The steps below use the menu names in Apple and Adobe’s cited instructions. Labels can vary by app version. Microsoft’s documentation for the Edge PDF reader covers reading, navigation, inking, and comments, but does not establish page insertion, deletion, or reordering; use a documented organizer or verify that your current Edge version or an extension supports the change.
How to add, delete, or move pages in Preview on Mac
Preview can insert either a blank page or a page from another file. You can also delete selected pages, rearrange pages by dragging, or move a page directly between two open PDFs.
- Open the PDF in Preview.
- Choose View > Thumbnails or View > Contact Sheet to show the pages.
- To add a page, select the page that should come immediately before the insertion point. Choose Edit > Insert > Page from File to add a page from another document, or choose Blank Page. The sidebar’s Add control also offers Insert from File and Insert Blank Page.
- To delete pages, select one or more thumbnails and press Delete, or choose Edit > Delete. Apple notes that deleting a page also removes its annotations.
- To reorder pages, drag a thumbnail to its new position.
- To move a page between PDFs, show thumbnails or contact sheets in both open documents, then drag the page thumbnail from one document to the other.
How to organize pages in Acrobat on the web
Acrobat’s web organizer supports moving, deleting, and inserting pages. Adobe’s instructions say the organized file is automatically saved to Adobe cloud storage.

- Choose Select files and upload the PDF you want to change.
- To reorder pages, drag a thumbnail to its destination. Adobe describes this as selecting a thumbnail and dragging it to the desired location.
- To delete a page, hover over its thumbnail and select Delete.
- To add pages, choose Insert pages, select the source file, and choose where the new pages should go.
- Select Save. Adobe says the organized file is automatically saved to Adobe cloud storage.
If the PDF contains sensitive information, account for that cloud-saving behavior before choosing the web workflow. Adobe’s cited instructions do not establish how long files are retained or provide the privacy terms for a particular account.
How to move or copy pages in Acrobat desktop
- Open the PDF in Acrobat and choose All tools > Organize pages.
- Select the page thumbnail you want to change. To select multiple pages, Adobe’s instructions specify Ctrl-click on Windows or Command-click on macOS.
- Drag the selected thumbnail or thumbnails to the new position to move them.
- For cut-and-paste or copy-and-paste operations, use More > Cut or More > Copy, then paste between thumbnails at the intended location.
- Save the PDF after making changes.
Which workflow should you use?
- On a Mac, making straightforward changes: Use Preview to insert a blank page or a page from a file, remove pages, or rearrange them without switching to a web organizer.
- Adding pages from another document in a browser: Use Acrobat on the web, keeping its automatic Adobe cloud storage in mind.
- Moving or copying pages in the desktop app: Use Acrobat’s Organize pages view, which documents both dragging and cut/copy-and-paste operations.
- Using Microsoft Edge: The cited Microsoft documentation does not confirm these page-editing features, so do not assume the built-in reader can perform them.
