Set a default printer in your computer’s printer settings; change paper size, color, duplex, and quality in the print dialog or printer-driver preferences. These are separate controls: the default printer is the starting selection when you print, while print settings determine how a job comes out. Windows and macOS both let you choose a fixed printer or, in some cases, use the last printer used.
Choose a fixed default or let the computer choose
A fixed default is useful when you usually print to the same device. A last-used option can be more convenient if you switch printers, such as between home and work. Confirm the selected printer in the print dialog before sending an important job.
| Choice | What happens | Useful when |
|---|---|---|
| Fixed default | The printer you select remains the default until you change it. | You normally print to one printer. |
| Automatic or last-used | Windows can manage the default based on the last printer used; macOS offers “Last Printer Used,” which can vary by network location. | You regularly switch between printers or locations. |
Set a default printer in Windows 11 or Windows 10
Microsoft’s instructions cover both Windows versions. The setting to disable automatic management is necessary to choose a fixed default through this workflow. If the printer you want is not listed, add or install it first. Microsoft’s Windows instructions include both routes and note that Windows 10 support ended on October 14, 2025.
Windows 11: choose a fixed default
- Open Start > Settings > Bluetooth & devices > Printers & scanners.
- Turn Let Windows manage my default printer off.
- Select the printer you want, then select Set as default. Its status should show Default.
If Set as default does not appear, check that automatic default management is off.

Windows 10: choose a fixed default or last-used behavior

- To set a fixed printer, turn Let Windows manage my default printer off, select the printer, choose Manage, then Set as default.

On a mobile Windows device, changing location may lead Windows to use the last printer used at the new location.
Set a default printer on a Mac
Open Apple menu > System Settings > Printers & Scanners. Under Default printer, choose a specific printer to keep it selected as the default, or choose Last Printer Used to use the most recently used printer at the current network location. This can mean a different printer is selected at home and at work. Apple also documents a shortcut: Control-click a printer in the list and choose Set Default Printer. See Apple’s instructions for choosing a default printer.

If a print dialog reports that no printer is selected, add a printer first. The Printers & Scanners pane also provides printer details, queue and supplies information, and a default paper-size setting. The options available there depend on the printer. Apple’s guide to Printers & Scanners settings describes the pane.

Changing the default printer does not set how a document prints. To adjust a particular job, open the application’s print dialog and look for the relevant options, such as paper size, color, two-sided printing (duplex), or print quality. The names and availability of controls depend on the printer model, driver, application, and operating system.

A choice made only in an application’s printing software may apply to the current print session rather than future jobs. For a setting to carry across programs and sessions, use the printer’s default settings or driver preferences when available. Epson explains this distinction, but its menu examples are specific to devices and drivers—not universal paths for current Windows and Mac versions. Epson’s guidance on default printer settings gives further context.

If the default or print settings are not behaving as expected
- Check that the printer is installed. Confirm it appears in your system’s printer list. Add it if it is missing.
- Check default management. In Windows, automatic management must be off to set a fixed default using the documented steps. On a Mac, inspect the selection under Default printer.
- Choose the behavior you want. Select a fixed printer if it should remain the default, or automatic/last-used behavior if you want the computer to follow recent use.
- Check the application’s print dialog. Verify the selected printer and the options for the current job before printing.
- Look for persistent controls in the driver preferences. If an option is missing, it may not be exposed by that printer model or driver; there is no single settings location that applies to every printer.
