A form submission is not automatically a correctly populated CRM record. The form, the integration carrying its data, and the destination CRM property must agree on field identity, data type, and destination object. Start by identifying the submission path; then audit each field and verify the result in both the submission details and the CRM record.

First identify how the form reaches your CRM

“Form submission” can describe several different data paths, and each uses different mapping rules. Before changing field names or properties, record the form URL, form platform, CRM, integration method, and intended CRM object.

  • Native CRM form: The form is built in the CRM and its fields are connected to CRM properties. In HubSpot, the property connected to a form field determines which CRM object receives the value. HubSpot’s form documentation explains this relationship.
  • External form collected by tracking code: The form is hosted elsewhere, and the CRM attempts to collect submissions. HubSpot’s non-HubSpot form tool uses automatic matching rules and has specific limits on which properties it maps. HubSpot’s field-mapping guidance describes those rules.
  • Form handler: The external form sends values to a configured endpoint, where field names and settings must align with the source form. Salesforce Account Engagement form handlers are one example.
  • API submission: An application sends data directly to the CRM. Audit the payload field names, value formats, target object, and any API-side validation or error reporting.

Do not assume two routes into the same CRM behave alike. For instance, a native form’s configured property connection is different from HubSpot’s automatic matching for an externally hosted form.

Build a field-by-field mapping inventory

Compare what the visitor submits with what the integration sends and where the CRM stores it. Include hidden fields, consent choices, and marketing-source values—not just the visible questions.

What to record What to check
Visible label What the visitor sees, such as “Work email” or “Phone number.”
HTML input name The source field’s name attribute, if accessible. This is particularly important for form handlers.
Integration field name The name the collector, handler, or API expects and sends.
CRM property The property label and internal name that should receive the value.
Property type Whether the property accepts the submitted value’s format.
Destination object The record type intended to store the value, such as a contact or another CRM object.
Required or hidden status Whether the field must be present, whether it is hidden, and how its value is populated.

This inventory makes common failures easier to distinguish: a field can be submitted but unmapped, mapped to the wrong property, stored on the wrong object, or rejected because its value does not fit the configured type.

Check field identity and property compatibility

HubSpot external-form collection

For non-HubSpot forms, HubSpot says its collection tool attempts to match submitted fields to existing contact properties in this order:

  1. Field name to property internal name.
  2. Field label to property name.
  3. Field label to property internal name.
  4. Field name to property name.

These external-form fields map only to single-line text contact properties. If HubSpot does not detect a matching property of that type, a value may remain visible in form submission data without being stored on the contact record. Aligning field names, labels, and property names can help automatic matching, but verify the property type and inspect the resulting contact record. See HubSpot’s field-mapping documentation.

Salesforce Account Engagement form handlers

For an Account Engagement form handler, compare the handler’s External Field Name with the source HTML input’s name attribute. Salesforce says the names must match exactly, including capitalization: “The External Field Name entered in the Account Engagement form handler must match the name= attribute of the <input> tag in the HTML of your original form.” The guidance appears in Salesforce’s troubleshooting documentation, published September 30, 2025.

Also check that the handler targets the intended Salesforce field and object. Salesforce’s form-handler overview describes mapping external form fields to Salesforce fields and targeting Salesforce objects.

Confirm the destination object

A correct label or field-name match is not enough if the destination property belongs to a different object than intended. In HubSpot forms, the CRM property connected to each field controls which object receives the value. Check the property connection as well as the name. HubSpot explains this in its form documentation.

Check value formats, required fields, and validation

A field can be correctly named and still fail if its value conflicts with the configured type or required-field rules. Salesforce Account Engagement troubleshooting identifies missing required fields and submitted values that do not match the configured type as causes of handler problems. For example, a phone number containing punctuation may not fit a handler field configured to accept a numeric value. Review the actual submitted value and configured field type together; do not assume that a visitor-facing label determines compatibility. Salesforce’s troubleshooting guide also calls out character encoding when values are appended to a handler URL and the submission method.

Validation is specific to the platform and route. HubSpot announced live CRM property validation for supported HubSpot forms in 2024; that does not establish that every external form, collector, handler, or API submission applies the same rules. Check what validates the particular form and what validates the CRM write. HubSpot’s April 17, 2024 changelog entry describes the supported-form validation change.

  • Make sure every handler-required field is actually sent.
  • Compare submitted formats with destination field types, including phone, date, numeric, and choice values.
  • Check for validation rules that may reject or alter values at the form, integration, or CRM stage.
  • Use field-level error messaging where available. Salesforce says it does not retain logs of failed Account Engagement form-handler submissions, making prevention and useful errors important.

Trace hidden fields and URL-derived values

Hidden fields often carry information visitors do not enter directly, such as a known property value or data derived from URL parameters. They need an explicit path from the page or URL into the integration and then into the intended CRM property. HubSpot documents using hidden form fields to set known property values, including values passed through URL parameters. See HubSpot’s hidden-field instructions, last updated July 22, 2026.

That is not the same as HubSpot’s separate non-HubSpot form collection behavior: its documentation says the collection tool does not collect hidden fields. If a hidden value is missing, confirm whether the actual collection route supports it rather than assuming the field will be captured. HubSpot’s non-HubSpot form guidance covers this limitation.

Test the complete path and verify the record

Use controlled values that make it easy to spot swaps, truncation, and unexpected formatting—for example, a distinctive but valid name, email address, and phone value. Submit through the live route and check both what the form integration recorded and what the CRM stored.

  1. Submit one controlled test record through the same page and integration a real visitor uses.
  2. Inspect the form submission details, where available, to confirm which fields and values were captured.
  3. Open the intended CRM record and verify that each value landed in the right property and object.
  4. Look for missing values, wrong-property or wrong-object writes, unexpected overwrites, duplicate records, and partial submissions.
  5. After changing the mapping, field, or validation settings, publish the change and submit another test through the updated page.

Captured submission data and CRM storage are separate checkpoints: HubSpot documents cases where a submitted external-form value can remain in submission data without being stored on the contact. A form tool may also create multiple partial submissions when external validation causes repeated submit-button clicks. Check the collection route and validation behavior before treating every partial or repeated entry as a duplicate visitor record. HubSpot documents these non-HubSpot collection behaviors here.

Keep mappings from breaking after the repair

Save the mapping inventory with the form or integration owner. Update it whenever someone changes a form field name, CRM property, required-field rule, or integration. A short re-test after each published change can catch a broken data path before it becomes a pattern in CRM records.
