A useful cloud services catalog entry lets someone decide whether an offering fits, understand what they must choose or provide, and know what happens after they submit a request. Start with your organization’s catalog schema and policies; there is no universal set of fields. Treat AWS Service Catalog as one concrete example, not a template that every platform must follow.

What a cloud services catalog entry needs to accomplish

A catalog listing connects a consumer to an offering and its request process. NIST describes the sequence: “A cloud consumer browses the service catalog from a cloud provider, requests the appropriate service, sets up service contracts with the cloud provider, and uses the service.” NIST’s cloud reference architecture also recognizes that consumers may need to arrange payment.

Write for the person making the request, not just the team that built the service. Explain the outcome in plain language, identify the intended user, specify required choices or information, and make the next steps and support route clear. The listing should reflect the actual service and your organization’s approval, access, and billing practices.

Choose fields that answer the consumer’s questions

Use the fields your catalog supports and your organization requires. AWS Service Catalog illustrates one implementation: its product listing includes a name and description, owner, optional distributor, support information, tags, and—when the offering is deployable—a connection to its provisioning artifact. Its administrator guide documents CloudFormation, Terraform Cloud, and External product types, with artifact sources and limits that vary by type. AWS’s product creation guide is the authority for those AWS-specific details.

Name and plain-language description

Choose a name that helps users recognize the offering. Describe what it does, who it is for, and the result a requester should expect. AWS notes that the description appears in the product listing to help users choose the right product. Avoid unexplained internal abbreviations and claims about security, compliance, or service levels unless they have been verified for this specific offering.

Owner and distributor

Name the person or organization accountable for publishing and maintaining the entry. AWS defines the owner as the person or organization that publishes the product. A distributor is optional in AWS Service Catalog and can help users sort products by application publisher; include that distinction only if it helps your audience.

Provisioning artifact and version

For a self-service deployable offering, identify the configuration or infrastructure-as-code artifact that creates it, using the catalog’s supported method. AWS states, “Each Service Catalog product is based on an infrastructure-as-code (IaC) template.” AWS Service Catalog FAQ. That statement describes AWS Service Catalog; other catalogs may use different product models.

Give each version a meaningful label and describe what changed. AWS makes version name and description optional in its workflow, but they help users understand what they are launching. AWS also documents additional setup for Terraform products, including a Terraform provisioning engine and launch role, so do not assume one product type’s onboarding steps apply to another.

Inputs, permitted choices, and constraints

List the information or choices the requester must supply and explain any limits that affect whether the service will work for them. Where the catalog or artifact supports validation, encode constraints rather than relying only on prose. AWS documents parameter properties such as minimum and maximum lengths or values, allowed values, and regular expressions. Describe only the constraints that actually apply to your service.

Support, tags, and access context

Provide a current support email or URL and explain what information a requester should include when asking for help. AWS offers optional email, support link, and support description fields and puts responsibility for keeping support information accurate and accessible on administrators. Use tags when they help users categorize offerings or support access governance; AWS describes both as possible uses.

Make the access model understandable where it affects the request. AWS product details can show whether provisioning uses the requester’s permissions or an administrator-specified role, along with the product version, description, support information, tags, and whether a newer version is available. AWS’s FAQ describes these AWS-specific product details.

Explain responsibilities, cost, and what happens after a request

Describe the actual responsibility split

Service-model labels can help orient a reader, but they do not replace a clear account of who operates what. NIST’s 2018 guidance explains how to evaluate cloud capabilities against the NIST cloud definition and categorize them as SaaS, PaaS, or IaaS. NIST SP 500-322 provides that framing.

  • PaaS: Consumers develop, test, deploy, and manage applications; providers manage the platform infrastructure and tools.
  • IaaS: Consumers create, install, manage, and monitor infrastructure services; providers supply the underlying compute, storage, networking, and hosting.

These are broad distinctions. State the responsibilities for your own offering, including any actions the requester or their team must take, rather than relying on a label alone.

Set expectations for charges and service terms

Do not publish a price, billing unit, SLA, security claim, or compliance status unless it has been checked for the specific service, region, and date. NIST notes that consumers may be billed for provisioned services and that billing approaches vary by service model and resource consumption. Link or point to the applicable internal terms if they exist; do not imply that a general catalog description establishes a particular price or commitment.

Clarify approval, delivery, and upgrades

Explain what happens after submission: whether approval is required, who reviews the request, how the consumer receives the service or access details, and where to find help. AWS Service Catalog is designed for approved offerings and governed self-service discovery and launch, but the exact workflow depends on the organization’s configuration.

If versions can change, say whether existing deployments update automatically or require an explicit action. In AWS Service Catalog, publishing a new version can make it available to end users without automatically updating products already in use; users can choose to update running stacks. AWS’s FAQ documents this AWS behavior.

Draft and check the entry

  1. Confirm the catalog schema and policy. Identify required fields, approval rules, access controls, and the platform’s supported product types before drafting.
  2. Write the consumer-facing description. State the service outcome, intended user, and any important exclusions or prerequisites in language a requester can understand.
  3. Document request inputs and results. List what the user selects or supplies, what happens after submission, and what access or delivery information they should expect.
  4. Connect the right artifact and version. Verify that the configuration is the one intended for the offering, that its constraints match the prose, and that version notes describe meaningful changes.
  5. Verify ownership and support. Check that the named owner and support route are current and that responsibility for maintaining them is clear.
  6. Review before publishing. Check accuracy of costs, terms, permissions, constraints, and upgrade expectations; publish only claims confirmed for the specific service and applicable context.

Expose the listing where users request services

A catalog entry is useful only if its intended users can find and request it. AWS documents a connector for ServiceNow and Jira Service Desk that lets users browse and request administrator-approved AWS products through those service portals. AWS’s integration documentation describes that option. Google Cloud’s documentation likewise treats catalog creation, solution creation, assignment, sharing, and management as platform-specific workflows rather than evidence of a universal entry schema.
