After you press Send, your email app hands the message to an outgoing mail service. Mail servers then route it toward the recipient’s email provider, which checks the message and decides whether to accept it, filter it, defer it or reject it. A “sent” confirmation does not prove the email reached the inbox—or that anyone read it.

How an email travels after you press Send

The exact infrastructure varies by provider, but the typical journey follows a series of handoffs. The email standard describes three steps to an SMTP mail transaction: identify the sender, specify recipients and transfer the message data. RFC 5321

  1. Your app prepares the message. It organizes the sender and recipient details, subject, headers and body. The message content is distinct from the transaction information that mail systems use to identify the sender and recipients.
  2. Your app submits it to an outgoing mail service. SMTP—the Simple Mail Transfer Protocol—defines the commands used to transfer email between systems. Providers may also perform internal processing that is not visible in the public protocol.
  3. The sending system locates the recipient’s mail service. It looks up the recipient domain’s DNS mail-exchange (MX) records to find a server to contact. The email may pass through intermediate mail systems on its way.
  4. Mail servers establish a connection. The systems may use TLS to encrypt the connection while transferring the message. Whether TLS is used, and what happens if it cannot be established, depends on the participating systems and any applicable policies.
  5. The recipient’s service checks the message. It may assess domain authentication, spam signals and other provider-specific factors before deciding what to do with the email.
  6. The service accepts, filters, defers or rejects it. An accepting server takes responsibility for the message, but acceptance does not guarantee inbox placement. The service may put it in spam or another folder, and a later failure may still be reported.
  7. The recipient’s app displays the mailbox. A notification, opening the email or reading it happens later. A successful sending status does not establish that any of those events occurred.

What SPF, DKIM and DMARC check

Receiving services can use these related but distinct email-authentication mechanisms to assess whether a message is authorized and whether the sending domain aligns with the visible From address.

  • SPF lets a domain publish which sending systems are authorized to send mail for it.
  • DKIM adds a domain-associated signature that a receiving server can check.
  • DMARC tells receiving systems how the domain wants them to handle messages that fail SPF or DKIM alignment with the visible From domain.

Authentication can help protect against sender spoofing, but passing a check does not guarantee that a message lands in the inbox. Providers make their own filtering and delivery decisions.

Does “sent” mean delivered?

Not necessarily. In an app, “sent” generally indicates that the app handed the email to its sending service or received an acceptance response; the precise meaning depends on the provider. Under SMTP, when a receiving server successfully accepts the message data, it takes responsibility for the message. If delivery fails later, the standard calls for a failure notification.

That acceptance is not the same as confirmation that the email reached the recipient’s inbox, triggered a notification or was read. Those are separate outcomes, and a sending status alone cannot confirm them.

Is email encrypted while it travels?

Sometimes a connection between mail servers is protected with TLS, but that does not mean the email’s content is encrypted end to end. TLS protects a connection between systems that use it; ordinary SMTP does not guarantee that every connection along the route is encrypted. Google notes that servers may proceed without TLS if a TLS connection cannot be established. Google Workspace: Require TLS for email

A recipient domain can publish an enforced MTA-STS policy requiring supporting senders to use an authenticated TLS connection. This strengthens transport protection when both the policy and sender support it; it is not the same as encrypting the message so that only the sender and recipient can read its contents. Why an email might go to spam or bounce

The receiving provider evaluates more than whether the sending server can connect. It may consider authentication, spam signals and its own policies. As a result, an accepted email might appear in spam or another folder instead of the inbox. A message can also be temporarily deferred or rejected, and a later delivery failure can result in a failure notice.

For example, Google’s published rules for delivery to personal Gmail accounts say all senders must use SPF or DKIM, have valid forward and reverse DNS, use TLS, format messages according to RFC 5322 and keep their spam rate below 0.3%. Senders who send more than 5,000 messages per day to personal Gmail accounts face additional requirements, including SPF, DKIM, DMARC and alignment. What to remember about the handoff

  • SMTP moves email between systems using sender, recipient and message data.
  • DNS MX records help sending systems find a recipient domain’s mail service.
  • SPF, DKIM and DMARC help receiving services assess sending-domain authentication and alignment.
  • TLS can protect a mail-server connection, but ordinary SMTP does not guarantee encryption on every hop or end-to-end encryption of message content.
  • A server’s acceptance does not prove inbox placement, a notification or a human reading the email.
