Hybrid tools can process some requests on-device and route others to a cloud service. There is no established overall speed or accuracy winner: compare specific products and test them with representative recordings.
What “local” and “cloud” mean for AI note-taking
These labels describe where particular processing happens, not a complete privacy rating for an app. A tool might transcribe speech on your device but use a server for summaries, sync notes to an account, or store backups online. Conversely, a cloud service may process an audio stream without retaining it in the same way another service does.
- Local processing: Audio or note content is processed on the device for the task in question. It may allow offline use and avoid sending that content to an outside processing service.
- Cloud processing: Audio, text, or a request is sent to a remote service for transcription, summaries, or other functions. Internet access is generally needed for those tasks.
- Hybrid processing: Some work happens on-device, while requests that need more processing are handled remotely. Which path a particular request takes matters more than the product’s headline label.
To assess an actual product, trace each data type separately: raw audio, transcript, prompts, generated summaries, account information, and any synced or backed-up copies. Also check which processors receive data, how long copies remain, who can access shared notes, and how deletion works.
How the documented product examples handle processing and data
The examples below illustrate why product-specific details matter. Vendor statements describe their own documented designs and policies; they are not an independent audit or a guarantee that every feature in a broader app follows the same data path.

Is local AI note-taking more private?
It can reduce exposure to outside processing when the specific task truly runs on-device, but locality alone does not settle the privacy question. Check whether the app also syncs notes, creates cloud backups, sends telemetry, or offers a separate assistant feature that routes requests remotely. Inspect settings for the particular feature and confirm the data path for audio as well as generated text.
Cloud services do not all handle information alike. For example, Microsoft’s Word/OneNote Transcribe documentation says recordings are saved in OneDrive, while its Copilot documentation says prompts and responses are retained as activity history. Notion documents subprocessors and workflow-specific audio retention, and Otter describes its own controls and limits on use of data by its AI service providers. These are distinct providers’ statements, not a basis for assuming the same retention or access rules across cloud tools.

For a sensitive meeting, consider the full lifecycle rather than only the moment of transcription: where the original audio goes, whether a transcript or summary is stored, which people and integrations can access it, and whether deletion removes related copies. In a work or school account, organizational policies may also govern what can be recorded or sent to an AI service.
Can AI meeting notes work offline?
Some features can; others explicitly require a connection. Apple documents on-device dictation as working offline. Microsoft Word and OneNote Transcribe and Notion AI Meeting Notes require internet access. Microsoft’s separate Windows Capture workflow for offline and third-party meetings is documented as an Office Insiders Beta feature, so do not assume it is generally available.

Offline capability should be checked for the exact task you need. A tool may let you capture audio without a connection but require internet later for transcription, or it may support offline dictation without supporting meeting summaries offline. Confirm whether the transcript is produced locally, queued for later upload, or unavailable until reconnection.
Is local AI transcription faster or more accurate?
The available official documentation does not establish a universal winner for speed or accuracy. No controlled comparison here measures local and cloud systems on the same audio, device, language, and model. Results can depend on device hardware, network conditions, language support, recording quality, and the task—such as live transcription versus summarizing a finished recording.

Microsoft gives a workflow estimate for Word/OneNote Transcribe, not a comparative benchmark: transcription may take up to about the length of the audio, depending on internet speed. That estimate should not be used to predict how another product or a local model will perform.
How to compare two candidates fairly
- Use a representative recording that reflects your usual setting, speakers, language, and background noise.
- Run the same audio through each candidate on the devices and network conditions you expect to use.
- Compare elapsed time, transcript corrections, speaker handling, summary usefulness, and whether the task completes when offline.
- Check the resulting data path and retention separately; speed or transcript quality does not reveal where copies are stored.
What affects the result besides the AI model?
Capture setup can shape the transcript before the model processes it. Microsoft advises users to select the correct microphone input and notes that a headset microphone may be a poor choice for capturing an in-person meeting, while a virtual call may require system audio capture. These are workflow cautions, not proof that a particular microphone guarantees better recognition.

Other practical differences include whether a tool supports live capture or uploaded recordings, editable transcripts, speaker labels, playback, search, and summaries. A product that fits your meeting workflow may be more useful than one that wins on a single isolated feature.
How to choose a note-taking workflow
- Choose an on-device feature when limiting transmission or working without internet is important, and verify that the exact transcription or dictation task is performed locally.
- Choose a cloud workflow when its connected features suit your work, provided its data handling, retention, access controls, account requirements, and organizational approval meet your needs.
- Consider a hybrid workflow when you want some on-device handling but also need remote capabilities; check which requests are sent to cloud infrastructure.
- Before recording other people, consider participant consent and applicable organizational rules. Notion recommends obtaining consent, and Otter advises users to comply with local requirements and disclose recording and transcription. This is not jurisdiction-specific legal advice.
