Use AI meeting notes to draft tickets, not to decide what the team agreed to do. Start with the fullest available notes or transcript, separate explicit commitments from discussion, draft one issue for each distinct work item, and verify every field against the source before creating it.
Start with the best available meeting record
Work from the full notes or transcript when available, rather than relying only on a short AI summary. Google Meet distinguishes Quick notes, which provide a short summary and action items, from Full notes, which include more detail, decisions, and action items. Google cautions that a generated summary may be incomplete, inaccurate, or not generated at all. Keep the source notes or recording accessible while reviewing ticket drafts. Access to Meet’s “Take notes for me” feature depends on a Workspace edition that includes it, and an organization administrator may need to enable it. Check the current documentation and your account’s settings for availability.
Separate decisions and commitments from discussion
Identify distinct requirements, decisions, and explicit action items. A brainstorming suggestion, open question, tentative idea, or possibility without an agreed next step is not yet a committed ticket. When the record does not establish whether the work was agreed, who owns it, or when it is due, ask the meeting owner or team to resolve the gap rather than guessing.

Keep the distinction visible in your working draft: confirmed work can proceed to ticket review, while uncertain items should be marked as questions to resolve. AI-generated notes can omit context or misstate it, so an apparent action item is evidence to check—not proof that a person accepted the work.
Draft one tracker-ready issue per distinct work item
Write a concise summary and a description that states the requested outcome and why it matters. Include relevant decisions, dependencies, and constraints from the meeting. Add acceptance criteria only when they can be grounded in the discussion or established project requirements; criteria should let a teammate check whether the work is complete.

Use the project’s actual issue types and required fields. A bug, task, and story are not interchangeable, and Jira projects may have different configurations. Atlassian’s transcript-to-Jira example describes generating summaries, descriptions, acceptance criteria, custom fields, and issue-type classifications for review; it is an example of a workflow, not a universal ticket schema. Keep ownership, dates, and source links honest
Populate an assignee or due date only when the meeting record supports it or the team has confirmed it. If either is unresolved, label it as unresolved rather than assigning someone or choosing a date to make the ticket look complete.

When appropriate and permitted, link the notes, transcript, or relevant recording section from the ticket. A source link gives the next person a way to check context and helps distinguish what was stated from what was inferred. Avoid sharing sensitive meeting material more widely than necessary.
Review the draft before creating or updating tickets
- Confirm the work was agreed. Check the proposed issue against the notes or transcript; do not promote a question or tentative suggestion to committed work.
- Check the wording and context. Make sure the summary, description, dependencies, and constraints reflect what was said.
- Validate completion criteria. Confirm each acceptance criterion is supported by the discussion or by known project requirements.
- Verify tracker fields. Check project, issue type, priority, assignee, due date, and required custom fields against team conventions and the source.
- Resolve duplicates and boundaries. Merge duplicate drafts; split work only when the items are genuinely distinct.
- Confirm, then create or update. Keep generated content as a draft until a person has reviewed and approved it.

Handle sensitive notes deliberately
Review what the note-taking tool captured before sharing or retaining it. Remove sensitive material when it should not persist, and share a summary or recording timestamp with only the context its audience needs. Choose a workflow by checking which source formats it accepts, which ticket fields it can draft, whether you can review before creation, whether it preserves a source link, which trackers it supports, and what plan, permission, or sensitive-content controls apply.
