The best social media approval tool for an agency depends on how each client reviews content: whether approvals must happen in sequence, whether clients can respond without full accounts, and how well the platform separates client workspaces and permissions. Based on vendor documentation current as of October 4, 2026, Planable promotes multi-level approvals, Later supports external reviewer feedback, Hootsuite documents sequential approvals, Sprout Social emphasizes client separation and governance, and Buffer provides agency-focused permission guidance. These are feature-based options, not an independently tested ranking.
What is a social media approval workflow?
A social media approval workflow routes draft or scheduled posts to designated people for review before publication. Later describes it as a process that lets teammates review, comment on, and approve posts before they go live. In practice, “approval” can mean different things: a client may leave feedback, an internal manager may formally authorize a post, or a series of reviewers may need to approve it in turn.
For an agency, the key is to match the workflow to the actual sign-off process—not simply to choose a platform that advertises approvals.
Which approval tool fits your agency?
| Tool | Documented agency-relevant approval feature | Access, roles, or workspace notes | Plan caveat |
|---|---|---|---|
| Planable | Promotes multi-level approvals before client sign-off. | The cited agency page does not establish external-user access limits or a complete permissions comparison. | Specific plan limits are not stated in the cited agency page. |
| Later | Supports internal approval and external client feedback; external reviewers can provide feedback without a Later account. | Members can collaborate and request approval but cannot approve their own work; Reviewers can approve. | Later says team collaboration and approvals are on Growth and higher. Its in-app approval activity notification center requires Scale. |
| Hootsuite | Documents sequential, multi-step approvals: a post does not advance until the preceding approval is granted. | Admins assign roles. The documented approval request applies to scheduled or published posts. | Approval tools are not available on all plans. |
| Sprout Social | Promotes approval workflows and calendar link sharing. | Promotes custom user roles and permissions and separate environments for each client account. Its support documentation says Advanced permits up to three external approvers without additional cost. | The external-approver allowance is documented for Advanced; verify current availability and limits. |
| Buffer | Its agency guidance describes client draft approvals. | Permission settings can constrain whether a user can edit posts, create posts, or access a channel queue. | Client draft approvals are discussed in its Team-plan guidance. |
Descriptions above reflect vendor documentation, not hands-on testing. The vendors do not provide a consistent, comparable account of every workflow detail, so a feature appearing in this table should not be treated as proof that platforms are otherwise equivalent.

How to compare tools for a client approval process
1. Map the approval sequence
Write down who drafts, who reviews, and who gives final authorization. Check whether reviewers must approve in order, what happens when someone rejects a post, and whether an unapproved post can still be published. Hootsuite’s help documentation says a post in a multi-step workflow will not move to the next step until the preceding approval is granted. Its documented approval request applies to scheduled or published posts, so confirm that this matches your team’s drafting and scheduling process.
2. Check what clients can do without an account
Distinguish between leaving comments or feedback and formally approving content. Later says external reviewers can provide feedback without a Later account. Sprout Social’s support page documents up to three external approvers without additional cost on Advanced. Those are different access arrangements; confirm the actions available to clients and any current limits before onboarding them.

3. Verify roles and client separation
Consider whether client reviewers should only comment or approve, and whether agency staff need separate publishing, editing, or administrative permissions. Later distinguishes Members from Reviewers. Sprout Social promotes custom roles and permissions as well as separate client environments. Buffer’s agency guidance describes permissions that can limit editing, post creation, or access to a channel queue. Clear boundaries help reduce the risk of a reviewer working in the wrong client account or having more access than their role requires.
4. Confirm the feature is on the plan you will buy
Approval capabilities may be restricted by subscription tier. Later places team collaboration and approvals on Growth and higher, with its in-app approval activity notifications on Scale. Hootsuite says approval tools are unavailable on some plans. Sprout Social’s cited external-approver feature is associated with Advanced, and Buffer discusses client draft approvals in its Team-plan guidance. Check the vendor’s current plan details and terms for your region before estimating agency costs.

5. Evaluate the rest of the agency workflow separately
Approval features alone do not establish which platform is best for your agency. Also assess the social networks supported, reporting needs, inbox workload, calendar sharing, client onboarding, and the number of users and profiles your team needs. The available vendor evidence does not provide a consistent comparison across these broader capabilities.
What each tool is best suited to
Planable: agencies looking for multi-level sign-off
Planable’s agency page promotes multiple approval levels before client sign-off, making it a candidate when a post passes through several reviewers. The cited information does not establish its plan limits or precisely how external-user access works, so verify those details against your workflow before choosing it.
Rank #4
Later: teams involving external reviewers
Later’s documented workflow combines internal sign-offs with external client feedback. Its distinction between Members and Reviewers is useful when the person preparing a post should not be the person approving it. Confirm the plan and notification behavior you need, and test the intended publishing flow before relying on it operationally.
Hootsuite: teams that need approvals to proceed in order
Hootsuite documents a sequential process in which each step waits for approval of the preceding one. That structure may suit an agency with a defined chain of reviewers. Because the documented request applies to scheduled or published posts and approval tools are plan-dependent, check that both the content state and subscription tier fit your process.

Best Value
Sprout Social: agencies prioritizing governance and client separation
Sprout Social’s agency materials emphasize separate environments for client accounts, flexible roles and permissions, calendar link sharing, and approval workflows. Its support documentation specifies up to three external approvers without additional cost on Advanced. Treat that cap as a plan-specific vendor statement and verify current terms directly.
Buffer: agencies focused on permissions and client draft review
Buffer’s agency guide covers staff and client permission levels and describes client draft approvals in its Team-plan guidance. Its permission settings can also limit editing, creating posts, or accessing a channel queue. Review the current plan details and role controls to ensure they cover the actions each client and team member needs.

- Document one real client workflow. List the author, each reviewer, the final approver, and the point at which scheduling or publishing is permitted.
- Decide what “client approval” means. Specify whether clients only comment, can formally approve, or need to do both—and whether they need an account.
- Match permissions to responsibilities. Confirm who can create, edit, approve, schedule, publish, and access each client’s channels.
- Check the exact plan boundary. Verify the workflow, external access, reviewer cap, and notification features on the plan available to your agency.
- Test a rejection and a handoff. Ensure the post returns to the right person after feedback and cannot slip past a required approval step.
- Compare broader platform needs. Evaluate networks, reporting, inbox management, calendars, seats, and profiles independently of the approval feature.
