A safer handoff makes the deliverable, file scope, dependencies, owner, acceptance checks and recovery path explicit before work changes hands. Pair that written context with version control, an asset-conflict policy, appropriately limited access, review in the game’s actual context and an integration build. The exact tools depend on your engine, asset formats and existing workflow; no single ticket template or tool fits every studio.

What to include in a task handoff

Use the handoff to answer the questions the receiving engineer, artist or technical artist needs to act without guessing. This is a practical checklist, not a universal ticket standard.

  • Owner: Name the person handing off the work and the person responsible for the next step.
  • Deliverable and file scope: Identify what should be produced and which files, assets or project areas are in scope.
  • Dependencies: Note required code, assets, approvals or other work that must be available first.
  • Expected result: Describe the intended behavior or appearance, including relevant in-game context.
  • Acceptance checks: Say what the receiver should inspect and what would count as complete.
  • Recovery path: Keep the work in the project’s version-control process so changes can be reviewed and, if necessary, recovered.

Keep shared work recoverable

Use version control for code and project assets. Epic explains that version control lets a team share assets and code and provides a backup and change history, so files can be rolled back if something goes wrong. See Epic’s Unreal Engine collaboration and version-control documentation.

Choose a workflow that fits the studio’s repository and the files being changed. Epic documents Perforce and SVN integrations and recovery features for Unreal Engine; Unity’s documentation covers workflows for artists and programmers and support for large files. These are documented capabilities, not evidence that one system is best for every team. Confirm current engine and tool support before adopting a workflow.

Agree on how binary assets will be changed

Shared Unreal assets such as .uasset and .umap files need an explicit conflict plan. Unlike a simple handoff of independent text changes, edits to the same binary asset can require coordination rather than a conventional merge.

One documented option is Unity Version Control’s Unreal plugin workflow, which combines task branches with exclusive checkouts (locks) for the Content directory. Its example workflow is to update the workspace with the Editor closed, open the Editor to modify and check out assets, submit the changes, then close the Editor and update again when needed. Whichever policy you use, make it clear who can edit an asset, how another person knows it is in use, and how submitted work returns to the shared project.

Review work in the context where it will be used

For visual or gameplay-facing work, a detached screenshot may not show whether the change works in the level, scene or live game view where it belongs. Specify what the receiver should inspect and how to see it in context. Unity describes production-pipeline review using real game renders, with feedback linked to the live game view. Its page said the integrations were in closed beta when crawled, so check present availability before relying on them: Unity’s production-pipeline overview.

Make acceptance concrete: for example, identify the scene or view to open, the intended result to observe and any relevant interaction to try. Those specifics should come from the task rather than being assumed by the recipient.

Limit outside collaborators’ access

When a contractor or other external collaborator is involved, grant access appropriate to their role and work scope rather than treating all project access as interchangeable. Unity describes role-based access for outside collaborators, while Perforce describes granular controls for external collaborators. Have outside contributions return through the repository’s normal review and submission process. That keeps changes visible to the team and subject to the same integration checks as internal work.

Validate the handoff before it becomes a wider problem

A change can appear correct in isolation and still break when combined with the rest of the project. Connect repository activity to an integration check where possible. Unity DevOps documents build triggers from commits or pull requests as a way to detect problems earlier; see Unity Build Automation documentation.

Build triggers and shared known-working builds serve related but distinct needs: one can surface integration failures, while the other helps teammates locate builds considered usable.

Choose the workflow against your studio’s needs

Before standardizing a handoff process or changing tools, compare the capabilities that affect your actual files and review path. Vendor documentation describes features, not an independent head-to-head test.

  • Engine and asset formats: Check support for the engine and especially large or binary files used by the project.
  • Conflict handling: Understand branching, locking and how conflicting edits are resolved.
  • Review visibility: Check whether reviewers can inspect results in the project or game context they need.
  • External access: Confirm that permissions can be limited appropriately for contractors.
  • Build validation: Determine whether repository events can trigger checks or help the team find working builds.

Epic’s Unreal documentation, Unity’s version-control and DevOps documentation, and the Unity Version Control Unreal-plugin guide describe options across these areas. The right combination depends on the studio’s engine, asset formats, repository and production process; the cited materials do not establish a universally best task tracker or handoff system.
