Start with a useful opening view, make its scope visible, and choose controls that make common comparisons easy. The right fields and default values depend on the dashboard’s purpose, audience, and platform.
Start with the dashboard’s purpose and audience
Before adding a control, identify what readers should learn or do with the dashboard and who will use it. Tableau’s dashboard guidance likewise treats purpose and audience as starting points for design: Best Practices for Effective Dashboards.
A filter belongs when narrowing the data helps answer a real reader question. A field’s presence in the underlying dataset is not, by itself, a reason to turn it into a dashboard control.
Choose a small set of useful filter fields
For a business dashboard, possible candidates include a reporting period, region, team, product, or status. These are examples, not a universal required set: include only dimensions that fit the dashboard’s task and data.

- Monitoring current performance: A reporting-period control and a relevant organizational or product dimension may help readers locate changes.
- Broad overview: A broad starting scope may be more useful than asking readers to select a value before they can see the full picture.
- Investigation or comparison: A category or status control may help readers isolate a meaningful group or compare groups.
Keep the visible controls concise. Put less-used options in a secondary or collapsed area if the platform supports it. Tableau’s recommendation to use two or three views in general refers to dashboard views, not to a recommended number of filters. Looker supports expanded or collapsed filter bars, while Grafana allows controls above a dashboard, in a controls menu, or hidden. A hidden control should not obscure the scope of the results from readers.
Set an opening view that fits the job
Choose an initial state that gives readers a useful view as soon as the dashboard opens. A recent period can suit monitoring when freshness matters; an all-inclusive view can suit a dashboard intended to summarize the full population. Neither is a universal default: the reviewed platform guidance does not prescribe a standard date window or selection.

Make the current scope apparent in labels or the visible control state. This helps readers understand what is included before they interpret a chart or compare results. Consider whether the default could hide an important exception or group; if so, make it easy to broaden the view or reset the selection.
Looker supports configured dashboard-filter defaults, and Grafana dashboard controls allow an optional default key/value pair. Their available settings and labels can vary by product version, so consult the current documentation for the platform you use: Looker dashboard filters and Grafana dashboard controls.

Match the control to the kind of choice
Choose a control that reflects the field and the reader’s task. Tableau documents single- and multiple-value list or dropdown controls, sliders, and relative-date choices in its filtering guidance.
- One value defines the intended scope: Use a single-select control, such as a region selector when readers should focus on one region at a time.
- Readers need to combine or compare values: Use multi-select when selecting several values is a legitimate part of the task.
- Many category values: Prefer a searchable dropdown over a long, difficult-to-scan list.
- Ordered or continuous values: Use a date selector, range control, or slider where appropriate.
- Time period: Decide whether readers need a fixed period, absolute start and end dates, or a relative range that moves forward with the current date.
Consider the effect of a choice on query cost as well as usability. The official platform sources describe capabilities, but they do not establish a universal performance threshold for filters.

Make the scope of each filter clear
Readers should be able to tell whether a filter affects every tile or only selected views. Check its scope with representative selections and confirm that the intended charts update together. Looker allows a dashboard filter to apply to all tiles or selected tiles; Tableau provides options for applying filters across worksheets. Also make it straightforward to recognize and clear or change the current selection. A control is less useful when readers cannot tell what is selected or how it shaped the displayed results.

Do not use a required filter as access control
In Looker, dashboard filters are optional by default; leaving an optional filter blank leaves results unrestricted by that field. A required filter can prevent the dashboard from running until a value is selected, but Google specifically says not to use required filters to limit data access. Use Looker’s access_filter mechanism for that purpose, and use the equivalent security control in other platforms. See Google’s Looker dashboard-filter documentation.
Use this decision check before publishing
- Name the task: State what the dashboard helps readers monitor, summarize, investigate, or compare.
- Choose only relevant fields: Add a control only when it supports that task.
- Set the opening state: Pick a focused or broad default that suits the dashboard, and make the included scope visible.
- Select the control type: Match single- or multi-select, searchable lists, date choices, or ranges to the field and reader task.
- Verify scope and behavior: Test representative selections and confirm which tiles respond.
- Keep settings understandable: Ensure readers can identify and change the current selection; document a consistent approach across related dashboards. Grafana’s dashboard best practices emphasize establishing and documenting a consistent strategy.
- Keep security separate: Apply platform access controls rather than relying on a required filter.
Product features and documentation can change. Tableau, Looker, and Grafana describe different filter controls and behaviors; check the current documentation for the platform and version in use before following product-specific steps. No single default value or filter count is established across dashboard products.
