AI companies may process what you type or upload to answer a prompt, operate and secure a service, review safety issues, and—in some circumstances—improve models. Those are different uses, and the rules vary by product, account type, settings, and contract. Before sharing sensitive information, check the specific service’s notice and controls; a model-improvement setting alone does not tell you everything about processing, retention, or sharing.
What data can an AI service collect?
Start with what you submit or connect, not just what you type. Depending on the service and features you use, inputs may include prompts and responses, feedback, files, images, videos, imported conversations, or content from a browser page you ask an assistant to use. Google’s Gemini Apps notice names files, videos, photos, imported chats, and browser page content among the information users may share with Gemini. Google’s Gemini Apps Privacy Hub supplements Google’s general Privacy Policy.
OpenAI’s material also discusses user content in connection with developing and improving its models. The specific categories and treatment depend on the product and context; do not assume that a notice for one feature or account covers every way you might interact with a company’s AI. OpenAI’s explanation of how ChatGPT and its foundation models are developed describes information used in that development context.
How is data used after you submit it?
“Used to answer me” is not the same as “used to improve a model.” A provider may process information to deliver a feature, maintain the service, or enforce safety and usage policies without that processing being model training. Improvement use has its own conditions and may depend on the product, account, settings, feedback, safety review, and applicable terms.

- Safety and abuse prevention: Some providers describe review or monitoring for safety or policy enforcement. The applicable notice should explain the scope and any related records.
- Model improvement: Use of conversations or other content to improve services or models, subject to the provider’s stated settings and terms.
- Retention: Keeping chats, logs, or other records for stated purposes or periods. Turning off improvement use does not, by itself, establish that records are immediately deleted.
The categories overlap in practice only where a provider’s terms say they do. Check each purpose separately rather than treating a privacy toggle as a universal “do not process” switch.
Is my data used for model training?
There is no single answer for an entire company: consumer products, workplace accounts, and APIs can have different rules. The table summarizes only the points established in the cited official materials; it is not a complete comparison of every feature, region, or contract.

For any product, verify the control inside the relevant account and read what it covers—for example, whether it applies to future conversations, feedback, or a particular feature. Do not transfer a setting or default from one service tier to another.
How long does an AI company store your data?
Retention is a separate question from whether content is used to improve models. A provider may describe deletion options, exceptions, safety or abuse logs, and different periods for different data or purposes. The cited OpenAI API material documents abuse-monitoring logs but does not, in the material summarized here, establish one universal retention period for all API records. Anthropic’s up-to-five-year statement applies specifically to improvement data retained in de-identified form in training pipelines, not to every Claude conversation.

Before relying on a delete button or opt-out, look for the product’s explanation of what is deleted, when deletion takes effect, what exceptions apply, and whether an organization administrator or contract controls the records. A control can affect one use without erasing information already retained or changing other processing.
Who can an AI company share data with?
Sharing does not necessarily mean public disclosure. OpenAI says information may be shared with affiliates, vendors, and service providers that support development, testing, improvement, and operations. That is a set of operational recipients identified in its development article, not an exhaustive list of every possible recipient or every company’s practice. OpenAI’s development explanation

Privacy commitments matter when a company discloses data or repurposes it. In its January 9, 2024 guidance, the U.S. Federal Trade Commission said: “If companies choose to retain or use consumer data for other purposes without providing clear and conspicuous notice and obtaining affirmative express consent, they risk running afoul of the law.” This is general U.S. regulator guidance, not a finding about every AI provider or a rule that resolves every jurisdiction’s requirements. - Identify the exact product and account. Is it a personal account, a work or education workspace, or an API? Open the AI-specific notice and controls for that product. - Check model-improvement settings and scope. Find out whether improvement use is enabled, which interactions the setting covers, and whether feedback or safety review is treated differently. - Check workplace or contract rules. An administrator, organization policy, or negotiated contract may set access and retention conditions beyond the personal-account controls.
- Leave out information you cannot accept being processed under those terms. Do not submit passwords, secrets, confidential work material, or sensitive information about another person unless you have authority to share it and accept the documented handling.
This checklist can reduce avoidable exposure, but it cannot guarantee confidentiality or undo information already retained or used under applicable terms. Policies and controls can change, so consult the linked product notice before relying on a particular setting.
