A feature list alone is not enough: verify the triggers, actions, integrations, plan limits, usability, and support you will actually rely on.
Start with the workflows, not the product demos
Map the customer journey from first lead through qualification, sale, handoff, service, and renewal where those stages apply. For each workflow you may automate, write down:
- Trigger: What event starts the automation, such as a form submission or a deal-stage change?
- Data: Which customer fields or records does it need?
- Action: What should the CRM do, such as assign an owner, create a task, or send a follow-up?
- Owner and handoff: Who is responsible for the next step, and which team receives the work?
- Exception: What happens when information is missing, a rule conflicts, or a sync fails?
- Success measure: What outcome would show the workflow is useful?
Separate must-haves from possible future needs. That makes it easier to avoid paying now for speculative features and gives every vendor the same requirements to address. Selection guidance from Pipedrive and Salesforce likewise emphasizes fit, cost, integrations, scalability, usability, and implementation considerations.
Compare platforms against the same scorecard
Use one scorecard for each candidate. Define what a passing result looks like before demonstrations or trials, so a polished presentation does not substitute for a working fit.

Weight the rows according to your needs rather than declaring a universal winner. A sales-first team may prioritize pipeline automation and adoption; a company consolidating customer-facing work may put more weight on breadth; a business with complex processes may value flexibility but must also account for the administration and implementation effort it entails.
Check automation at the plan level
“Automation included” does not prove that a platform supports your workflow. Ask the vendor to show the required trigger and action in the plan under consideration, including exceptions and any limits that may affect volume or complexity. Confirm whether a feature requires a higher tier, add-on, or separate product. Pipedrive’s selection guidance notes that add-ons and premium features can create additional costs.

Examples in vendor materials help identify what to test, but are not a comparative performance test. Pipedrive describes sales-focused capabilities such as workflows, automatic lead assignment, sequences, AI guidance, and integrations in its CRM automation overview. Ask whether the specific capabilities you need are available in your proposed package and fit your process.
Model the full cost, including a growth scenario
Build a comparable cost estimate for each platform using the same assumptions: number of users, contacts or records, automation requirements, integrations, implementation assistance, support expectations, and likely growth. Include any necessary add-ons and separate services, not just the advertised subscription tier.

Calculate both the current scenario and a plausible next stage—for example, more users, higher record volumes, additional teams, more complex approvals, or a broader service and marketing remit. Record what would trigger a plan change or additional administrative and implementation work. Vendor prices and packaging change, and a consistent geography-specific price comparison is not established here; verify current prices, terms, and availability directly on each provider’s official pricing page before committing.
Verify the integrations your business actually needs
Make a checklist for every system the CRM must connect to, such as email, marketing, support, or accounting software. Confirm the actual connector and the details that affect daily operations:

- Which records and fields can move between systems?
- Is data synchronized in one direction or both?
- How often does synchronization occur, and what permissions are required?
- How are duplicates, rejected updates, and other sync errors surfaced and resolved?
Integration counts are vendor-published breadth claims, not proof that a particular connector meets your requirements. Pipedrive reports more than 500 integrations on its marketplace page; HubSpot says Smart CRM connects to over 2,000 popular business apps on its product page. Neither figure establishes the quality, direction, or error handling of a connection your business depends on, and both counts can change.

Ask representative everyday users and the person who will administer the CRM to complete the same tasks in each shortlisted product. Include common work such as logging an interaction, assigning a lead, updating a deal, triggering a follow-up, and reporting results. Observe where users hesitate, what requires administrator intervention, and whether the proposed plan supports the full workflow. This evaluation method helps reveal friction that a feature checklist may miss; the product descriptions cited here do not provide hands-on comparative test results.

Also ask each vendor to explain onboarding, implementation responsibilities, and support for the package you would buy. Salesforce’s CRM selection checklist includes feature fit, pricing transparency, integrations, onboarding support, and usability as comparison areas.
Use product positioning to create a shortlist, not a ranking
The vendors’ own descriptions can help you decide which products merit evaluation, but they do not establish an independent winner:
- Pipedrive: Its material emphasizes sales automation and pipeline-related workflows. It may be worth assessing when sales processes are the primary requirement.
- HubSpot: Its product page presents Smart CRM as a connected data foundation. Consider whether its scope fits a business seeking connected customer-facing functions, then verify the needed features and costs in the relevant package.
- Salesforce: Its selection guidance offers a structured set of comparison criteria, including integrations and onboarding. Assess how its capabilities and implementation demands fit your team.
- Zoho CRM: Pipedrive’s comparative discussion includes Zoho CRM in the context of automation. Treat that as a reason to include it in a shortlist if relevant, not as independent evidence of a relative product ranking.
For every candidate, validate the exact workflow, plan limits, connectors, and support with the provider. Vendor-authored product and selection pages are useful for identifying claims to check, but they do not establish customer outcomes, migration costs, or comparative performance.
