To find a file in Windows, search from the likeliest folder, try a distinctive filename or document word, then narrow results with File Explorer’s Search options. If the file still does not appear, check Windows indexing and whether its file type includes searchable contents.
Choose where Windows searches
Open File Explorer and navigate to the folder most likely to contain the file. Enter a search term in the search box; File Explorer searches that folder and its child folders by default. A focused location avoids searching more of the PC than necessary.
If you do not know where the file is, search This PC. Microsoft describes this as a more in-depth search that can take longer. For documents across your PC and OneDrive, Windows taskbar search is another option. Microsoft’s Windows search guidance covers these search surfaces.
Start with a distinctive name or document word
Type the most distinctive part of the filename you remember. If you remember a word in a document but not its name, try that word as a search term. Microsoft documents taskbar search for both document names and keywords from document contents.

Content searches depend on indexing. Windows can index text within supported files, but a file type configured to index properties only will not return matches based on words inside the file. If a filename search succeeds but a content-word search does not, check the indexing settings below.
Use File Explorer filters to narrow results
In File Explorer, select the search field or run a search to expose the Search options toolbar, then apply a refinement. Microsoft lists filters for modified date, kind, size, system files, and zipped files. Use one at a time at first; stacking filters can exclude the file if one assumption is wrong.

- Date modified: Narrow results to files changed in a relevant period.
- Kind: Limit results to categories such as documents, pictures, or videos.
- Size: Focus on files within a relevant size range.
- System files or zipped files: Include those categories when they fit what you are looking for.
These are interface refinements, not a guarantee of a particular typed query grammar. The Microsoft material available for File Explorer documents Search options; it does not establish a universal set of typed operators across Windows 10 and Windows 11. Syntax shown for Bing or SharePoint search belongs to those separate products and should not be assumed to work in File Explorer.
Find large, zipped, or specific-format files
For a large or zipped file, search from the likeliest folder and use the corresponding Size or Zipped refinement in Search options. To identify a file’s format, turn on filename extensions: in File Explorer choose View > Show > File name extensions. The extension identifies the file format; the Kind filter can then help narrow results by category. See Microsoft’s guide to common Windows file name extensions.

Check indexing when Windows misses a file
Windows Search uses an index of filenames, paths, properties, and, where enabled and supported, file text. The index helps Windows find matching terms and properties; new or changed files may not appear immediately while indexing catches up. Microsoft says initial indexing can take up to a couple of hours, and it continues in the background as data changes.
- Open Settings > Privacy & security > Searching Windows.
- Review whether Windows is set to Classic or Enhanced, and check the indexing status.
- If the missing match is a word inside a document, check that the file type indexes both properties and contents rather than properties only.
Classic indexes common folders including Documents, Pictures, Music, and the desktop. Enhanced indexes the entire PC, including user folders and files, giving wider coverage but potentially using more resources. Microsoft explains the modes and content indexing in its Windows Search indexing guide.

What is different on Copilot+ PCs?
Microsoft says Copilot+ PCs can use semantic indexing alongside traditional indexing for supported file types. This device-specific feature can return semantically related results, not only exact keyword matches; semantic-index data is stored locally. Microsoft recommends that initial indexing take place while the PC is plugged in. These behaviors should not be assumed for every Windows PC.

Microsoft’s Windows search guidance applies to Windows 11 and Windows 10. Microsoft states that Windows 10 support ended on October 14, 2025; this does not change the search steps described here, but it is relevant when considering the support status of a Windows 10 device.
