Microsoft’s May/June 2025 rollout schedule is historical, however; it does not confirm that the capability is active in every tenant today.
What is Microsoft Copilot DLP in Word, Excel, and PowerPoint?
Microsoft Purview DLP applies organizational rules to information that Copilot can process. In its May 2025 announcement, Microsoft described bringing those checks into Office app experiences—not just Copilot web chat. Examples included rewriting text in Word, summarizing a PowerPoint presentation, and generating formulas in Excel. Microsoft’s Security Community Blog announcement was credited to Camille Birch and dated May 1, 2025.
Microsoft’s stated concern was that incorrect permissions can lead to oversharing and that generative AI’s speed in accessing and using data can amplify that risk. This is a qualitative explanation, not a quantified estimate of the risk or of DLP’s effectiveness. Microsoft’s May 2025 Copilot update put it this way: “Potential data oversharing due to incorrect permissions has always been an area of risk for organizations, and the speed at which GenAI can access and use data further amplifies this risk.”
Can Microsoft Purview DLP stop Copilot from using a labeled file?
Microsoft’s announcement described separate checks for the file already open in an Office app and a different file referenced in a prompt. The user-visible result depends on which file is covered by the rule.

When the open file is covered by a DLP rule
If an open document or workbook has a sensitivity label covered by a rule that excludes its contents from Copilot processing, the announcement says Copilot actions such as summarizing or generating content directly in the canvas are blocked. Chat with Copilot is also unavailable in that described case. Microsoft’s announcement describes the behavior; administrators should test it against their own policy and client configuration.
When a prompt refers to another file
If a user refers to a separate file in a prompt, Copilot checks policy before retrieving it. If the file’s sensitivity label is covered by a rule that blocks processing, Microsoft says Copilot displays an apology message rather than summarizing the file. How do I block sensitive information in Microsoft 365 Copilot prompts?
Microsoft Learn documents a DLP policy location for Microsoft 365 Copilot and Copilot Chat that can use sensitive information types as conditions to restrict prompt processing. The page identifies this capability as preview and says it is rolling out to tenants with access. It also cautions that in Word, Excel, and PowerPoint, the message shown to a user might not clearly explain that organizational policy caused the restriction, even though the sensitive prompt remains restricted. What did Microsoft’s May/June 2025 rollout schedule mean?
Microsoft’s May 2025 monthly update said: “This feature is rolling out in Public Preview in May and will be generally available in June.” That sentence describes the schedule Microsoft stated at the time, not a guarantee of present availability for a particular tenant. The reviewed Microsoft documentation does not establish a complete current support matrix for the original Office-app capability across tenants, cloud environments, licenses, client versions, and rollout rings. Administrators should check their tenant and current Microsoft Learn documentation rather than infer deployment from the announcement date. What should administrators verify before relying on the control?
Use these checks to confirm that a policy matches the content and Copilot behavior the organization intends to govern.
- Choose the policy condition. In the relevant Purview DLP policy location, determine whether the rule should use sensitivity labels, sensitive information types, or both. Microsoft’s current Copilot and Copilot Chat guidance describes the policy location and prompt-related preview capability: Microsoft Learn.
- Define the scope. Decide whether the desired restriction concerns the open file, a file referenced in a prompt, sensitive prompt content, or more than one of these. Confirm the expected user-visible result for each case against Microsoft’s descriptions: file checks and prompt controls.
- Check label and Office support. Microsoft says sensitivity labels in Office apps require a subscription edition of Office, with support varying by app version and platform. Built-in labels in Word, Excel, and PowerPoint generally support Open XML formats such as .docx and .xlsx, not older Office 97–2003 or OpenDocument formats. This is general sensitivity-label guidance, not a complete DLP-specific eligibility matrix: Microsoft guidance on sensitivity labels in Office apps.
- Confirm Copilot access prerequisites. Microsoft says access in Microsoft 365 apps depends on license assignment and tenant configuration. Some apps can take up to 24 hours after license assignment to show Copilot and may require an app restart or refresh: Microsoft 365 Copilot setup requirements.
- Test in the organization’s tenant and clients. Validate each intended scenario before describing the control as deployed. For the prompt-control preview, account for Microsoft’s warning that Office-app messaging may not clearly identify the policy reason for a restriction: Microsoft Learn preview guidance.
For deployment comparisons, evaluate policy scope, condition type, licensing and tenant prerequisites, client and file-format support, and what users see when a rule blocks processing. Those factors determine whether the policy addresses the intended risk and how clearly users can understand its effect.
