Create your payment QR code through your payment provider or a payment-link checkout tool—not with a generic QR generator alone. First decide whether customers should enter an amount or scan to pay for a specific item, service, or event. Then create the provider’s code, test its checkout destination, display it, and confirm each payment in your provider account or POS records.
Choose how customers will pay
The QR code is usually a doorway to a payment provider or hosted checkout. The provider’s account and checkout flow make it possible to receive and reconcile a payment; a QR image by itself does not.
Use a reusable code for flexible amounts
A merchant QR code can suit a counter, market stall, appointment, or other sale where the customer enters the amount. PayPal’s US business QR instructions describe this flow: the customer scans the code, enters the amount, and pays. See PayPal’s business QR instructions.
Use a payment link for a defined purchase
For a particular product, service, deposit, class, event, or donation, create a payment link with the relevant details and turn that link into a QR code. PayPal Payment Links support product details, images, pricing, and customer notes; Square offers links for collecting a payment, selling an item, an event or class, or a donation. Create the code with your provider
PayPal business QR code
- Sign in to your PayPal Business account and create its unique business QR code using PayPal’s QR instructions.
- Display or share the code. For an amount-entry payment, the customer scans it and enters the amount before paying.
- For a specific purchase instead, create a Payment Link, enter the product or service information, configure applicable options such as price, tax, or shipping, then use PayPal’s build-and-share flow to generate the link and QR code. PayPal describes these as no-code links to PayPal-hosted checkout in its QR code developer documentation.
Square Payment Link
- Sign in to Square Dashboard and open Payments & orders (or the corresponding Payments menu), then select Payment links.
- Choose Create link and select the purpose, such as collecting a payment, selling an item, or promoting an event or class.
- Enter a customer-facing title and the amount or other relevant details, then save the link.
- Choose the option to share the link as a QR code. Square also supports creating and sharing links by QR code in its POS app for selected link types. Some settings are Dashboard-only; Square says international links do not support tax and shipping fee settings. Consult Square’s Payment Links instructions for current menu labels and limitations.
These paths describe the providers’ documented US-facing flows; menus, eligibility, payment methods, and features can vary by country, account, and app version. If you use another processor, ask your acquirer or service provider whether it supports merchant-presented QR payments and what setup it requires. The U.S. Payments Forum advises merchants to contact their acquirer or service provider for implementation specifics in its FAQ: QR Codes.
Compare checkout behavior, fees, and fit
Compare the actual payment flow and account terms before printing a code. The figures below are the rates stated on PayPal’s US pages accessed October 4, 2026; they are not worldwide prices, and PayPal says fees can change. Square says processing fees vary by plan. Check the live pricing for your country, account, and chosen payment method.

- Supported payment methods: PayPal’s Payment Links documentation lists PayPal, Pay Later, Venmo, Apple Pay, and major cards, but availability depends on region and account. Confirm what your checkout actually offers. PayPal developer documentation.
- POS and reporting: Check whether staff can use the provider’s existing POS workflow and whether sales can be viewed by link. Square documents link-level sales reporting and controls; integration with the POS, customer journey, and connectivity are also relevant implementation considerations. - Tax and recordkeeping: Verify your provider’s available settings and your local tax and reporting obligations. Do not assume a link or QR code automatically handles them.
Test the payment flow before displaying it
- Scan the provider-generated code with a suitable customer device and inspect the destination and displayed business identity.
- Check whether the checkout asks for an amount or shows the intended item, service, or price.
- Explain the steps to employees and customers; display provider acceptance signage where customers will pay.
- For a live payment, confirm completion in the business’s provider account or POS records. A screenshot shown by a customer is not proof of payment.
The U.S. Payments Forum identifies screenshots of already-used codes as a potential concern and recommends awareness for customers and employees, along with signage at the point of payment. PayPal also advises customers to scan the displayed code directly rather than rely on a screenshot.
