Check your account activity regularly, record new purchases in one place, and compare that record with your next statement. A bank or card app, notebook, spreadsheet, or budgeting app can all work; the useful method is the one you update consistently. Treat the balance shown online as a snapshot, not a guarantee of how much you can safely spend.

Choose one place to track purchases

Keep the process simple: use one main record for the accounts and spending you want to monitor. You can check balances in your bank’s app while recording purchases in a spreadsheet, for example, but avoid maintaining duplicate logs that are hard to keep in sync.

When comparing tools, consider the effort to maintain them, how soon transactions appear, whether multiple accounts can be combined, privacy and linking requirements, cost, and how easily you can reconcile the results against receipts and statements. Do not assume an app or notification is real-time unless your provider confirms how it works for your account.

Use a short weekly routine

A weekly check is a practical cadence, not a rule set by regulators. You can check after shopping instead if that makes it easier to remember.

  1. Pick a tracking method. Choose your bank or card app, a spreadsheet, a notebook, or a budgeting app.
  2. Review account activity. Look at the activity feed on a regular schedule and enable transaction or balance notifications if your provider offers them.
  3. Record the details. For each purchase, note the date, merchant, amount, category, and whether the transaction is pending or posted. Keep the receipt when you may need to verify what you bought, the amount, or another detail.
  4. Allow for timing differences. Leave room in your budget for transactions that have been authorized but have not fully settled, and for credits that have not posted yet.
  5. Reconcile with the statement. When the statement arrives, match its transactions against your log and receipts. Follow up on unfamiliar merchants, duplicate entries, or amounts that do not match.

Understand why an app balance can change

An online balance is useful for monitoring, but it is not always a reliable predictor of final available funds. A card transaction can be authorized before it settles and posts; credits may also arrive later. Institutions may use different balances or processing orders when assessing overdraft fees, and customers do not control those processing methods.

The Consumer Financial Protection Bureau noted in its Consumer Financial Protection Circular 2022-06 (2022) that consumers increasingly use mobile and online banking to understand their balances, while explaining that authorization-to-settlement timing and processing complexity can affect what those balances show. Use your own purchase log alongside the app, and do not treat the displayed figure as a guaranteed safe-to-spend amount.

Use linked-account apps carefully

Account-information services can display selected accounts together and analyze spending, but linking accounts means giving a service access to financial data. The UK Financial Conduct Authority advises consumers to check that a provider is authorized or registered, understand what they are consenting to, and review how their data will be used and shared. See the FCA’s guidance on account information and payment initiation services. These checks are relevant to the UK regulatory context; requirements and provider status vary by location.

For broader budgeting feedback, the CFPB’s 2017 Consumer Insights on Managing Spending report describes prototype concepts and consumer feedback, not proof that a particular commercial app produces a specific result.

Act promptly on unfamiliar or incorrect transactions

Frequent monitoring can help you notice transactions you do not recognize. If activity looks suspicious, contact your bank or card provider promptly and follow its dispute instructions. The CFPB advises that an unauthorized debit shown on a statement should generally be reported within 60 days after the statement is available; report a lost or stolen card quickly because the window for limiting liability is shorter. The applicable rules can depend on the card and circumstances. See the CFPB’s guidance on monitoring accounts after card data is hacked.

For credit-card charges, the Federal Trade Commission recommends checking statements when they arrive or as soon as possible and keeping receipts. Those records help you provide details when challenging an inaccurate charge. See the FTC’s guide to using credit cards and disputing charges.

Why statements still matter

Between-statement tracking gives you a more current view of spending, but it does not replace reviewing the statement. Under Regulation E, financial institutions generally must provide a statement for each monthly cycle in which an electronic fund transfer occurs, with required transfer information and opening and closing balances. The CFPB sets out these requirements in 12 CFR § 1005.9. Use the statement to reconcile your records and identify items that need attention.
