Choose a desktop automation tool by starting with the workflow it must run—not a vendor feature list. Map the applications and steps involved, identify exceptions, decide whether a person must be present, and establish where the flow will run and who will own it. Then verify application compatibility, operating requirements, governance, and full operating cost with a small proof of concept.

Start by documenting the workflow

Desktop automation is most useful for repetitive, rule-based work that currently requires a person to interact with desktop or web application interfaces. Before comparing products, write down the task from start to finish, including the points where it can go wrong.

  • Applications: Name each desktop program, browser, website, and file or data source involved.
  • Steps: Record what the user clicks, types, copies, checks, or saves, and the expected result at each stage.
  • Exceptions: Note variable layouts, error messages, missing data, approval decisions, and other cases that may need human judgment.
  • Run pattern: Decide whether the flow runs while an employee is present or must execute unattended.
  • Ownership: Identify who will build, approve, monitor, troubleshoot, and update it.

This description is the basis for a useful tool shortlist. A product that can automate a simple file task may still be a poor fit for a workflow whose critical application controls are unstable or whose exceptions require frequent judgment.

Check how each tool interacts with your applications

Automation tools may target application UI elements, recognize images, or act on screen coordinates. Microsoft documents all three interaction methods for Power Automate desktop flows, as well as examples such as organizing files and extracting website data into spreadsheets (Microsoft Learn: Introduction to desktop flows).

These methods are not interchangeable. Where possible, test whether the tool can identify the specific controls your workflow needs. Image-based or coordinate-based actions can be more sensitive to changes in window size, screen layout, or application appearance. Product documentation describing a method does not establish that every application can be automated reliably with it.

During a proof of concept, test the real application and representative cases: normal completion, a missing or unexpected field, a slow page, and any known variation in the interface. Check whether failures are visible and recoverable rather than assuming a successful demonstration proves production reliability.

Choose attended, unattended, or hosted execution

Attended automation runs with a user present; unattended automation is intended to run without that person actively operating the flow. The distinction affects licensing, machine setup, scheduling, monitoring, and recovery—not just convenience. Microsoft documents both scenarios and hosted RPA options, but the applicable setup depends on the particular plan and workload (Power Automate pricing; Microsoft Learn: Hosted RPA best practices and FAQ).

  • Attended: Consider this when a worker initiates or supervises the flow, or when the process needs human judgment during execution.
  • Unattended: Consider this when jobs need to run independently of a user’s active session. Confirm the required execution environment, account conditions, and licensing before designing around it.
  • Hosted: Consider a hosted machine option if you need the vendor’s managed execution environment; compare its terms and operational fit with running automation on your own infrastructure.

For any option, decide what happens when the run fails: who receives an alert, whether a partially completed task can safely restart, and how a person can inspect what occurred.

Verify operating-system, account, and environment requirements

Requirements differ by product, version, and execution mode. Microsoft’s Power Automate documentation lists supported Windows editions, hardware, browser and network prerequisites, and account conditions. It states that Windows Home supports authoring and local attended runtime, but not cloud-triggered desktop flows; it also notes that ARM devices are unsupported. Check the current Power Automate prerequisites and limitations for the exact deployment rather than treating those Microsoft-specific details as general rules for every tool.

Confirm the intended machine and user account meet the requirements before building a flow. In particular, verify operating-system edition, permissions, browser, network access, and any restrictions on sessions or credentials. A flow that works on its creator’s computer may not work under a managed account or on a separate unattended machine.

Match authoring and maintenance to the people doing the work

Consider who will create and maintain automations after the initial setup. Microsoft describes Power Automate desktop flows as using prebuilt actions and recorded flows; its official introduction says they “broaden the existing robotic process automation (RPA) capabilities in Power Automate and enable you to automate all repetitive desktop processes” (Microsoft Learn). The statement describes Microsoft’s product, not a guarantee that every repetitive process is suitable for automation.

UiPath describes Studio Desktop as a Windows IDE for complex RPA, desktop automation, and coded C# workflows, alongside low-code and AI-assisted authoring options (UiPath Studio). These are vendor descriptions rather than independent comparisons. Evaluate each product with the people who will actually own the flows: can they understand the logic, make safe changes, and diagnose a failure without relying on the original author?

Assess governance and day-to-day operations

For a team, selection should include the controls needed to operate automation responsibly. Ask how flows move from development to production, who can publish or change them, how secrets are stored, what activity can be audited, and how failures are monitored. UiPath describes role-based access, publishing policies, audit trails, and secret management in its platform materials (UiPath Studio). Microsoft describes cloud and hosted RPA management options in its Power Automate materials. These vendor descriptions do not establish that one platform is more secure or governable than another for a particular organization.

  • Can access be limited to the right users and administrators?
  • Is there a clear approval and deployment process?
  • Can operators inspect run history and identify failed actions?
  • How are credentials and other sensitive values protected?
  • Who updates the automation when an application interface changes?

Compare total operating cost, not just a license price

Estimate cost for the run pattern and volume you actually need. Include user or process licensing, hosted-machine charges or your own infrastructure, administration, exception handling, and maintenance. A flow that requires frequent repair may cost more to operate than its license price suggests.

Microsoft and UiPath publish pricing information, but plan inclusions and terms can change, and there is no universal cost comparison that applies to every workload. Check the current Microsoft Power Automate pricing and UiPath plans and pricing for the exact attended, unattended, or hosted arrangement being considered. Confirm what the listed plan includes rather than applying an old license name or price to a new deployment.

Use a proof of concept to decide between shortlisted tools

Official product descriptions can establish that a tool offers certain authoring, interaction, or governance features; they do not provide a controlled performance ranking between Microsoft Power Automate and UiPath. Test your own workflow instead.

  1. Select a representative task. Choose a bounded workflow that touches the applications and controls the eventual automation must handle.
  2. Build the critical path. Automate the steps most likely to determine whether the tool is a fit, using the intended interaction method and run mode.
  3. Include an exception. Test at least one realistic failure or variation and verify that the flow stops, reports, or recovers in an acceptable way.
  4. Try the target environment. Use the operating system, account, browser, permissions, and execution setup planned for deployment.
  5. Review the operating model. Have the prospective owner inspect deployment, monitoring, credential handling, and the effort required to update the flow.
  6. Recheck current terms. Confirm platform requirements and licensing for the chosen execution pattern before committing.

Choose the tool that works reliably on the actual applications, fits the environment and run mode, and can be governed and maintained by the people responsible for it. If none passes the workflow test, reconsider whether the process needs redesign or a different integration approach before automating its screen interactions.
