Sometimes—but never assume a chatbot is safe for sensitive information just because it has a privacy setting, temporary mode, or familiar brand name. The answer depends on the exact service, account type, settings, retention rules, connected features, and—at work—your organization’s policy. Unless the service and its terms have been approved for the information you plan to share, keep confidential details out of a general consumer chatbot.
What “safe” means for a chatbot conversation
Privacy is not a single setting. A service may keep a conversation out of model training but still retain it for safety purposes, keep it in chat history, allow a form of human review, or make it accessible to an organization administrator. Those are separate questions, and the answer can change when you switch plans, accounts, or features.
- Model improvement: Can prompts or uploaded files be used to train or improve models?
- Retention and deletion: How long is information stored, and do safety or review exceptions apply?
- Human review: Can people review conversations, feedback, or selected chats, and for what purposes?
- Account access: Can an employer or workspace administrator access or manage the data?
- Connected features: Do connected apps, feedback, voice, or other tools introduce additional information or handling?
- Authorization: Does the service, plan, contract, and configuration meet your legal and organizational requirements?
A setting labeled “temporary,” “history off,” or “incognito” is not, by itself, a guarantee that nothing is retained or reviewed.
How ChatGPT and Gemini handle consumer chats
These examples reflect official OpenAI and Google documentation checked on October 7, 2026. They describe named products and settings, not every chatbot or every account configuration.

For ChatGPT, turning off model improvement affects new conversations; it does not clear existing history. OpenAI documents Temporary Chat separately, including its safety-retention exception. For Gemini, the 72-hour retention for temporary or Keep Activity off chats is for response and safety purposes, while the longer retention for selected human-reviewed chats is a distinct exception. Read the current Data Controls or Privacy Hub details for the account you actually use.
Can a chatbot use your information to train AI?
It depends on the product, account, and setting. For eligible ChatGPT consumer users, OpenAI says switching off “Improve the model for everyone” stops new conversations from being used to train models. Gemini Apps’ activity settings affect how activity is handled, and Google says relevant information from connected apps may be used to improve Google services, including model training, when Keep Activity applies.

Training is only one form of data use. A prompt can be excluded from training and still be stored for a period, processed to provide a response or help protect the service, or be subject to access permitted by the account or workplace configuration. Check each of these separately rather than treating “not used for training” as a complete privacy guarantee.
Do connected apps change what Gemini can process?
Yes. Google says Gemini may draw on relevant information from connected services, including summaries, excerpts, generated media, and inferences, to answer prompts. When Keep Activity applies, some of that information may also be used to improve Google services, including model training. Google advises users not to connect apps containing personal or confidential information they would not want used for training or seen by a reviewer.

Before connecting an app, review both the connection and activity settings and consider what information the app contains. A prompt that seems harmless may bring in context from a connected service.
Can an employer read your AI chats?
If you use a managed work account, the organization’s administrator may have access even when the provider’s business offering has a protective training default. OpenAI says administrators of managed ChatGPT accounts may be able to access, export, audit, retain, delete, or control associated data, depending on organization configuration and applicable law. That data may include prompts, uploaded files, outputs, history, shared workspace material, usage metadata, and settings.

Use only an employer-approved account for work information. Confirm whether the account is managed, what administrators can do, which retention rules apply, whether integrations are enabled, and what your organization’s policy permits. If the policy is unclear, ask the data owner or security or privacy team before sharing anything confidential.

Some managed offerings make stronger commitments than consumer accounts, but the commitment applies to the named product and eligible configuration—not automatically to every account under the same brand.

Provider statements are not a substitute for checking your organization’s contract and configuration. Requirements can also depend on the information involved and the laws or professional obligations that apply to you.
What should you avoid entering into a consumer chatbot?
Unless the use has been explicitly approved and the service terms support it, do not submit information whose disclosure could harm someone, breach a duty, or violate workplace policy. That includes:
- Passwords, authentication codes, payment-card details, and government identifiers.
- Private health information or another person’s sensitive personal information.
- Confidential client or customer data, unreleased business plans, or internal records.
- Legally privileged material or information covered by a confidentiality obligation.
If you need help with a sensitive example, remove or replace names and other identifying details and provide only the minimum context needed. De-identification can reduce exposure, but it cannot guarantee that someone cannot be identified from the remaining details or context.
How to check a chatbot before sharing information
- Identify the exact product and account. Check whether it is a consumer service or a managed business or Workspace account, and confirm the plan and license.
- Review the relevant privacy controls. For ChatGPT, check Data Controls, including “Improve the model for everyone” and Temporary Chat. For Gemini Apps, check Keep Activity, Temporary Chat, Activity auto-delete, and connected-app settings.
- Read beyond the training setting. Look for retention periods, safety exceptions, human review, deletion limits, feedback handling, and any account or administrator access.
- Check features you have connected or enabled. Consider what information can come from connected apps, uploaded files, feedback, or other tools—not just what you type into the prompt.
- For work, confirm authorization and configuration. Check internal policy and the applicable plan or contract with your administrator or data owner. Do not assume a provider’s default is the setting your organization uses.
- Minimize what you share. Use a fictional or de-identified example where possible, and omit details that are not needed to get a useful answer.
Provider features and terms can change. Recheck the official terms and your account settings before using a chatbot for sensitive information, especially if your plan, workplace account, or connected apps have changed.
