Use Word’s built-in PDF export, then open the PDF and check its layout and links before sharing it. Word aims to preserve the document’s appearance, but Microsoft does not guarantee identical rendering or link behavior in every version, font environment, and PDF viewer.
Before you export: prepare the Word document
- Save the editable original. On a Mac, give the PDF a different filename so you keep both files. Microsoft’s Mac instructions recommend this approach.
- Make link text meaningful. Replace vague labels such as “click here” with text that describes the destination. This helps readers understand links, including people using assistive technology. See Microsoft’s Word accessibility guidance.
- Check accessibility before export. Use built-in heading styles, add alt text to meaningful visuals, and run Word’s Accessibility Checker if accessibility matters. A tagged PDF can help assistive technologies identify reading order and navigate content such as hyperlinks and bookmarks. Microsoft explains accessible PDF creation.
Pay particular attention to unusual fonts, complex tables, floating images, headers and footers, and section-specific pagination when you inspect the result. These elements can make layout differences easier to spot.
Export from Word on Mac
For the Microsoft 365 for Mac, Word 2024 for Mac, and Word 2021 for Mac versions covered by Microsoft’s instructions:
- In Word, select File > Save As.
- Enter a filename different from the Word document’s name.
- Choose PDF in the File Format box.
- Select Export.
Microsoft says this route retains formatting, but that is not a guarantee that every document will render identically in every viewer. See Save or convert to PDF on your Mac.

Export from desktop Word on Windows
Use Word’s built-in PDF save or export workflow rather than sending the document to an unrelated virtual printer. Microsoft’s desktop Office guidance covers PDF conversion and includes an Options step before publishing; the exact labels can differ by Word version. Follow Microsoft’s Office desktop PDF instructions for the version you use.
Microsoft describes PDF as a format that “looks the same on most computers.” That describes its purpose, not a promise of pixel-identical output across different Word builds, installed fonts, or PDF viewers.

Export from Word for the web or choose accessible output
Download a PDF in Word for the web
- Select File > Save As.
- Choose Download as PDF.
Microsoft’s accessible-PDF guidance covers automatic tagging in Microsoft 365 Word on Windows, Mac, and Office for the web. Availability and interface details can change; consult the current accessible PDF guidance if the menu differs.
Use the electronic distribution and accessibility option when appropriate
Where Word offers Best for electronic distribution and accessibility (uses Microsoft online service), this route is intended for accessible output. Microsoft says the document is sent to a secure Microsoft service for conversion and returned immediately, and that the service does not store file content on its servers. Check that the option is available and permitted for your document, especially if it is protected or sensitive or your organization has specific privacy requirements. The sources do not establish that this setting is universally best for preserving links or layout.

- Open the exported PDF.
- Click a sample of external links and internal links or bookmarks. Include links inside tables if the document has them.
- Compare the PDF with Word’s print layout: check page count, headings, line and page breaks, tables, images, headers, and footers.
- If a link or layout issue matters, correct it in the Word document, export again, and repeat the checks on the revised PDF.
Microsoft’s guidance supports tagged navigation, descriptive links, and the goal of retaining formatting. It does not promise that every external or internal link will survive every export route or provide a universal pass/fail test for all documents and PDF viewers.
