The goal is a relevant, readable resume—not a pile of keywords or a guaranteed way to pass an applicant tracking system (ATS).
How do you find the right keywords in a job description?
Read the entire posting before editing. Look for the role’s responsibilities, required and preferred qualifications, tools, methods, and skills that recur. Pay attention to how the employer phrases both duties and qualifications; UT Austin’s Applicant Tracking Systems guidance recommends using the job description to identify relevant terms.
Turn what you find into a short, prioritized list rather than trying to capture every word. Put required qualifications and skills central to the day-to-day work first. Repetition can help signal importance, but a repeated term is not automatically a keyword you should claim.
Which keywords should you include?
For every priority term, decide whether your background supports it directly, supports a close equivalent, or does not support it. Use the employer’s exact wording when it accurately describes your experience. If your experience is comparable but uses different terminology, explain the equivalent honestly rather than implying experience you do not have. The University of Pennsylvania Career Services likewise advises adding relevant skills from a job description accurately in its guide to optimizing a resume for AI scanners.

- Directly supported: Include the term where it fits and show evidence of using it.
- Supported by an equivalent: Use accurate language that makes the relationship clear; do not present an adjacent skill as identical if it is not.
- Unsupported: Leave it out. Do not claim a tool, credential, responsibility, or skill just because the posting asks for it.
How should you put keywords into your resume?
Use relevant terms in a skills section when appropriate, then demonstrate the most important ones in experience or project bullets. A keyword is more useful to a reader when it is connected to what you did, how you did it, or what resulted. Queensborough Community College’s resume guidebook cautions that merely listing a keyword without describing it in context is insufficient.
Show the skill in an accomplishment bullet
For example, if a posting emphasizes a project-management tool you genuinely used, name it in a relevant bullet and explain the work it supported. Keep the claim grounded in your real responsibilities and outcomes. Do not copy a job duty from the posting and present it as though you performed it.
Reorder relevant material, not your history
Move the most relevant experience and bullets into a more prominent position, and revise wording to make applicable responsibilities easier to see. Keep job titles, dates, scope, and outcomes accurate. Tailoring changes emphasis; it should not rewrite your work history.
How do you tailor a resume for every application?
- Keep a master resume. Maintain a fuller source document containing your verified experience, skills, projects, and accomplishments.
- Read the specific posting. Note its responsibilities, qualifications, tools, methods, and recurring terminology.
- Prioritize and check evidence. Rank the most relevant terms, then sort each by whether it is directly supported, supported by an honest equivalent, or unsupported.
- Edit a role-specific copy. Add supported terminology in context, revise or reorder relevant bullets, and leave unsupported claims out.
- Save it separately. Give the copy a clear filename associated with the employer and role so it is not confused with the master resume. UT Austin recommends creating a new version for each application.
- Review the finished document. Check that it is accurate, easy to skim, consistent with your history, and readable when copied into plain text.
Should you use a resume keyword scanner?
You can compare your resume with a posting manually in a word processor or use a scanner as an additional checklist. Jobscan describes a tool that accepts resume and job-description text and reports matching or missing terms in its overview of applicant tracking systems. That is a vendor’s description of its own feature, not evidence that the report predicts an employer’s ranking or hiring decision.

Whichever approach you choose, do not treat a scanner’s percentage as a standardized measure shared across vendors or equivalent to an employer’s ATS score. ATS products and employer processes differ, and the available guidance does not establish a universal scoring formula or an ideal keyword count.

Use straightforward formatting and clear section labels. UT Austin recommends chronological experience organization and cautions against tables, columns, graphics, and objects because an ATS may not read them accurately. This is general guidance, not a guarantee that every ATS parses every format the same way.

- Check that the text remains coherent when copied into plain text.
- Use keywords as part of real skills and evidence, not as a disconnected list or repeated block of terms.
- Proofread for accuracy, consistent details, and a voice that still sounds like you.
Keyword tailoring can make relevant qualifications clearer, but it cannot guarantee an ATS pass, an interview, or a particular ranking. No defensible numerical estimate of how much tailoring changes interview odds is established by the sources cited here.
