The trade-off is important: Zoho Books Free has eligibility and annual limits, while Wave Starter charges for online payment processing and puts automatic imports and receipt capture in its Pro plan. Neither is a universal winner, so match the plan to your workload and recordkeeping needs.

Which free bookkeeping plan fits your business?
Choose Zoho Books Free if you meet its U.S. eligibility rule
Zoho says its U.S. Free plan is available when financial-year revenue does not exceed $50,000. The plan lists one user plus one accountant and annual caps of 1,000 invoices and 1,000 bills/expenses. Its stated free features include invoicing, expense tracking, journals, sales receipts, bank reconciliation and reports. Check Zoho’s current U.S. pricing page before signing up, particularly if your business is near the revenue or volume limits.
For a sole proprietor or small operation within those limits, the listed accounting features may cover a straightforward bookkeeping workflow. Count your expected invoices and bills/expenses for the full year, and confirm that the user setup works for everyone who needs access.

Choose Wave Starter if unlimited basic records matter most
Wave lists its Starter plan at $0 and says it includes unlimited estimates, invoices, bills and bookkeeping records. That makes it a candidate if you need basic invoicing and recordkeeping without a stated record-count cap on the plan page. Review Wave’s accounting software page and pricing page for current plan details.
“Unlimited” does not mean every workflow is included. Wave lists automatic transaction imports, categorization, receipt capture and unlimited users under Pro. If you stay on Starter, find out whether manual entry and the available access arrangement suit your process.

Consider paid plans if free-tier limits would interrupt the work
If your business needs more users, more automation, higher transaction volume or additional reporting, compare paid plans rather than assuming a free plan will scale. Before choosing, review each provider’s current plan details and the terms for exporting or moving your records if you later switch.
What “free” does—and does not—cover
A $0 subscription does not necessarily make every part of bookkeeping or receiving money free. Wave lists online-payment processing fees for Starter on its pricing page: 2.9% + $0.60 for card transactions and 3.4% + $0.60 for American Express. These are vendor-published rates and may change; verify the current schedule directly with Wave before accepting payments.

Also separate a plan’s accounting features from its payment workflow. For example, Wave’s Starter plan has listed payment processing charges, while automatic transaction imports and receipt capture are Pro features. Work out whether you are willing to enter or reconcile transactions manually, or whether paying for automation is worthwhile.
How to compare free bookkeeping software safely
- Check eligibility and local availability. Confirm that the free plan is offered where your business operates and that you meet its conditions. Zoho’s stated $50,000 financial-year revenue condition applies to its U.S. pricing page; do not assume it applies in other countries.
- Estimate annual workload. Compare the number of invoices and bills/expenses you expect with Zoho’s listed annual caps. For Wave, confirm current plan terms and what “unlimited” covers.
- List the workflow features you rely on. Decide whether you need bank transaction imports, automatic categorization, receipt capture, reconciliation, reports or multiple users. Check which plan actually includes each item.
- Calculate costs beyond the subscription. If you accept online payments, include processing charges in your decision and verify the current rates. Consider paid upgrades required for the workflow you want.
- Check record access and portability. Make sure you can keep records complete and accurate and can access them if needed. Review the provider’s export and migration terms before committing business records to a system.
Bookkeeping software still has to support sound records
Software does not make records adequate simply by storing them. The IRS says, “The electronic system must provide a complete and accurate record of your data that is accessible to the IRS.” See the IRS page, “How should I record my business transactions?” Use that standard when assessing any bookkeeping tool: records should be complete, accurate and accessible.

The IRS also describes single-entry and double-entry bookkeeping in Publication 583, “Starting a Business and Keeping Records” (revised December 2024). It notes that double-entry has built-in checks and balances to help assure accuracy and control. The appropriate method depends on your business circumstances; a free plan should not be the only factor in that decision.
