If a DOCX converter outputs a clause a reviewer thought they deleted, the file may still contain unresolved tracked changes. A Word view can hide deletion marks without removing the underlying revision, and turning Track Changes off does not accept or reject changes already in the document. That is a plausible explanation—not a confirmed diagnosis without the converter, its settings, and the DOCX itself.

Why deleted text can still appear in a converted document

Word distinguishes how revisions are displayed from whether they have been resolved. A display choice such as No Markup can hide revision marks from view; it does not make pending edits final. Microsoft also explains that turning off tracking stops recording new changes but does not process existing revisions. Tracked changes are represented in the DOCX document structure, not merely as visual annotations. Microsoft’s Open XML documentation describes revision elements including <w:del> and <w:ins>, and explains that deleting a paragraph mark can affect paragraph boundaries. A converter’s handling of that revision data depends on its implementation, settings, version, and the file. Some conversion workflows may extract text that a reviewer saw hidden; this does not mean every converter includes deleted text. How to check and fix the DOCX before converting it

  1. Open the original in Word and reveal markup. On the Review tab, use the Tracking display controls to show all markup, then inspect the document for deletions and insertions. Labels and layout can differ by Word edition and platform. Do not assume that text hidden by the current view has been removed.
  2. Resolve revisions according to the approved contract. Review each material change and explicitly accept or reject it. Accept a deletion if the clause is meant to remain deleted; reject it if the clause should be restored. Do not accept or reject changes indiscriminately just to make the page look clean. Microsoft documents reviewing revisions individually or in sequence in its tracked-changes workflow.
  3. Save a separate reviewed copy. Preserve the original for traceability, and make revision decisions in a working copy so you can identify which version was converted.
  4. Run Document Inspector on the reviewed copy. In Word, use File > Info > Check for Issues > Inspect Document where those labels are available. The Inspector can identify tracked revision marks, comments, versions, hidden text, and document properties. Review its findings before removing anything: removal can change document contents or metadata. See Microsoft’s Document Inspector guidance.
  5. Convert the reviewed copy and check the result. Compare the converted text with the intended final clause and the reviewed Word document. Inspect the output itself; a clean inspection of the DOCX does not establish how a third-party converter handled it. Keep both files so the approved source and its converted output can be traced.

When you need negotiation history, compare versions instead

If the goal is to see how a contract changed between versions—not to produce clean final text—use Word’s legal blackline comparison workflow. It compares two documents and generates a third comparison document. Word may prompt you to accept tracked changes in a compared version first, so note each source document’s revision state and confirm that the comparison reflects the versions you intend to review. When clause-specific review automation may help

For recurring contract workflows, a Word add-in can inspect and process tracked changes, potentially applying rules to changes in particular document locations. Microsoft Learn says, “The Word JavaScript API lets an Office Add-in inspect and process tracked changes in a document.” Its documentation names contract review and clause-specific rules as use cases: Work with tracked changes in Word – Office Add-ins. An add-in is an optional tool category, not necessary to resolve a single conversion incident.

What this incident does—and does not—establish

Without the DOCX, converter name and version, conversion settings, and output artifact, the cause of this particular result cannot be confirmed. Unresolved revisions are a supported possible explanation, but the available facts do not establish that a specific converter is defective or identify a setting responsible. The practical safeguard is to resolve revisions deliberately, inspect the reviewed copy, and verify the converted text against the contract version intended for use.
