains customer consent before staff or support accesses audio or transcripts for troubleshooting or manual review. It also says it uses de-identified user data to train its own models. These are Otter’s statements, not an independent audit; review the Otter privacy and security information alongside the settings and terms for the specific account.

Fireflies.ai
Fireflies’ privacy policy says enabled features may collect participant and meeting details, including audio and visual files, and describes data received through integrations. The policy states that meeting content is not retained by third-party vendors after processing and is not used to train internal or external AI models. Treat these as vendor disclosures and check the Fireflies privacy policy and applicable account terms for the actual setup.
Compare tools by the work the assistant needs to do
Before selecting a tool, map the real workflow: which meeting platform the client uses, where notes should land, who needs access, and how decisions will be found later. Check each point directly with the product and account in question.

- Platform compatibility: Does it work with the client’s Meet, Zoom, or Teams setup? Does it require a particular account tier, desktop app, or connected calendar?
- Call visibility: Does a bot join as an attendee? What does the product show participants, and when?
- Useful output: Do notes arrive in a familiar document or dashboard? Can the assistant correct the transcript, share the summary, and locate past decisions?
- Administration: Can the organization require consent or restrict use to particular people or meetings?
- Data control: What is retained, who can access it, and how can it be deleted or exported? What information passes through connected services?
- Cost and limits: Check current prices, plan restrictions, and feature availability directly; they are not established here.
No controlled comparison establishes which named tool produces the most accurate transcript or best summary. Evaluate the output against the assistant’s actual note-taking needs rather than treating an “AI notes” label as proof of quality.
Make notice, consent, and client approval part of the workflow
Before enabling recording or transcription, get the client’s approval, check organizational policy, and follow the notice or consent process that applies to the meeting. A platform’s visual indicator should not be treated as proof that every applicable requirement has been met. This is practical guidance, not jurisdiction-specific legal advice.

Google Workspace administrators can require attendees to give explicit consent before recording, transcription, or AI note-taking. The control can be applied to organizational units or groups. See Google’s administrator guidance on participant consent.
Associated Press reporting published July 9, 2026, describes the etiquette and privacy concerns around AI notetakers. It reports experts recommending that participants check whether a notetaker is present; for sensitive meetings, EFF senior security and privacy analyst Thorin Klosowski characterized asking everyone for consent as the polite approach. AP also quotes corporate attorney Justin Daniels noting that people using AI notetakers may not know where the data goes. These comments inform meeting etiquette; they do not establish a universal legal rule. Read the Associated Press report.

Understand what happens to meeting data
Do not assume that every form of audio or meeting content is handled the same way. Google’s privacy guidance distinguishes live captions from recordings: it says audio used for live captions is temporarily sent to a transcription server and is not permanently stored, while meeting recordings are stored securely. The page also discusses encryption and user controls. Those descriptions apply to the features addressed by Google, not to all Meet data or other vendors’ services. For any tool, review the terms and settings for the exact product and account, including integrations. Vendor privacy statements describe the vendors’ positions; they are not independent audits or a guarantee that a particular configuration meets a client’s obligations.

Set up a repeatable call-note workflow
- Confirm the meeting setup. Identify the platform, account eligibility, organization settings, and any required app or calendar connections.
- Agree on the record. Ask the client whether recording, transcription, or AI notes are allowed, and establish how participants will be notified or asked for consent.
- Choose the least complicated fit. Try the platform-native notes feature if it meets the client’s needs; add a cross-platform or dedicated service only to fill a defined gap.
- Decide where notes belong. Set the expected destination, sharing permissions, and a practical method for correcting notes and finding prior decisions.
- Set data handling expectations. Confirm who can access notes, how long they should be kept, and how deletion or export works under the product’s settings and terms.
- Review the output with the client. Make sure the delivered notes capture decisions and follow-ups in a format the client can use. Do not assume the generated summary is a complete or verified record.
