You can often reclaim storage without losing important files by first checking what is taking up space, then reviewing cleanup options before confirming them. Start with your device’s built-in storage screen. Prefer removing temporary files or offloading unused apps; move personal files only after checking that a second copy opens correctly. Be more cautious with cloud photos and app data: some cleanup actions remove local copies or permanently erase data.
Start by checking what is using storage
Open the storage settings for your device and review the breakdown before deleting or moving anything. Built-in recommendations can identify temporary files, large or unused items, and apps that may be safe to remove, along with estimated space savings. Treat each recommendation as a candidate to inspect—not as automatic proof that the item is unimportant.
Menu names and available features vary by operating-system version and device maker. If a path below does not match your screen, use the device’s own Settings search for “Storage” and review the current storage page.
Windows 10 and Windows 11
Go to Settings > System > Storage > Cleanup recommendations. Review the listed categories—such as temporary files, large or unused files, cloud-synced files, and unused apps—and check the estimated savings before selecting anything. Mac
Open the current macOS storage settings and review the recommendations shown for your Mac. Apple notes that storage screens differ in earlier macOS versions, so follow the labels on your device rather than relying on an older menu path. See Apple’s Mac storage guidance.
Android
Start at Settings > Storage and inspect the categories. Google notes that some instructions apply only to Android 14 and later, and manufacturers can arrange settings differently. See Google’s Android storage and file-transfer guidance.
iPhone and iPad
Open Settings > General > iPhone Storage or iPad Storage and review the app list, space usage, and any recommendations. Apple explains the available app-removal choices in its iPhone and iPad storage guide.

Choose cleanup actions that preserve personal files
Begin with items whose purpose you understand, such as temporary files or an app you no longer use. Before confirming a cleanup, read the category description and consider whether it affects files you need, app documents, or offline access.
Review temporary files and system cleanup categories
On Windows, Disk Cleanup lists file categories with descriptions; inspect the boxes before removing anything. Pay particular attention to Previous Windows Installation(s): deleting this category removes the Windows.old files that can enable a rollback to the previous Windows version.
Windows Storage Sense can remove temporary files and Recycle Bin contents, but it works on the system drive. Its default configuration does not manage Downloads or OneDrive and other cloud content unless configured to do so; files marked Always keep on this device are exempt from its management. Check the settings and review other drives separately rather than assuming automatic cleanup covers them. Details are in Microsoft’s Storage Sense guide.

Offload or archive an app instead of deleting it
These choices can reclaim app space while retaining more of the data associated with the app. Availability depends on platform and app support.

Clear Android cache only when it makes sense
Android’s Clear cache action removes temporary data. Clear storage permanently removes all app data. Before clearing storage, check the app itself and verify that anything you need is synced to an account or saved elsewhere. The distinction is documented in Google’s Android guide.

Use cloud storage without losing access unexpectedly
Cloud features can reduce the space used by local copies, but they change how and where files are available. Confirm that syncing or backup has completed before deleting local content, and understand whether the remaining copy requires an internet connection.

OneDrive Files On-Demand on Windows
Files On-Demand can let you access OneDrive files without storing full-size local copies. An online-only file needs an internet connection when you want to open it. This is not automatically a second, independent backup: check the account’s sync status and recovery setup before treating cloud storage as your only copy. Google Photos: free local space only after backup
Google Photos’ Free up space on this device operation removes local photo and video copies. Google instructs users to ensure backup is complete first. After removal, those items may not be available in the device’s built-in gallery or offline; access depends on Google Photos and the backed-up account. Follow Google’s Android instructions for freeing device space.
On iPhone or iPad, Google Photos has its own free-up-space behavior: local copies removed by that operation are accessed through the Google Photos account, app, or website rather than the Apple Photos app, and offline access is limited. Move files only after verifying the second copy
Large videos, downloads, and other personal files can be moved to a computer or external storage to reclaim device space while keeping them. Make the transfer first, then open a selection of the copied files from the destination to verify that the transfer worked. Delete the originals only after you have confirmed the copies and decided whether you need them available on the original device.
Android supports copying files and folders to a computer over USB; the steps vary by device. Google includes file-transfer guidance in its Android storage help. Microsoft also describes external storage as an option for creating space needed for Windows updates in its Windows update storage guidance.
Remember that moving to a holding area may not free space
On a Mac, moving a file to Bin does not reclaim its disk space. The file continues to use storage until you empty Bin, so check its contents before emptying it. Apple also identifies old iPhone or iPad backups as items Mac users may review; keep any backup you may still need. See Apple’s storage recommendations.

A safe order for reclaiming space
- Inspect the storage breakdown. Find the categories using the most space and review the recommendations on your device.
- Choose low-risk items first. Review temporary-file categories and unused apps, reading each description before confirming removal.
- Prefer offload or archive when available. Check what happens to the app’s documents and data before choosing an option.
- Verify cloud backup or sync. Confirm completion and understand whether files will be unavailable offline or outside the cloud app.
- Copy personal files to another location. Open the destination copies before deleting the originals.
- Check whether space was actually reclaimed. Revisit the storage screen; items in a holding area such as Mac Bin still occupy space until removed from it.
