Microsoft 365 has no single export or backup that covers every need. Use Microsoft Purview eDiscovery to create downloadable copies of supported mail and site content, Teams Export APIs for recurring or programmatic Teams message extraction, Purview retention to preserve covered content for compliance, and Microsoft 365 Backup for recovery of supported OneDrive, SharePoint, and Exchange Online data. Choose by purpose: a portable copy, compliance preservation, or recovery after loss or unwanted change.

Choose the method that matches your goal

These options address different problems. An export is a copy in a downloadable form; retention governs preservation of covered content; backup is designed to help restore supported data. A business may need more than one of them.

Export files and email with Microsoft Purview eDiscovery

Purview eDiscovery can search supported Microsoft 365 locations, including Exchange Online, OneDrive for Business, SharePoint Online, Teams, and Microsoft 365 Groups. Administrators can export mailbox items as PST files or individual messages, and SharePoint or OneDrive items as copies of their native documents and other files. Microsoft’s eDiscovery search and export documentation describes the available formats and options.

Prepare and export the right scope

  1. Confirm access and licensing. Requirements vary by scenario. Check that the administrator has the required role permissions and that the tenant’s subscription covers the intended eDiscovery workflow before relying on it.
  2. Search the relevant locations and content. Define the mailboxes, sites, and other supported sources that belong in the export. A search export covers the selected results; it should not be treated as a complete image of the tenant or of every app’s state.
  3. Choose options that preserve context. Consider whether to keep results grouped by source, preserve source folder paths, include available metadata, and export mailboxes separately or together. Source metadata can help interpret a combined export.
  4. Download the package from the eDiscovery process interface. Microsoft says a search export package expires 14 days after creation. Download it within that period: after expiry, the export and package data are deleted and cannot be recovered.
  5. Validate and protect the downloaded copy. Keep the package’s folder structure and accompanying manifests or logs. Store it with organizational access controls and encryption appropriate to its contents.

Export Outlook email to a PST

For supported Exchange Online mailbox content, use eDiscovery export and select PST output when that format suits the task. PST is a portable mailbox-data format, but a PST export is not a promise that every mailbox setting, application state, or service configuration can be rebuilt from it. Keep the source context and metadata needed to interpret the exported messages.

Download OneDrive or SharePoint files

For a scoped collection of OneDrive for Business or SharePoint content, eDiscovery can export files as copies of their native documents and other files. Preserve paths and source information when those matter to the review or handoff. This is an administrator-oriented collection workflow, not evidence of a universal one-click download or restore for an entire tenant.

Export Teams chat history and related content

Teams has several data routes, and they are not interchangeable. For compliance collection, use Purview eDiscovery where the relevant Teams content is supported. For programmatic extraction or scenarios such as migration and backup, Microsoft points administrators to the Teams Export APIs. A separate Teams data export tool is intended for customers switching providers, not as a general-purpose backup.

Use Teams Export APIs for message extraction

The Export APIs support 1:1 chats, group chats, meeting chats, and channel messages. They can retrieve messages over date ranges and support bulk export within documented limits. The API documentation also covers attachment information, reactions, shared-channel messages, certain edited-history scenarios when retention is configured, and retrieval of certain retained messages.

API behavior around deleted messages and retained-message availability has specific time limits. Check the current Microsoft Teams Export APIs documentation for the applicable limits, supported scenarios, application permissions, and licensing before designing an extraction job. Do not assume that an API can retrieve every message or historical state.

Do not mistake the switching tool for a backup

Microsoft’s Teams data export tool produces a ZIP containing JSON files for supported chat and channel data, structure, roster, and app information. Microsoft describes it as a switching route for smaller and medium-sized customers; for other needs, including tenant migration or backup, its guidance points to the Export APIs. Its scope should not be treated as proof that all Teams content or media is included.

Check recordings, transcripts, and attachments separately

Meeting recordings and transcripts need explicit attention. Microsoft documents API access for supported meeting scenarios, while recordings are stored in OneDrive or SharePoint. Confirm that the workflow captures the relevant recording or transcript in its storage location; a message export should not be assumed to include the media itself. Likewise, check how the chosen route handles attachment information versus the underlying attachment file.

Use retention to preserve content for compliance

Purview retention policies and labels apply retention rules to covered data. When a covered item is edited or deleted, Microsoft services may retain a copy in a protected system location: SharePoint and OneDrive use the Preservation Hold library; Exchange uses Recoverable Items; and Teams messages are represented in a hidden SubstrateHolds folder under Exchange Recoverable Items.

These protected locations are part of compliance mechanisms, not user-managed folders for routine export or restore. SharePoint and OneDrive retained content may consume site storage. Set retention and deletion rules to meet the organization’s compliance requirements; do not rely on a retention policy as the sole backup plan.

Recover supported data with Microsoft 365 Backup

Microsoft 365 Backup covers OneDrive accounts, SharePoint sites, and Exchange Online user accounts, according to Microsoft’s service overview. Recovery windows are configurable by policy, and recovery behavior differs by workload: OneDrive and SharePoint recovery is at account or site scope, while Exchange supports mailbox item categories. Check current tenant eligibility, service terms, policy choices, and restore behavior before depending on a particular recovery outcome.

Backup does not replace search, export, or compliance preservation. Microsoft documents that Exchange backup data is not discoverable through existing eDiscovery tooling, and that OneDrive or SharePoint backup data outside the live latest version is not found by eDiscovery. Retention and deletion policies do not simply flow through to backup copies; after data is restored to the live service, applicable policies govern that live data.

Plan for a departing user’s OneDrive

Handle needed files before deleting a user or changing their license. Microsoft’s OneDrive lifecycle guidance describes automatic access delegation and a default 30-day period for a delegated user to access and download files. It also says unlicensed OneDrive accounts are automatically archived on the 93rd unlicensed day and warns that data might be deleted after 12 months of unpaid storage or archive, regardless of retention settings, eDiscovery, or holds.

These milestones are subject to the tenant’s current lifecycle policy and Microsoft’s guidance. Verify the current behavior for the tenant and transfer files that must remain available before account deletion or licensing changes. SharePoint team-site content is collaborative and is not affected in the same way as an individual user’s OneDrive; retained OneDrive files remain subject to configured retention rules for their retention period, subject to the lifecycle caveats in Microsoft’s guidance.

Store exported packages safely

An external hard drive can be one optional destination for a package downloaded to a local computer; it is not required by Microsoft and does not itself export, synchronize, or recover Microsoft 365 content. Whatever destination is used, preserve the package structure and any manifests or logs, restrict access, and use organizational encryption controls. For important data, maintain an additional protected copy in accordance with organizational policy.

Administrator preflight checklist

  • Write down the goal: portable copy, compliance preservation, or point-in-time recovery.
  • Identify the workloads and sources that must be covered, including whether Teams recordings, transcripts, or underlying attachment files are required.
  • Verify the tenant’s licensing, administrator roles, application permissions, and geographic availability for the chosen workflow.
  • For eDiscovery, decide on source grouping, folder paths, metadata, and PST versus individual messages where applicable; schedule package download before its expiry.
  • For recurring Teams extraction, check API limits and behaviors against the current documentation and design for the permissions and licensing required.
  • For backup, confirm supported workloads, recovery scope, configured windows, current tenant terms, and the difference between backup copies and eDiscovery-visible live content.
  • Before a user departs or loses a license, verify OneDrive lifecycle settings and transfer files that must be retained.
  • Protect downloaded exports as sensitive data and ensure the intended operators can retrieve them when needed.
