To connect a Google Workspace account to Outlook, choose the setup that matches what you need: use Google Workspace Sync for Microsoft Outlook (GWSMO) for a dedicated Outlook profile with broader Workspace synchronization, or add the account through Outlook’s Google sign-in (OAuth) flow if you mainly need Gmail in Outlook. GWSMO requires a work or school account and administrator setup; direct Gmail access requires a supported Outlook edition and IMAP enabled by your Workspace administrator.

Choose the right connection method

Adding Gmail directly is not equivalent to GWSMO: Google documents that route for Gmail/IMAP access, not as a promise to synchronize Calendar, Contacts, Drive, Notes or Tasks. If you want Outlook to work with a broader set of Workspace data, GWSMO is Google’s documented option.

Before you start

  • Workspace accounts cannot use legacy password sign-in for third-party apps. Since May 1, 2025, Google Workspace accounts no longer support third-party apps or devices that ask you to sign in with your Google username and password. Use an OAuth-capable Outlook flow instead of entering your Google password into an older manual setup.
  • Check your Outlook edition. Google lists Microsoft 365 Outlook desktop, Outlook 2019 and Outlook 2016 as supporting OAuth. Outlook 2016 volume-licensed Windows Installer (MSI) is an exception.
  • Ask your administrator about policy. For direct Gmail access, IMAP must be enabled for Workspace users. GWSMO may also need to be set up or deployed by the administrator.
  • Check account type. GWSMO is for organizational Google Workspace accounts, not personal @gmail.com accounts.

Option 1: Set up GWSMO for a Workspace Outlook profile

  1. Confirm eligibility and deployment. Make sure you have a work or school Workspace account and that your administrator has completed GWSMO setup or permits you to install it. If the installer is centrally deployed, follow your organization’s instructions.
  2. Close Outlook and install GWSMO on Windows. Google instructs users to close Outlook before installation. Use the installer recommended by your administrator, or start the centrally installed setup if that is how your organization provides it.
  3. Sign in and authorize access. Enter your Workspace account when prompted and complete Google’s authorization. If you cannot sign in or the setup tool is unavailable, contact your Workspace administrator rather than trying a password-based legacy configuration.
  4. Decide whether to import existing Outlook data. Import is optional; you do not need it to start a new Workspace profile. GWSMO can import from an existing Outlook profile, an Exchange profile or a PST file. Review the migration cautions below before proceeding.
  5. Create or open the Workspace profile in Outlook. Select the profile you created and allow GWSMO to begin synchronizing. Initial synchronization may take time, and availability can differ by data type.

Option 2: Add Workspace Gmail directly to Outlook

  1. Ask your administrator to enable IMAP. Confirm that the setting applies to your organization or account before beginning.
  2. Verify OAuth support for your Outlook edition. Google’s supported list includes Microsoft 365 Outlook desktop, Outlook 2019 and Outlook 2016, with Outlook 2016 MSI excluded.
  3. Use Outlook’s add-account flow. Choose the Google account sign-in option when Outlook offers it, then complete Google’s OAuth sign-in and grant the requested access.
  4. Follow platform-specific instructions if the screens differ. Google directs Windows and Mac users to Microsoft’s Outlook setup instructions from its Gmail third-party client guidance; use the instructions matching your Outlook platform and edition.
  5. Troubleshoot policy and compatibility first. If sign-in fails, check IMAP status, organization policy and Outlook version. Do not switch to a username-and-password setup for a Workspace account.

What GWSMO synchronizes—and when

Google’s “What’s synchronized?” documentation gives these refresh intervals for GWSMO:

Data type Google-documented refresh interval
Email Every minute
Calendar Every 10 minutes, or immediately after creating an event or receiving an invitation
Contacts Every 20 minutes
Global Address List Every 24 hours
Notes Every 60 minutes, or immediately after a note change
Tasks Every 2 hours

These are Google’s documented intervals, not a guarantee that every change appears instantly in Outlook. Some changes, such as calendar event creation or invitations, have the faster behavior noted above.

Differences and features that do not sync as expected

  • Folders and labels: Outlook folders map to Gmail labels. Nested folders under Inbox can appear with names such as Inbox/folder_name.
  • Flags: Outlook message flags map to Gmail stars. Follow-up dates and reminders attached to flags do not appear in Gmail.
  • Rules and signatures: Outlook rules and signatures are not imported or synchronized. For similar message organization, create corresponding Gmail filters.
  • Personal contact folders: Separate personal contact folders do not remain separate in Google Contacts; contacts are brought into Google Contacts, where labels can be used to organize them.
  • Edits to existing messages: Changes made in Outlook to the body or subject of a message that was already received or sent do not appear in Gmail.

GWSMO supports synchronization across more Workspace data than the direct Gmail/IMAP route, but it does not make Outlook and Gmail behave identically. Google documents data and feature differences, so do not treat the two interfaces as byte-for-byte mirrors.

Import old Outlook data without creating avoidable problems

GWSMO can import data from an Outlook profile, an Exchange profile or a PST. Google distinguishes importing only data that has not already been imported from importing all data.

  • Choose an import scope that matches your situation: importing only previously unimported data can suit a resumed import; importing all data is a fresh or deliberate full-import choice.
  • Avoid repeating a completed full import without checking what it will affect. Google warns that “Import all data” may duplicate contacts, tasks, notes and email, and may overwrite existing calendar data.
  • If GWSMO’s import controls are unavailable, Google says a separate Google Workspace Migration for Microsoft Outlook (GWMMO) installation may be needed, including in some cases involving older GWSMO versions or administrator-provided installations.

GWSMO is intended for continuing to use Outlook with Workspace. If your goal is to move Outlook data into a Google Account and then use Google rather than Outlook as the interface, Google points users to GWMMO instead.
