This guide covers updates to resource data—not application software releases or changes to the API itself. Exact behavior varies by platform and endpoint.
Start with the API’s state and consistency rules
Before designing synchronization, check the documentation for the specific resource and endpoint. Establish which system is authoritative, how to read its current state, what a successful write guarantees, and whether reads immediately reflect that write. Also check the endpoint’s pagination, rate limits, deletion handling, and event-ordering rules; these determine whether a local comparison can be complete and how it recovers from gaps.
A successful write does not always mean that a subsequent search returns fresh data. Atlassian states, “The API doesn’t provide read-after-write consistency by default,” for Jira Cloud search. Its Search and Reconcile documentation describes a targeted reconcileIssues parameter: it accepts up to 50 issue IDs, and the consistency guarantee applies only to the specified issues. This is a Jira-specific mechanism, not a general API guarantee.
Prevent stale updates from overwriting newer work
When multiple clients can edit the same resource, use the platform’s documented version or conditional-write mechanism if available. These mechanisms let the API detect that a client is updating a version it did not read, rather than silently accepting a stale payload.

resourceVersionto detect lost updates and can reject an outdated update with409 Conflict. Its API concepts explain conditional updates and conflict handling. - Twilio: On supported resources,
ETagandIf-Matchprovide optimistic concurrency controls. Twilio warns that an update without those headers may overwrite a previous update. See API mutation and conflict resolution.
Do not assume every resource supports these controls, or that two platforms use the same headers, version rules, or error responses. Confirm the behavior for the endpoint you call.
Resolve conflicts using the data’s meaning
When the API rejects an update because the resource changed, read the current version and decide how the new state should be formed. Blindly resending the original payload can repeat the conflict or overwrite another user’s changes. Choose a policy appropriate to the fields and their consequences:

- Merge independent changes when the fields can safely coexist—for example, updates to distinct attributes.
- Ask a person to choose when two edits express incompatible intent, such as different values for the same important field.
- Reject and surface the conflict when an automatic decision would be unsafe or misleading.
AWS AppSync illustrates why merge rules must fit the data model. Its conflict detection and resolution documentation describes optimistic concurrency, automerge, and Lambda conflict handling. The documented automerge behavior differs between scalar and collection fields; optimistic concurrency rejects a version mismatch, leaving the client to handle the conflict and retry with updated data. These are AppSync-specific options, not universal merge semantics.
Make retries safe and events recoverable
Design retries around uncertain outcomes
A timeout does not prove that an operation failed: the server may have completed it before the response was lost. If the API supports idempotency keys, use the documented mechanism and confirm its scope and retention rules. Otherwise, assign a stable identity to the operation or verify current state before repeating a non-idempotent side effect. Do not assume that retrying a request is safe merely because the request is identical; confirm the API’s guarantees.

Process webhooks as synchronization signals
Events can be delayed, duplicated, or delivered out of order. Plaid advises, “You should design your application to handle duplicate and out-of-order webhooks.” Its webhook documentation also recommends idempotent handling and a polling or other recovery path when expected notifications do not arrive.
- Persist each incoming event reliably before processing it.
- Deduplicate events using the platform’s documented event identity or another stable key.
- Make the resulting work idempotent, so replaying an event does not repeat harmful side effects.
- Use events to trigger a read or update, not as proof that every event arrived exactly once or in order.
- Provide a polling or reconciliation path to detect missed notifications and compare local state with current API state where supported.
Choose synchronization mechanisms by their trade-offs
Mechanisms that all appear to “keep data in sync” solve different problems. Select based on the API’s documented guarantees and the consequences of a missed or conflicting update.

No single mechanism replaces the others: version checks help prevent lost writes, reconciliation reads address stale views, and event recovery helps restore local state when notifications are incomplete. Choose only the mechanisms the target API supports, and monitor failed writes, unresolved conflicts, processing errors, and differences found during recovery checks.
