Accounts receivable (AR) automation manages money customers owe your business; accounts payable (AP) automation manages money your business owes suppliers. AR automates customer billing, payment application, and collections, while AP automates supplier invoice processing, approvals, payment, and reconciliation. They serve opposite sides of cash flow and typically sit within the broader order-to-cash and procure-to-pay processes.

These are workflow distinctions, not a claim that every organization draws the boundaries identically or uses separate platforms. APQC describes both O2C and P2P as cross-functional processes, and IBM notes that invoice-processing boundaries can overlap with broader automation offerings. APQC explains the scopes of procure-to-pay and order-to-cash; IBM discusses automated invoice processing.

What AR automation does

AR automation helps a business bill customers, record the resulting receivables, match incoming payments to open invoices, and follow up on unpaid balances. It can also parse remittance details, route straightforward disputes, and help prioritize collection work. IBM describes these kinds of accounting-automation uses, while noting that exceptions and judgment calls can still require people. IBM’s accounting automation overview discusses AR and related automation examples.

AR is commonly part of order-to-cash, a process that may span customer credit, orders, fulfillment, invoicing, collections, and cash application. This broader view matters when choosing software: a tool that sends invoices may not also match remittance data, manage disputes, or connect collections activity to the accounting ledger.

What AP automation does

AP automation handles the supplier side of the ledger, from invoice receipt through payment and reconciliation. It is broader than scanning invoices: a typical workflow captures invoice data, validates it, checks it against purchase orders and receipts where applicable, routes approvals, schedules or initiates payment, and reconciles the transaction. The Association for Financial Professionals describes AP automation as invoice-to-payment processing, and JPMorgan outlines steps from capture through reconciliation and reporting. AFP’s overview of automating accounts payable processing and JPMorgan’s AP automation overview describe these stages.

AP is commonly part of procure-to-pay, which can include procurement, receipt of goods or services, invoice processing, exception handling, and supplier payment. Invoice processing is one component of that larger cycle, not a synonym for all AP automation.

Invoice automation is not the whole AP lifecycle

Automated invoice processing typically focuses on capturing invoices, extracting data, and routing them for review or approval. Broader AP automation may also include payment management and other lifecycle functions. IBM makes this distinction in its overview of automated invoice processing.

Automation can preserve human review

Automation does not mean every invoice should be paid without oversight. In Microsoft Dynamics 365 Finance, configured invoice matching, vendor policies, and workflow can approve invoices that meet specified criteria and flag others for an authorized user. That is a product-specific example, not a guarantee that every AP system works the same way. Microsoft Learn documents the accounts payable workflow and matching controls.

How to choose between AR and AP software

Start with the workflow that is causing the problem. If the bottleneck is collecting customer payments or applying cash accurately, evaluate AR capabilities. If supplier invoices are delayed in capture, matching, approval, or payment, evaluate AP capabilities. Some organizations may need both; the labels alone do not tell you whether a product fits.

  • Integration: Can the product connect to your ERP or accounting ledger and the systems that hold customer, supplier, purchase-order, receipt, and payment data?
  • Capture and validation: For AR, can it handle customer invoices and payment or remittance details? For AP, can it capture supplier invoices and validate key fields?
  • Matching: Can AR match payments to open invoices? Can AP match invoices to purchase orders and receipts when those records are used?
  • Exceptions: How does it surface unmatched cash, short payments, disputes, missing records, policy exceptions, or incorrect invoice data—and who resolves them?
  • Controls: Can you configure approval rules, user permissions, and review paths so straightforward items move efficiently while exceptions receive authorized attention?
  • End-to-end steps: Check whether the product covers the steps you actually need: collections and cash application for AR; approval, supplier payment, and reconciliation for AP.
  • Reporting: Can finance teams see the status of invoices, balances, approvals, exceptions, payments, and reconciliation in a way that supports their work?

APQC reports that, in its global survey of 2,500 finance leaders, 65% of respondents had at least implemented O2C automation and 53% had at least implemented P2P automation; 15% were operating O2C automation at scale and optimizing it. The page does not state the survey year, so these figures should not be read as current universal adoption rates. APQC also lists customer invoicing (74%), customer credit processing (71%), and accounts receivable (70%) among O2C priorities, and accounts payable (68%) among P2P priorities; the page excerpt does not state the survey year for those figures either. APQC’s process overview and survey findings provide the figures and process context.
