Prevent duplicate invoice numbers by enforcing the correct uniqueness rule in the database, then allocating numbers through a sequence or safely serialized counter. The database constraint is essential: a sequence alone does not guarantee that values stored on invoices are unique. Make invoice creation atomic, handle uniqueness conflicts, and make API or job retries idempotent. Whether numbers must also be gapless depends on your accounting workflow and local requirements.

Define what “unique” means for your invoices

Before choosing a database key or numbering method, decide the business scope. An invoice number might need to be unique across the entire system, or only within a company, legal entity, fiscal year, tax country, or document type. Imported and externally numbered invoices may follow different rules from numbers generated by your application.

Make the database key match the actual rule. For example, if two separate companies may legitimately use the same invoice number, a composite unique key such as (company_id, invoice_number) may fit. It is only an example, not a universal rule: confirm the scope with accounting and legal stakeholders before adopting it. Normalize the stored identifier consistently so formatting differences do not accidentally produce distinct keys.

Number formats and legal requirements can vary by jurisdiction and document type. SAP Business ByDesign documentation, for example, describes configuration by company, tax country, and document type, with additional criteria in some countries: SAP: Numbering of Customer Invoicing Documents. Validate the rule for your own jurisdiction and accounting system rather than assuming every invoice series must be global or gapless.

Enforce the rule with a database unique constraint

Add a UNIQUE constraint or unique index to the invoice-number column, or to the composite key that expresses your chosen scope. This is the final safeguard when two requests attempt to use the same number at nearly the same time. Microsoft’s SQL Server documentation puts it directly: “If sequence values in a table are required to be unique, create a unique constraint on the column.” See Microsoft Learn: Sequence Numbers – SQL Server.

A sequence generator helps allocate candidate values; it does not replace the constraint. Without a database-enforced rule, concurrent application workers or services can still insert duplicates, and a bug or manual import can bypass the intended allocator.

Allocate numbers safely under concurrency

Use a database sequence or a counter mechanism protected by transactional locking or an atomic update, according to your database engine and gap requirements. Avoid a bare “read the current maximum, add one, then insert” routine: simultaneous requests can read the same maximum and choose the same next number. Even when allocation is protected, keep the unique constraint as the last line of defense.

Use a sequence when gaps are acceptable

A sequence is often a good concurrent allocator when occasional gaps are permitted. In SQL Server, sequence values are generated outside the current transaction and are consumed whether the transaction commits or rolls back. The documentation states: “Sequence numbers are generated outside the scope of the current transaction. They’re consumed whether the transaction using the sequence number is committed or rolled back.” Cached values and unexpected shutdowns can also leave gaps. These details are SQL Server-specific; check the behavior of your own database engine.

Use a serialized counter when the workflow requires tighter control

A counter row or table can be updated atomically or under a lock, allowing allocation to be coordinated with a particular company or numbering series. This introduces serialization and operational complexity, so choose it only when the business requirement justifies it. A counter by itself is not a substitute for a unique constraint, and it does not automatically establish legal compliance or gapless numbering.

Make invoice creation atomic and handle conflicts

Put the steps that constitute invoice creation—such as reserving a number and inserting or posting the invoice—inside a transaction appropriate to the workflow. If the insert fails, do not treat the invoice as successfully issued. Catch the database’s unique-constraint violation explicitly: depending on the process, safely obtain another number and retry, or return a conflict for review. Never silently overwrite an existing invoice number.

Numbering can happen at draft creation, finalization, or posting. Choose the lifecycle point that matches your accounting process, and account for imports and externally numbered documents. The transaction boundary should make it clear when a number has become part of an issued or posted document and what the system records if later work fails.

Make retries idempotent

A database constraint prevents two stored invoices from sharing a number; it does not by itself prevent a client retry or a redelivered background job from creating a second invoice for the same request. Give create requests a stable idempotency key or equivalent request identity where duplicate delivery is possible. Persist the request-to-invoice outcome so a retry can return the original result instead of creating another invoice.

Decide whether gaps are acceptable

Uniqueness and gaplessness are separate properties. A unique constraint can prevent repeated numbers while allowing gaps. Sequence allocation may leave unused values after rollback, cancellation, or other events. A gap does not prove a duplicate, and a series with no visible gaps does not prove that duplicates are impossible.

If issued-document numbering must be gapless under your applicable rules, do not promise that a generic sequence will provide it. Define precisely when an invoice becomes issued, use a mechanism designed for that requirement, and preserve an audit trail for voids and cancellations rather than rewriting history. Confirm the requirement locally: SAP’s documentation notes that gap reports are legally required in certain countries, which is a jurisdiction-specific example rather than a universal rule.

Check product numbering settings rather than assuming they enforce your rule

Accounting and billing products expose numbering controls, but their behavior and scope vary. For example, Salesforce Billing assigns invoice and credit memo numbers on posting according to sequence policies; its documentation says no number is assigned when no active policy matches or when multiple active policies match. That makes policy coverage and ambiguity worth checking operationally. The feature has edition and Revenue Cloud Billing licensing requirements described in the product documentation, which can change: Salesforce: Sequential Invoice and Credit Memo Number Assignment.

Oracle Receivables documents automatic transaction numbering and document sequences, while also explaining that manual numbering can allow duplicate transaction numbers when configured to do so. A displayed last-number field may be approximate because of caching. Inspect the actual transaction-source configuration rather than treating a numbering setting as proof that duplicates are impossible: Oracle: Guidelines for Transaction Numbering.

Sage Intacct documents configurable handling that can block submission or posting until duplicate bill or adjustment numbers are unique; its described Accounts Payable handling is per vendor, not a global invoice-number rule. Confirm that the product’s scope matches your process: Sage Intacct: Field descriptions: Configure Accounts Payable.

Choose and monitor the design against your requirements

  • Uniqueness scope: global, per legal entity, per vendor, per tax region, per document type, or another explicitly defined key.
  • Concurrency: sequence allocation, serialized counter, or a database-specific allocator; confirm concurrent writers cannot commit duplicates.
  • Gap behavior: whether allocations lost to rollback, cancellation, or failure are acceptable for the relevant document lifecycle.
  • Lifecycle timing: whether numbering occurs at draft creation, finalization, or posting, including the handling of imports.
  • Audit and recovery: how the system explains voids, failed allocations, gaps, and reassignment without rewriting issued history.
  • Retries: how API retries and background-job redelivery map back to the original invoice result.
  • Operations: how the team will monitor rejected collisions, numbering-policy coverage, and sequence gaps separately.

Test the actual transaction and retry paths, including concurrent creation and rollback, in the database and application configuration you operate. Database syntax and sequence behavior differ by engine, and product settings differ by edition and configuration.
