Do not enter personal or sensitive data, confidential company material, credentials, trade secrets, financial or regulated records, classified information, or nonpublic plans into an AI tool unless your employer has approved that specific tool, data type, and workflow. Treat a prompt or upload to a public or unapproved service as information shared with an outside system. When in doubt, leave it out and ask your security or privacy contact.
What to keep out of an unapproved workplace AI tool
Use your employer’s data-classification rules and approved-tool policy as the authority. The following categories are a practical warning list, not a universal legal taxonomy; labels such as “internal” can mean different things at different organizations.
- Personal and identifying information: names connected to records, contact details, account identifiers, employee or customer files, Social Security numbers, payment-card details, health information, and other information that identifies a person. Canadian privacy commissioners recommend anonymized or de-identified inputs where possible; the FTC identifies Social Security numbers, credit-card information, and other sensitive personal information as material to protect. - Financial, regulated, or legally protected records: payment or account data, financial records, health information, and other records governed by privacy, security, or records rules. The exact obligations depend on jurisdiction, industry, and the data involved; follow your organization’s requirements. North Carolina state guidance
- Confidential business material and trade secrets: nonpublic source code unless its use is approved, unpublished product plans, customer or vendor confidential material, internal investigations, contract bids, and business strategy. The U.S. Department of Energy guide identifies contract solicitation responses as proprietary or confidential and advises validating rights before using protected information. DOE guide
- Credentials and access material: passwords, API keys, recovery codes, private keys, and access tokens. These are sensitive access information; do not disclose them in prompts or uploads unless an explicitly authorized workflow requires it.
- Classified, controlled, export-controlled, or otherwise restricted information: use only a system and workflow authorized for the applicable classification. Government guidance warns civil servants against putting classified or sensitive information into general web-based tools; your employer’s classification rules determine what applies to you. - Nonpublic plans or intent: even without names or records, a prompt can disclose what an organization is considering. UK civil-service guidance specifically cautions against revealing nonpublic government intent. UK government guidance
Why prompts and uploads need a boundary
You may not control what happens to information after submitting it to an external service. Processing, retention, secondary use, and disclosure depend on the provider’s terms and settings. The UK guidance cautions that government has no oversight over how data entered into web-based AI tools is subsequently used. The Department of Energy’s June 2024 guide warns that inputs may be stored, included in training data, or exposed; that is a risk warning, not a claim that every service uses every prompt for training. Privacy and security risks are not limited to training reuse. The Office of the Privacy Commissioner of Canada identifies prompt injection, model inversion or data extraction, and jailbreaks among the threats requiring safeguards. When is workplace information okay to enter?
There is no universal yes-or-no rule based only on whether an account is labelled “enterprise” or “paid.” Authorization depends on the information’s sensitivity and classification, the data owner’s rights, the employer’s policy, the service’s retention and secondary-use terms, the tool’s configuration and integrations, and applicable legal, contractual, and privacy obligations. An enterprise label by itself does not authorize every data type.
Official rules vary by organization and jurisdiction. For example, North Carolina’s state guidance says entry of sensitive information such as PII, financial records, and trade secrets in publicly available generative AI prompts is prohibited in its state context. That is not a universal law for all employers or services. Check your own organization’s approved-use rules and ask its designated security, privacy, or data owner contact when a category or workflow is unclear. North Carolina guidance

How to get useful AI help with less risk
- Choose an approved tool and use case. Check your employer’s current list and whether the specific workflow is allowed. Organizations should assess how a tool uses, stores, and destroys data; North Carolina guidance calls for a security assessment before use and reassessment at least annually or after major changes. - Give the tool only what the task needs. Describe the task and provide necessary context rather than pasting an entire file or database. FTC business guidance supports scaling down collection and limiting employee access to the information needed for their jobs. FTC guidance
- Remove identifiers or use synthetic examples. Replace names, account numbers, exact dates, and unique details with placeholders or fictional examples if those details are not necessary. - Confirm authorization and rights. For confidential or protected material, verify that the data owner and your organization allow that information in that service and workflow. The DOE guide recommends validating rights with the originator and consulting legal counsel where appropriate. DOE guide
- Prefer public material when it will do. Asking for a summary of a published article is generally lower risk than submitting an unpublished customer file, but still check the service’s terms and your employer’s policy. If you accidentally submit restricted information
Report the mistake promptly through your organization’s established security incident or privacy process, and notify the designated supervisor or response contact. Follow their instructions; do not assume that deleting a chat or upload removes provider-side copies, because that depends on the service.
