The exact documents and invoice fields vary by country, so a Canadian GST/HST file, a UK VAT file, and an Indian GST file are not interchangeable checklists.
Build a transaction file that connects the claim to the purchase
A reviewer should be able to follow each claimed amount from its tax document through receipt, payment or tax liability, business use, accounting records, and the return. A purchase ledger or card statement on its own may not establish all of those links. The documents below are a practical evidence map; the legally prescribed documents and conditions depend on the applicable tax regime.
1. The prescribed tax document
Keep the supplier tax invoice, debit note, import record, or other document recognized for the transaction under local rules. Retain a legible copy with the supplier’s identity and registration details, document date, description, consideration, and tax amount or indication that the amount includes tax. Recipient details and payment terms may also be required, depending on the jurisdiction, transaction, and invoice amount. For India, CBIC Rule 36 identifies eligible document types that include supplier invoices, debit notes, bills of entry, and specified Input Service Distributor documents.
2. Evidence the goods or services were received
Keep records that substantiate delivery or performance and link it to the invoice. Depending on the purchase, this could include a delivery note, goods-received record, contract, purchase order, service-completion evidence, work log, or relevant correspondence. HMRC says a claimant must have received the supply and hold the correct evidence.

3. Payment or tax-paid/payable evidence
Retain records such as bank or card statements, remittance advice, supplier statements, and settlement records where relevant. These can help connect the invoice to the amount paid. HMRC’s guidance on alternative evidence considers whether the claimant can establish that VAT was charged and paid by the claimant; payment evidence does not, by itself, replace a required tax document.
4. The business-use connection
Record how the purchase was used in the business, particularly where the business purpose might not be apparent from the invoice. For mixed business and non-business use, keep the allocation records required by the applicable local rules. HMRC identifies business consumption or onward supply as relevant when considering alternative evidence.

5. The accounting and filing trail
Keep the purchase-ledger entry, return workings, relevant supplier-reported invoice details or portal records, and any reconciliation note showing how the claimed figure was calculated from the source documents. The point is to make the path from source document to tax return understandable; the matching procedure and legal conditions differ by jurisdiction.
6. A readable, retrievable archive
Use a consistent index, such as supplier, invoice date, tax period, and claim reference, so records can be retrieved together. Keep documents legible and preserve originals or lawful electronic records as required locally. CRA guidance recognizes computerized books and records but requires them to identify specified supplier, registration, reporting-period, tax, supply-type, and recipient details. Scanning can make records easier to find; it does not automatically establish that a scan replaces an original or prescribed document.

How the evidence requirements differ by jurisdiction

Canada: check invoice fields and exceptions
CRA guidance says an ITC claimant must obtain sufficient documentary evidence before claiming. Eligibility also depends on conditions such as registrant status, commercial activity, and tax paid or payable. The CRA’s invoice-information chart varies by transaction value: supplier business or trading name, date, and total amount appear across the listed tiers, while other details—including tax amount or tax-included indication, supplier GST/HST registration number, buyer identity, supply description, and payment terms—apply at higher listed thresholds.
The same CRA guidance describes particular exceptions or alternative records for circumstances such as computerized books, contractual agreements, employee reimbursements, procurement cards, and some unvouchered or ride-share transactions. Do not assume a card slip or ledger will suffice: confirm which exception applies and what records it requires. Filing time limits also depend on filer category and rules. For example, CRA gives an ordinary quarterly filer’s October–December 2022 purchase as having a last claim period ending October–December 2026, with a return due January 31, 2027; that example is not a universal deadline.

United Kingdom: treat missing-invoice evidence as exceptional
HMRC’s VAT Input Tax manual states: “A claim to deduct input tax must be supported by appropriate documentary evidence.” If a valid invoice is lost, or a supplier repeatedly fails to provide one despite reasonable attempts, HMRC may consider alternative evidence in exceptional circumstances. Its guidance considers whether the evidence establishes that VAT was due and charged, that the claimant paid it, that the supply was received and used in the business, and that the supplier relationship is supported. HMRC warns that routine reliance on alternatives may lead to refusal, so pursue a replacement invoice from the supplier. For imported goods, a C79 certificate is the ordinary evidence; HMRC describes considerations that may apply if it is absent.
India: retain the document and receipt evidence
For Indian GST, use a document type recognized by the applicable rules and retain records supporting the statutory conditions. The CGST Act’s Section 16 includes possession of the specified tax document and receipt of goods or services, alongside other conditions. Document requirements and conditions may change through amendments, so verify the provisions applicable to the relevant tax period rather than relying on a checklist from another country.

Organize records so the claim can be checked
- Group evidence by transaction. Give each purchase a stable reference and file its tax document, receipt or completion evidence, payment record, and business-use support together.
- Index by supplier and tax period. Use consistent names or searchable metadata so a reviewer can retrieve a document from a supplier, date, or return period.
- Reconcile the claimed figure. Link the source document to the purchase ledger and return workings, and retain a brief note for adjustments, allocations, or differences.
- Check the local rule before relying on a substitute. Confirm the required document type, invoice particulars, and any exception for the transaction. Keep attempts to obtain a missing or corrected supplier invoice where relevant.
- Preserve the record in a usable form. Keep files legible and accessible for the applicable retention period. The reviewed country guidance does not establish one retention period or a universal rule that electronic copies replace originals.
A document scanner for business receipts and invoices can help create searchable records, but scanning is an organization tool, not proof that a digital copy meets the legal evidence rules for a particular claim.
