Those outcomes depend on where your files live, who administers the service, which features and controls are enabled, and how well the software handles your actual documents and workflows. Compare those factors directly rather than treating the license label as a verdict.
What open source and proprietary tell you—and what they do not
Open source means the software’s source code is available under an open-source license; proprietary software is distributed under terms that do not grant the same rights to inspect, modify, or redistribute its code. These labels describe licensing and development, not the complete privacy or security arrangements around an app.
LibreOffice describes itself as free and open source. In its own comparison, Nextcloud labels its platform open source and identifies several named competing services as proprietary. That vendor-authored comparison is useful for understanding Nextcloud’s position, but it is not an independent evaluation of the products.
Source-code access does not tell you where a service stores files, who can administer the servers, or whether your deployment is configured securely. Likewise, proprietary licensing does not by itself establish that an app is unsafe or that its provider has unrestricted access to every kind of data.

Privacy depends on data custody, deployment, and settings
Start by separating code transparency from data custody. A desktop app can work with files you manage locally, while an online service may store or process files on infrastructure operated by you, a provider, or both. Nextcloud says its platform can be hosted in an environment selected by the customer, including a hybrid deployment. That creates deployment choice; it does not guarantee that hosting, access controls, backups, or updates are secure.
Cloud software can also offer privacy controls without giving users control over every part of the service. Microsoft documents settings for Office diagnostic-data levels and connected experiences, including features that analyze content or download online content. Which settings are available varies by product, operating system, and version, according to Microsoft Learn’s page last updated August 24, 2026. Check the controls for the specific app and device you use rather than assuming one setting applies to every Microsoft 365 plan or installation.

Microsoft’s statement about Copilot is also deliberately specific: for Copilot in Microsoft 365 apps for home, Microsoft says prompts, responses, and file contents “aren’t used to train foundation models.” The same documentation notes that some Copilot features depend on settings for experiences that analyze content and for all connected experiences. Do not extend that statement to other Copilot products, account types, or data-processing practices.
A practical privacy checklist
- Identify the storage location: determine whether files remain on your device, are stored with a cloud provider, or are hosted on infrastructure your organization operates.
- Find the administrator: establish who controls accounts, permissions, server configuration, updates, and recovery.
- Review connected features: check the app’s current diagnostic-data and online-feature settings, including any features that analyze document content.
- Check the operating arrangements: for hosted services, confirm the deployment geography, backup process, access rules, and account-recovery process that apply to your organization.
Portability is about real files and workflows
LibreOffice supports OpenDocument formats and workflows using Microsoft Office formats. Its Help documentation explains how to change default save formats and use the Document Converter Wizard to copy and convert Microsoft Office files in a folder into OpenDocument files. Batch conversion can make a migration more manageable, but it does not prove that every converted file will look or behave exactly as it did before.

Test representative DOCX, XLSX, and PPTX files before switching, especially documents that matter to customers, regulators, or day-to-day operations. Inspect layout, fonts, formulas, comments, and any features your team relies on. The LibreOffice project describes cross-platform use and interoperability as design goals; those aims should not be mistaken for a measured guarantee of compatibility with every file.
Macros are a significant migration risk
If your workbooks or documents use automation, include it in the migration test. LibreOffice Help says Microsoft Office VBA and LibreOffice Basic use different objects and methods and, with a few exceptions, cannot run the same macro code without changes. A file may open while its automation fails or behaves differently. Have the people responsible for those macros check and test them before relying on converted files.

Ease of use depends on the work people need to do
There is no established independent side-by-side usability result in the cited material that proves one licensing model or suite is easier for everyone. A familiar interface may reduce retraining, while a different app may suit a team’s tasks or deployment better. Assess the actual work rather than relying on a product’s general ease-of-use claims.
Nextcloud’s comparison describes its interface as avoiding unnecessary clutter and presents ease of use as an advantage. That is Nextcloud’s own assessment, not a neutral usability study comparing it with Microsoft 365. Its comparison also lists more than 200 apps in its ecosystem; the page does not state a publication date, so the count should be treated as a vendor-reported figure rather than a current, independently verified total.

Run a task-based trial
- Ask representative users to create and revise the documents, spreadsheets, and presentations they use most.
- Test collaboration and sharing, including how people work when offline and how they regain access after an account or device problem.
- Have users exchange files with the organizations and clients they work with, then check the returned files for layout and feature changes.
- Include users who rely on assistive technology and test the accessibility features they need.
- For any self-hosted option, include the administrator’s work to deploy, maintain, update, and recover the service in the trial.

When migration help may be worthwhile
For larger LibreOffice deployments, the LibreOffice FAQ points users toward professional support. The Document Foundation describes certified professionals and migration consultants. These can be relevant when an organization needs help inventorying Office files, adapting macros, training users, or planning support; their availability does not mean every migration requires a consultant.
Include staff time, administration, training, support, and any hosting work when comparing options. A no-license-fee application can still require meaningful deployment effort, while a managed service shifts some operational work to its provider without removing the need to assess settings and policies.
