Identify which conversation records you need
“Office 365 IM” can refer to older Skype for Business conversations or to Microsoft Teams messages. Decide which platform and conversation type are in scope before searching: the records are associated with different mailbox locations, and the broad instant-message query includes both Skype and Teams.
- Skype for Business conversations
- Teams 1:1 or group chats
- Teams standard, private, or shared channel messages
- Files shared in chats or channels, which are separate from message records
Microsoft retired Skype for Business on July 31, 2021, but says retention policies remain supported for existing customers. The retirement does not mean existing conversation records cannot be searched.
Where Skype and Teams records are stored
Skype for Business
Microsoft identifies the user mailbox’s Conversation History folder as the location for Skype for Business conversation records. That is distinct from Skype archiving: Microsoft’s retention guidance says the end user can turn off Conversation History, while Skype archiving stores a copy in a hidden folder available to eDiscovery. The folder name is a location clue, not a guarantee that every user has the same settings or retained data. Confirm the relevant mailboxes, retention or hold status, and case permissions.

Microsoft Teams
Teams compliance records are held in Exchange Online and are hidden from users in the Teams client. The live message data remains in Azure Cosmos DB; eDiscovery searches the compliance records. Microsoft maps the main record types this way:

For channel searches, use Microsoft’s more granular Teams content-location mapping rather than assuming every channel type has the same storage location.

Search for Skype conversations in Purview eDiscovery
Use the current Microsoft Purview eDiscovery case search experience. In the search query, Microsoft documents these KeyQL filters:

kind:im is not Skype-specific. Skype conversations are saved as email messages with a subject beginning “Conversation,” which is why the additional subject filter narrows the search. Replace startdate and enddate with the intended boundaries in the syntax accepted by the search interface.

- Open the appropriate case and start a search. Confirm that your account has the required eDiscovery role and that the case scope is correct.
- Select the relevant data locations. For Skype records, select the custodians’ mailboxes. For Teams, include participant, team, or channel-associated locations according to the content type.
- Enter the query and date boundaries. Use the Skype-specific query when you want Skype records rather than all instant messages.
- Review the search statistics and preview. Refine the locations or query if the results do not match the intended scope, then rerun the search.
- Move to review or export under case controls. Send suitable results to a review set or export them for outside review using your organization’s procedures.
Set date boundaries in UTC
Microsoft says eDiscovery searches use Coordinated Universal Time (UTC). If the request specifies a local date or time zone, convert the collection boundaries to UTC before searching and document the conversion in the matter notes. This avoids silently including or excluding messages around midnight or a daylight-saving transition. KeyQL keywords are case-insensitive, but Boolean operators must be uppercase: AND, OR, NOT, and NEAR.
Interpret retention, holds, and deleted messages
A message disappearing from Teams does not establish that its compliance record has been permanently deleted. Teams retention uses hidden Exchange mailbox folders that are not intended for direct user or administrator access; eDiscovery is the route for searching preserved compliance copies. Whether a record remains available depends on the applicable retention policy, Litigation Hold, eDiscovery hold, delay hold, other policy settings, and processing.

Microsoft’s current Teams retention guidance describes typical timer-job processing 1–7 days after retention expiry. In the documented retain-and-delete flow, a user-deleted message can take 21 days to move to the SubstrateHolds folder, where it can remain for at least one day before permanent-deletion processing. These are service-processing timings, not a promise that a particular message will be deleted or discoverable at a precise time.
Skype and Teams interop also affects which retention policy matters. A Skype for Business chat that enters Teams becomes a Teams-thread message and is subject to Teams retention policies. Skype client-side Conversation History saved into a mailbox is not handled by a Teams retention policy; Microsoft says to use a Skype for Business retention policy for that content.

Check that you are using the current eDiscovery experience
Microsoft says the classic Content Search and eDiscovery experiences were retired on August 31, 2025. Its legacy overview applies to Microsoft 365 operated by 21Vianet in China; other tenants should use the new eDiscovery experience in the Microsoft Purview portal. Tenant geography, configuration, licensing, permissions, and the matter’s scope can affect the workflow available, so verify those before relying on older menu paths or instructions.

- Confirm whether the request covers Skype for Business, Teams chats, channel messages, or more than one type.
- Check that all relevant custodians and storage locations are included, including OneDrive or SharePoint when shared files are in scope.
- Use the Skype-specific subject filter when a broad instant-message search would return unwanted Teams records.
- Record date boundaries and their UTC conversion.
- Check retention and holds before concluding a record is absent because it is no longer visible in a client.
- Review results and handle exports under the organization’s case, access, and evidence-handling procedures.
