Choose local transcription when keeping raw audio on your device or working offline matters most—provided the specific app really processes that feature locally. Choose a cloud service when its language support, model, turnaround, or workflow better suits your recordings and you are comfortable with its data-use and retention terms. There is no established universal accuracy winner: test both options on a representative clip and check the transcript against the audio.
Local and cloud transcription: what the difference means
With local transcription, speech recognition runs on your device. With cloud transcription, the audio is sent to a provider’s service for processing. That describes where processing happens, not a guarantee about the whole application: a nominally local app may still upload audio for a cloud fallback, enhancement, sync, or another feature.

When local transcription makes more sense
- The recording is sensitive. If you want to minimize transmission of raw audio, a genuinely local feature can reduce exposure to a transcription provider.
- You need offline access. Local processing can work without an internet connection once the model is available, but verify that the app has no online dependency or fallback.
- You want greater control over the audio path. Check app settings, permissions, sync behavior, and whether transcripts or audio are copied to backups or other services.
“Local” is not a blanket privacy guarantee. Confirm how the exact app feature works rather than inferring its behavior from an app’s marketing or the presence of an on-device model.
When a cloud service may be the better fit
A cloud service may be more convenient when it supports the language, recording type, turnaround, or integration your workflow needs. Some providers offer models tailored to particular audio categories; that can be useful for a matching task, but it does not establish that cloud transcription is generally more accurate than local alternatives.

Cloud providers do not all handle data the same way. For example, Google Cloud’s Speech-to-Text API documentation says customer audio and transcripts are not used beyond providing the service unless a customer opts into data logging. For its sync and streaming endpoints, audio is processed in memory and customer data is not stored; asynchronous results are retained for approximately five days so customers can retrieve transcripts, while the API service does not store input audio. Google says processing is global by default. EU or US multi-region endpoints can limit processing to those multi-regions, but single-region restriction is not supported. How to check privacy on Windows and Apple devices
Windows speech features
Microsoft distinguishes device-based speech recognition, which processes voice locally and sends no voice data to Microsoft, from online speech recognition, which uses Microsoft cloud services. Microsoft describes the online option as more accurate. Its documentation also says Windows 11 voice typing uses online speech recognition. These are statements about specific Windows features, not a general comparison of all transcription apps. Microsoft’s Windows speech and privacy documentation.

Apple speech features
Apple says audio is processed on-device whenever possible, and device settings indicate whether particular Siri or Dictation speech is processed locally. Apple also describes cloud processing for some Siri requests and notes that audio allowed for app speech-recognition transcription may be sent to Apple. How to compare transcription accuracy fairly
There is no direct, current head-to-head test establishing that local or cloud tools are more accurate overall. Performance depends on the tool and the audio. Compare candidates on the same short excerpt, chosen to reflect what you actually plan to transcribe.

- Choose a representative clip. Include the usual speaker, background noise, speaking style, language or language mix, and relevant names or specialized vocabulary.
- Use the same source audio. Give each candidate the identical recording and use settings appropriate to its language and audio format.
- Listen while reviewing the transcript. Fluent wording is not proof that the words were spoken. Note omissions, substitutions, names, numbers, and any text that does not match the recording.
- Check consequential passages. Correct errors before relying on a transcript for decisions, records, or quotations.
Automated speech recognition can produce serious errors, including invented text. In a 2024 study, Allison Koenecke, Anna Seo Gyeong Choi, Katelyn X. Mei, Hilke Schellmann, and Mona Sloane found that roughly 1% of the evaluated Whisper transcriptions contained entire hallucinated phrases or sentences absent from the audio. In the authors’ analysis, 38% of hallucinations included explicit harms. Those figures describe that study’s evaluated sample; they are not a current error rate for every Whisper deployment or all speech-recognition systems. “Careless Whisper: Speech-to-Text Hallucination Harms” (February 12, 2024).
Improve the recording before changing transcription tools
Recording conditions can affect results regardless of where recognition runs. Google Cloud recommends clean audio and a good-quality microphone close to the speaker, particularly when background noise is present. It advises avoiding clipping and says noise-reduction processing before transcription typically reduces accuracy for its service. Correctly specifying sample rate, encoding, language, and model also matters for accuracy and billing. If you record audio specifically to transcribe it, try improving microphone placement and reducing noise before buying anything; an existing phone or computer microphone may be sufficient. A better-positioned, good-quality microphone can help capture cleaner speech, but no microphone guarantees a correct transcript.

Model choice can matter as much as the local-versus-cloud distinction. Google Cloud documents models for long-form audio, short utterances, telephony, video, and medical audio, and says a specialized model may perform better on similar audio. Its documentation identifies medical models as premium-priced. This is a service-specific example, not evidence that cloud models always outperform local ones. Estimate cost for the tool you would actually use
There is no reliable general rule that local is free or cloud costs more. Local transcription can use hardware you already own, but may require paid software, a more capable device, or setup time. Cloud prices vary by service, model, usage, and plan. Estimate your likely monthly audio minutes, then check current terms and pricing for the particular app or service before deciding.
