Give a workplace AI agent access only to the data and actions needed for a defined task. Start with no permitted actions, assign the agent a dedicated identity with a named owner, and add narrowly scoped permissions only as the workflow requires. Require a person to approve consequential actions, log the agent’s activity, and test that access can be revoked. A prompt is not a security boundary: documents, emails, webpages, and tool results can contain malicious instructions.

Decide what the agent is allowed to access

Before enabling an agent, define its task, owner, approved data sources, operating environment, and permitted tools. Limit the agent to the repositories, records, and sensitivity levels needed for that task. Apply your organization’s data-classification and policy controls, and govern retained context and long-lived memory just as deliberately as live data access. Microsoft’s least-privilege guidance and autonomous-agent security guidance both emphasize scoping access to business need.

Review the combined access the agent gets across connected systems, not just each connector in isolation. A set of individually modest permissions can add up to broad effective access. Keep unreviewed integrations, plugins, and cross-tenant or guest paths disabled by default.

Give the agent a distinct identity and limited permissions

Use a dedicated, lifecycle-managed identity for each agent or clearly bounded workflow, with a named owner or sponsor and an approver. Microsoft Learn recommends a “unique, dedicated agent identity with a named owner/sponsor and approver” in its Microsoft Entra Agent ID guidance. Avoid shared credentials that make it difficult to determine which agent acted.

Assign task-based roles and scope them by resource, sensitivity boundary, and operation wherever the platform supports it. Distinguish reading from writing, exporting, and administration. Allowlist only reviewed tools, and reassess permissions when the task, connected tools, data scope, or operating environment changes. Microsoft Security Blog describes an agent as a “first-class principal” that should have a lifecycle-managed identity, explicit roles, tightly scoped permissions, and a preconfigured tools manifest in its July 16, 2026 least-privilege article.

Separate routine work from consequential actions

Begin with no permitted actions, then grant only what the workflow needs. Keep read-only work separate from write or remediation workflows where practical. For high-impact or hard-to-reverse actions, use a deterministic approval step outside the agent’s own reasoning. Examples include:

  • Sending messages to people outside the organization.
  • Deleting, exporting, or broadly sharing data.
  • Changing access privileges or administrative settings.
  • Making other changes that are difficult to undo or could materially affect people or operations.

Check authorization again in the downstream system when the action is executed; an approval request in a chat interface should not itself grant authority. OpenAI’s guidance on understanding prompt injections recommends limiting an agent’s access to the data needed for its task and reviewing consequential actions before confirmation.

Assume external content can try to redirect the agent

Emails, documents, webpages, retrieved passages, tool outputs, and responses from other agents should be treated as untrusted input. They can contain instructions intended to make an agent reveal information, call a tool, or act beyond the user’s request. Do not rely on instructions in the prompt alone to enforce access limits.

OWASP’s AI Agent Security Cheat Sheet identifies risks including direct and indirect prompt injection, tool abuse and privilege escalation, data exfiltration, memory poisoning, excessive autonomy, and misuse of high-impact actions. Validate information and requests at trust boundaries, restrict the tools and data available to the agent, and test the system before production and after material changes to prompts, tools, memory, retrieval, policies, or model providers. These safeguards reduce exposure; they do not establish that prompt injection can be eliminated. OpenAI describes it as an evolving security challenge.

Log activity and make access revocable

Record tool calls and authorization context, not only the final response shown to a user. Logs should make it possible to reconstruct what the agent did and under whose authority. Where relevant, capture:

  • Agent identity, owner, role, and effective permission scope.
  • The tool or operation used and the resource it accessed or changed.
  • The authorization result and any approval.
  • The delegated user or initiating context, plus a correlation identifier to connect related events.

Test disablement and revocation rather than assuming they work. Verify that disabling the agent, invalidating tokens, rotating credentials, and removing stale permissions also prevents access through connected systems. Reassess controls when the deployment environment, integrations, data scope, memory, or policies materially change.

Know who owns the controls in your deployment

Responsibility shifts depending on whether the agent is a ready-made service, runs on a managed platform, or is self-hosted. Microsoft’s shared responsibility model, last updated August 26, 2026, is illustrative governance guidance, not a legal interpretation of a service agreement. Check the product’s terms and actual configuration.

Deployment Typical provider role What the organization still needs to govern
Ready-made SaaS agent The provider operates much of the orchestrator, model, safety system, and connectors. Configuration, data scope, identity, authorization, human oversight, and acceptable use.
Managed agent platform The provider manages the platform and some underlying services. More of the agent’s instructions, tools and permissions, orchestration, memory, identity, and authorization.
Self-hosted agent May provide hosted infrastructure or a hosted model service, if used. Nearly the entire agent system, including its security controls and operation, except for services specifically hosted by others.

Across deployment types, the organization remains responsible for deciding what data the agent may use, which actions it may take, and what human oversight is required. NIST announced a concept paper and potential NCCoE project on software-agent identity and authority on February 5, 2026; that announcement is not a final agent-identity standard. Use this checklist before enabling autonomy

  1. Define the workflow: document the task, accountable owner, operating environment, approved data sources, and tools.
  2. Start with no actions: add the smallest set of capabilities that can complete the task.
  3. Set the identity and scope: use a dedicated identity and task-based roles; constrain access by resource and operation where possible.
  4. Review combined access: consider what the agent can do across all connected systems, and disable unreviewed integrations and guest paths.
  5. Set approval gates: require deterministic human approval for consequential actions and enforce authorization in the system carrying out the action.
  6. Plan for untrusted input: treat retrieved content and tool outputs as untrusted, and test for prompt injection and tool misuse.
  7. Enable useful logs: record identity, effective scope, tool call, resource, authorization, and delegated user where applicable.
  8. Test revocation: confirm that disabling the agent and invalidating its credentials blocks access downstream.
  9. Reassess after change: revisit permissions and tests when prompts, tools, memory, retrieval, policies, providers, or data scope change.
