Formatting and live formulas disappear because CSV is a plain-text table, not a complete Excel workbook. It can carry cell text and values, but not Excel’s styling, charts, multiple-sheet structure, or calculation behavior. Excel exports the active worksheet; formula cells normally become their displayed results, while formulas shown in the grid are converted to text.

Why Excel formatting disappears in a CSV

An XLSX workbook can store worksheet data alongside formatting and other workbook features. CSV stores rows and columns as text. It has no way to represent font choices, fills, borders, graphics, or the visual layout of an Excel sheet, so that presentation is lost when you save as CSV. Microsoft Support puts it plainly: “When you save a workbook in any of the text formats, all formatting will be removed.” Microsoft Support: Save a workbook to text format (.txt or .csv).

The underlying cell content may still be present, but its appearance is not. A value displayed with a particular number format, for example, should not be expected to retain that formatting in the CSV or look identical when another program opens it. The receiving application determines how it interprets and displays the text.

Does CSV keep Excel formulas?

No. A formula in Excel is an instruction the workbook’s calculation engine can recalculate. CSV does not store that calculation engine or a live formula relationship. In normal display mode, Excel exports the text and values shown in cells, so a formula cell ordinarily exports its displayed result rather than a working formula. If Excel is set to show formulas in cells instead of their results, Microsoft says those formulas are converted to text. That text will not recalculate in Excel as a formula when opened from the CSV. Why only one worksheet is in the CSV

CSV is a single flat table, not a multi-tab workbook. Excel saves the active worksheet to the CSV, so other sheets are not included in that file. Before exporting, select the sheet you intend to deliver. If several sheets are needed as CSV, save each one separately; if the recipient needs the whole workbook with its sheets and features, keep or send an XLSX copy. What CSV does preserve—and what can vary

CSV is useful when another system needs plain tabular data. In Microsoft’s documented CSV behavior, columns are separated by commas, and a cell containing a comma is enclosed in double quotation marks. The format does not carry Excel’s visual styling, chart data, or workbook structure. Microsoft’s description of workbook formats explains the features that do not transfer, while its supported-format pages note that CSV options can vary by platform and version. Do not assume every receiving application will interpret dates, leading zeros, or formatted numbers exactly as Excel displayed them. Formatting is removed, and applications may interpret imported text differently. Excel’s available CSV variants and encoding choices can also depend on platform and version; choose an export option that matches the destination’s requirements rather than assuming all CSV files behave identically.

Choose XLSX or CSV based on what the recipient needs

How to export without losing the workbook you still need

  1. Keep the original workbook: Save or retain an XLSX copy if formulas, formatting, charts, or multiple sheets matter.
  2. Select the worksheet: Make the sheet you want to export the active sheet, since the CSV contains only that sheet.
  3. Save a CSV copy: Use Excel’s Save As or export workflow and select an appropriate CSV option for the receiving system. The exact options and labels can differ by platform and version.
  4. Check the exported file in its destination: Open or import it in the receiving application and inspect representative rows and columns, especially values whose display depends on formatting.
