A clear freelance availability policy tells clients when you work, where to contact you, when to expect a reply, and what happens outside your normal hours. Set terms you can meet consistently, agree on them before work begins, and keep the agreement in writing.
What your availability policy needs to answer
Clients need to know both how and when to reach you. Upwork recommends setting expectations for preferred communication channels, response times, and check-in schedules. Use those topics as the core of your policy, then add practical instructions for after-hours messages, urgent requests, and planned time away.
- Working schedule: Your working days, hours, and time zone, including whether they vary by project.
- Communication channels: Where clients should send requests and how to arrange calls.
- Response window: How soon you usually reply, and which working days the commitment covers.
- Outside-hours handling: When you will respond to messages received at night, on weekends, or on holidays.
- Urgent work: What qualifies as urgent, how clients should flag it, and whether work outside your schedule must be agreed separately.
- Time away and deadlines: How you will notify clients of planned absences or risks to agreed dates.
- Check-ins: A predictable cadence for updates or meetings.
There is no universal freelance response-time standard established by the cited sources. Choose a window that fits your workload and that you can keep reliably. For example, “within one business day” is useful only if you define business days when you and the client work in different regions.
Upwork advises freelancers using its platform to aim to respond within two hours when possible and, at minimum, try to reply within 24 hours. Those are Upwork recommendations, not a general rule for independent businesses. Upwork also describes a seven-day response requirement for active-contract communications under its Optional Service Contract Terms; that platform-specific contract term is not a recommended service level for all freelancers. Choose terms that fit your work
Set working hours and time zone
State the days and hours when you are normally available, along with your time zone. If your schedule changes between projects or seasons, say so and specify how you will confirm the applicable schedule. A client can then distinguish your working hours from the hours their own team happens to be online.
Name the channels and response window
Identify one main place for project requests, such as the project platform or email, and a separate route for scheduling calls if needed. Say whether you monitor text, phone, or chat outside your stated hours. Pair the channel with a realistic response window—for example, within one working day—and make clear that it applies on your working days, not around the clock.

Decide whether you prefer asynchronous messages, scheduled calls, or a mix. A regular update or weekly check-in can reduce repeated ad hoc requests. Freelancers Union offers setting aside an hour each week for a client check-in as one concrete boundary-setting example; it is an option, not a required or proven formula. Freelancers Union: “I will do this, not that”.
Explain after-hours and urgent requests
Tell clients what happens when they message outside your schedule—for example, that you will handle the message on your next working day. If you offer exceptions, define the conditions rather than implying you are always on call. Agree what counts as urgent, how the client should flag it, and whether an out-of-hours response or call needs advance agreement. The cited sources do not establish a standard urgency definition or pricing model, so set terms that reflect your service and capacity.

Plan for time away and deadline risks
Explain how you will communicate planned time away and what will happen to active deadlines, handoffs, or scheduled calls. Upwork advises giving as much notice as possible and at least 24 hours before any affected deadline. That minimum is Upwork guidance for its users, not a universal freelance rule. Upwork’s responsiveness guidance.
Put the policy in writing before work starts
Include the policy in your agreement, statement of work, or onboarding note, then confirm any project-specific change in writing. Upwork says that once a contract has started, freelancer and client can agree on how and when they communicate, and recommends documenting the arrangement in writing, ideally in Upwork Messages for platform contracts. Keep the policy specific enough that neither side has to guess, but avoid promising coverage you cannot consistently provide. For legal effect, availability terms may depend on jurisdiction and contract circumstances; the cited sources do not establish their enforceability. Seek qualified advice in your jurisdiction if that question matters.

This is sample wording, not a quotation, legal advice, or a jurisdiction-tested clause. Tailor the response window, urgent-work process, and any out-of-hours terms to the actual service and contract.
