There is no universal invoice-data packet for a loan application. What a lender asks for depends on the credit product, collateral, and underwriting process. For receivables-backed financing, expect the lender to assess invoices alongside records that show whether the receivables are valid, collectible, and reduced by returns or other adjustments. Confirm the lender’s exact checklist and submission format before sending anything.
What invoice data might a lender request?
For accounts-receivable financing, invoices may serve as collateral, so a lender may ask for supporting records that help it evaluate the receivables. FDIC materials describe examples of lending and examination practices; they are not a checklist that every lender must follow.
- Invoice copies: The documents showing amounts billed and the customers responsible for payment.
- Proof of shipment or delivery: Shipping documents or delivery receipts that support the transaction behind an invoice.
- Accounts-receivable aging: A report showing how long invoices have been outstanding.
- Customer concentration information: Records that help show how much of the receivables are owed by particular customers.
- Adjustments to billings: Records of returns, allowances, or other reductions in gross billings.
In some working-capital or asset-based facilities, a broader borrowing-base package may also include accounts-payable aging, inventory detail, loan activity, or covenant-compliance certificates. Which items apply depends on the facility and the lender’s process. FDIC supervisory material on asset-based lending and a 2012 Federal Register rule passage provide context for these examples, not a universal borrower requirement.
Ask for the checklist and format
Before assembling files, ask the lender which records it needs, the relevant date range, accepted file formats, and how it wants them submitted. A creditor may generally request information in connection with a credit transaction, subject to privacy, privileged-information, credit-reporting, and other legal limits. That general permission does not mean every field is necessary for every loan. See Regulation B, 12 CFR § 1002.5.

How can you share invoice records safely?
- Verify the request. Confirm the lender, recipient, files, and approved submission route using contact details you already know are genuine.
- Use a confirmed channel. Prefer the lender’s authenticated portal or another transfer method the lender has confirmed. Do not assume that rules for third-party access to financial data apply to every invoice upload. If a covered Regulation 1033 third-party data authorization is involved, review its disclosure for the identity of the third party and data provider, data categories, stated purpose, duration, and revocation method. The CFPB explains these authorization requirements in Regulation 1033, § 1033.401.
- Protect the files and account. Encrypt sensitive files sent outside your business and restrict access to people who need the records. Protect the portal account with a strong, unique password and multi-factor authentication (MFA). These measures align with FTC guidance on protecting sensitive information.
- Check unexpected changes independently. Do not follow an unexpected email link or trust a sudden change in upload or payment instructions. Navigate to the lender’s website yourself and call a number you already know is correct to confirm the request. The FTC’s phishing guidance explains how to handle suspicious messages.
- Limit what you send. Provide the records requested, not unrelated customer, employee, or banking information. The lender’s purpose and request determine which invoice fields are needed; there is no single minimum set established for every situation.
Compare the available submission options
If the lender offers more than one route, assess each option against the same practical checks:
- Has the lender confirmed that this channel is approved?
- Does it require authenticated access and support MFA?
- Is the transfer encrypted, and can access be limited to the intended recipients?
- If a covered third-party data authorization is involved, can you review its scope and revoke it as described?
A hardware security key can be an optional second factor if the lender portal supports it. The FTC describes security keys as a form of two-factor authentication; a key does not encrypt invoice files or verify that a transfer channel is genuine. See the FTC guide to protecting online accounts.

Does the small-business lending rule specify an invoice packet?
No. The CFPB’s small-business lending resources page describes a lender data-collection and reporting rule; it does not establish one invoice packet for borrowers. The page states that a final rule published May 1, 2026 extended the compliance date for portions of the rule to January 1, 2028, and that related implementation materials would be updated later.
