There is no universal calendar interval for every facility. OSHA recommends an ongoing programme of initial and periodic workplace inspections, but its general hazard-identification guidance does not prescribe a single monthly, quarterly, or annual schedule for all employers. Set a recurring, risk-based inspection cadence, adjust it when conditions change or findings recur, and separately follow any frequency required by rules that apply to your facility.
First, distinguish a safety inspection from a formal audit
People often use “safety audit” to mean two different activities. A general workplace inspection looks for hazards in day-to-day operations; a formal compliance or management-system audit checks whether defined requirements and processes are being followed. They can coexist, but one schedule does not automatically satisfy the other.
- General inspections: OSHA recommends initial and periodic inspections and regular checks of operations, equipment, work areas, and facilities. The purpose is to identify hazards and verify that corrective action is taken. OSHA does not set one universal calendar interval in this general guidance. OSHA: Hazard Identification and Assessment.
- Rule-specific audits: A regulation may prescribe a particular interval for a defined employer, process, or facility. Confirm that the rule applies before treating its timing as a requirement for your site.
How to set a recurring inspection schedule
Use a schedule that keeps hazard identification active between formal audits. The appropriate cadence depends on the facility’s hazards and how quickly conditions can change; the cited general OSHA guidance leaves the precise interval to the workplace rather than naming a standard monthly, quarterly, or annual frequency.
- Map the coverage. Include operations, equipment, work areas, and facilities, not just production floors. Consider storage and warehousing, maintenance, offices, and contractor or temporary-worker activities where they are present.
- Set a repeatable baseline. Plan initial and periodic inspections that cover the mapped areas and activities. Assign responsibility and make clear how findings will be recorded and escalated.
- Adjust for risk and change. Reassess the schedule when processes or workstations change, equipment wears, maintenance is neglected, housekeeping declines, an incident or near miss occurs, or a hazard recurs. OSHA advises assessing hazard severity and likelihood to prioritize action.
- Track and verify corrections. Record findings, assign corrective actions, and check that hazards were actually addressed. An inspection that identifies a problem without follow-up cannot confirm that the condition has been corrected.
When a specific interval applies
Some intervals are tied to narrowly defined settings. They should not be generalized to all facilities.

EU-OSHA describes a typical internal audit programme that covers all areas and activities over one year. That is an example of management-system planning, not a universal legal requirement; applicable national and local rules still govern. - Jurisdiction: Identify the country, state, or other authority whose requirements govern the site.
- Industry and process: Check whether the facility or a particular process falls under a specialized standard, such as PSM.
- Audit type and scope: Confirm whether the rule concerns routine inspections, a compliance audit, or a management-system review.
- Conditions and findings: Consider whether incidents, deficiencies, changes in risk, or organizational changes call for more frequent or broader reviews.
For management-system audit planning, EU-OSHA identifies system maturity, risk of failure, prior management-review information, and changes to risks or organizational activities as relevant factors in setting frequency and coverage. Its guidance can inform planning, but it does not replace the requirements applicable in the facility’s jurisdiction.
