To schedule a meeting across time zones, compare candidate times on the actual meeting date, create one calendar event tied to a named time zone, and confirm the local time shown in each attendee’s invitation. The event represents one instant; calendars convert it so participants see the corresponding time where they are. A date-aware check matters because daylight-saving rules differ and can change.

How to schedule a cross-time-zone meeting

  1. Get each participant’s location. Ask for a city or named time zone rather than an abbreviation such as “CST,” which can be ambiguous.
  2. Set the date first. Compare locations for the actual meeting date, not just today’s offsets. The timeanddate Meeting Planner takes a date and locations and says it adjusts for daylight-saving time. For UK participants, it advises selecting a UK city rather than UTC/GMT.
  3. Find a workable overlap. Choose a time that falls within reasonable working hours for as many people as possible. If no slot is convenient for everyone, rotate inconvenient meeting times across participants as a fairness practice.
  4. Create one calendar event in a named time zone. Select the event’s time zone where available, then invite everyone to that same event. Google Calendar supports a time-zone-specific event and displays it in invitees’ local times; Outlook stores event start and end times in UTC and shows recipients the corresponding local time.
  5. Make the chosen time easy to verify. In the invitation or accompanying message, include the date and a labeled reference city or time zone. Ask attendees to check the local time displayed in their own invitation, particularly if they use a different calendar system.
  6. Resolve availability before confirming. If you do not know who can attend, use a scheduling poll, then send or confirm the final event time and resolve any temporary holds.
  7. Recheck long-range meetings when clock rules change. If a participant’s jurisdiction changes its time-zone or daylight-saving rules, check the event again and update or reconfirm it if any local display looks inconsistent.

Why the meeting date matters

Two cities’ time difference can change during the year because jurisdictions do not necessarily switch clocks on the same date. A familiar offset from a previous meeting—or an offset copied from today—may therefore be wrong for a future date. Enter the intended date in a planner or compare the locations using calendar time-zone controls before sending the invite.

Future events can also be affected when governments change time-zone rules. Google warns that such a change can affect existing events created before the change was known, and that future events may not reflect daylight-saving changes correctly. For a meeting well in advance, recheck after a relevant rule change rather than assuming the original conversion will remain correct.

Compare tools by whether they show all relevant locations together, account for the meeting date, incorporate attendee availability, and work with the calendar used to send the invitation. The product guidance cited here does not establish a pricing comparison.

How calendar time-zone conversion works

A meeting is one moment in time, even though its clock reading differs by location. For example, Microsoft’s Outlook guidance describes a 2 p.m. Pacific meeting appearing as 3 p.m. Mountain while retaining the same UTC time. Google also describes converting calendar events for invitees’ local times. This is why it is safer to send one properly time-zoned event than to ask attendees to calculate their own offsets.

Use a city or named time zone in the event when possible. In human-readable notes, label the reference location too: a bare abbreviation may not identify one unambiguous zone. Do not reuse a manually calculated offset from a past meeting without checking the new date.

What to check before and after sending

  • The invitation uses the intended calendar date and meeting time.
  • The event is associated with the intended named time zone, where the calendar offers that setting.
  • The invitation shows an appropriate local time for you; ask participants to check the time shown on their own calendars.
  • The date and labeled reference city or time zone are clear in any accompanying message.
  • If the meeting is far in the future, you have rechecked it after any relevant time-zone rule change.
