If a job application form will not accept your resume, first check that file against that portal’s own format, size, and filename rules; there is no universal upload standard. Then retry using any portal-specific instructions, confirm the file actually attached, and contact the employer or application support promptly if it still fails—especially before the deadline.
1. Record what happens before troubleshooting
Capture the exact error message and note the portal, browser, device, and time. Also record whether the upload fails immediately, stalls, or appears to finish without attaching the resume. A screenshot can help support staff diagnose the issue, but avoid sharing one that exposes sensitive personal information.
2. Check the application portal’s requirements
Look at the job posting and the upload screen for the permitted file extensions, maximum size, filename restrictions, and any required attachment type. Do not assume another employer’s portal has the same rules. For example, Tennessee’s applicant portal sets a 2 MB limit per attachment, a 24-character filename limit, and requires distinct filenames for separate attachments; those are Tennessee-specific requirements, not general standards (Tennessee Department of Human Resources applicant FAQ).
Other systems set very different limits. USAJOBS allows a profile resume of up to 5 MB, while Greenhouse states a 100 MB maximum for candidate uploads. These figures apply to those systems and do not establish a recommended size for other applications (USAJOBS resume upload help; Greenhouse supported formats for resumes and other candidate uploads).

3. Verify the file type and that the file opens
Check that the document opens on your device and that its extension matches its actual file format. If the portal rejects the type, export a fresh copy in a format listed by the application. For instance, SAP SuccessFactors’ Reimagined Candidate Experience resume field supports PDF, DOC, DOCX, TXT, and RTF, and does not support JPG or JPEG (SAP Support: supported resume file types).
Follow the application’s explicit format instructions before choosing a replacement. USAJOBS recommends PDF to preserve formatting and page count, while the U.S. Department of Labor’s Veterans’ Employment and Training Service advises that digital resumes may be DOC/DOCX or PDF “based on instructions provided,” and specifically recommends PDF when the application instructions require it (USAJOBS resume upload help; Department of Labor Veterans’ Employment and Training Service workshop guide). If the portal offers a preview, check that the uploaded copy remains legible and its layout is intact.

4. Reduce the file size only when it exceeds the portal limit
If the file is too large, create a smaller export or reduce the resolution of embedded images where appropriate. Check the result for readable text and a usable layout before uploading it. Because portals have different limits, do not target a particular size unless the application specifies one.
5. Simplify the filename if it may be causing a rejection
If the portal reports a filename problem or its instructions set naming rules, use a simple filename without special characters. Brampton recommends renaming the file this way; also check for a character-count limit or a rule against duplicate filenames if the portal specifies one (City of Brampton employment FAQ).

6. Retry according to the portal’s instructions
Use the fix that matches the system rather than assuming one retry method works everywhere.
- Google Careers upload-failed alert: Google’s instruction is to delete the existing resume from the parsing tool and upload it again (Google Careers resume upload help).
- Continuing browser-related trouble: Brampton recommends trying a different browser, such as Chrome or Edge (City of Brampton employment FAQ).
7. Confirm attachment and parsing separately
A successful upload does not guarantee that the portal has read every detail correctly. Confirm the resume appears in the intended field and preview it if possible. If the portal fills in application fields from the document, compare them with your resume and correct missing or inaccurate details manually. Google Careers warns that parsing results may be incomplete or inaccurate (Google Careers resume upload help).

8. Contact support before the deadline if it still fails
Use the support contact shown on the portal or job posting. Send a short description with the exact error, portal and browser, device, and steps you already tried; attach a screenshot if it does not reveal sensitive information. Brampton recommends contacting talent acquisition with a short description and screenshot when the problem continues (City of Brampton employment FAQ). Ask the employer what to do before the deadline. Do not assume that emailing your resume will count as submitting an application.
