It does not establish whether a prospect is a good fit, verify that a meeting recap is accurate, or replace judgment about what to say. Those decisions still need an accountable person.
Salesforce Research’s fifth edition of State of Sales reported that representatives spent 28% of their week selling. That is a finding from Salesforce’s report, not a universal or current estimate for every sales team. Practical workflows for customer-facing teams
Inbound lead capture and assignment
- Trigger: A web form, meeting request, or other qualified inbound event creates or updates a CRM record.
- Check eligibility: Confirm required fields and apply documented territory, account ownership, or team assignment rules.
- Automate the handoff: Assign the lead, notify its owner, and create a follow-up task with a due time. Send a receipt or next-step message only when appropriate.
- Keep a person in the loop: The assigned representative reviews fit and context before substantive, personalized outreach.
- Handle exceptions: Define what happens to incomplete records, duplicates, unassigned territories, and after-hours inquiries. Track time to first human contact and the share of records successfully assigned.
Follow-up after a meeting
- Trigger: A representative logs the meeting as completed.
- Automate the reminder: Create a recap task, capture agreed next steps and dates, and update the opportunity record.
- Use sequences selectively: A repeatable reminder may be suitable for a sequence. Stop it when the prospect replies or a meeting is booked.

How to implement sales automation safely
- Map the current process. Record the customer-facing promise, current ownership, common exceptions, and known failure points.
- Choose one process. Start with repetitive work that has a clear trigger and a measurable service or operational outcome.
- Check data and ownership. Confirm that the required CRM fields are populated and settle assignment and duplicate-handling rules before building actions.
- Specify the rules. Document eligibility, actions, suppression and stop conditions, exceptions, and human review responsibilities.
- Test representative records. Include missing data, duplicates, replies, reassignment, and escalations—not just the straightforward path.
- Launch to a limited scope. Review exceptions and customer impact before expanding the workflow.
- Audit after process changes. Recheck workflow behavior when sales stages, territories, ownership, or customer communications change.
What to measure before and after launch
Capture a baseline before activation, then compare the same measures after launch. Useful operating measures include:
- Lead response time and successful assignment rate.
- Follow-up task completion and sequence reply rate.
- Time spent in each opportunity stage and handoff completion.
- Workflow exception rate and required-field completeness.
Keep operational measures separate from commercial outcomes such as conversion or revenue. A change after launch does not, on its own, establish that automation caused it. Consider whether lead mix, staffing, seasonality, or process changes could also explain the result.

Compare platforms against the actual workflow and the feature tier required to run it. Check trigger and branching support, which CRM records the workflow can act on, sales-to-service handoffs, email and calendar integrations, reporting and auditability, administrative permissions, human overrides, exception handling, implementation effort, and total plan cost. Plan eligibility and capability can differ, so a feature described by a vendor should not be assumed to be available in every subscription.

For automated outreach, suppression is a workflow requirement: ensure opt-out status is shared between the CRM and sending system, and prevent suppressed contacts from entering or continuing a sequence. The FTC’s guidance also means that outsourcing email delivery does not remove the business’s responsibility for compliance.
