Manage task alerts in Settings > Notifications, and manage individual tasks in Scheduled. For event-triggered tasks, also check the connected app and account, the provider’s permissions, and any workspace rules. These are separate controls: notification settings choose where alerts go, app permissions govern confirmation prompts for an existing connection, and disconnecting an app stops future access through that connection. None of those actions automatically deletes existing chats or saved memories.

Change task notification settings

  1. Open Settings > Notifications.
  2. Choose Push, Email, or both for task notifications.
  3. For browser push notifications, allow notifications for the ChatGPT site in your browser when prompted. For mobile push, use a supported ChatGPT mobile app and grant notification permission when requested.
  4. To change one task’s schedule or status, open Scheduled, select the task, and edit it, pause it, resume it, or delete it. See OpenAI’s Scheduled tasks in ChatGPT help article.

Push delivery depends on more than the ChatGPT preference: the browser or mobile operating system must also permit notifications. If Scheduled is missing from the desktop app, OpenAI advises using ChatGPT on the web. Feature availability and labels can vary by account, platform, and app version.

Review an event-triggered task before it runs

Event-triggered tasks respond to activity in a connected app rather than only running at a chosen time. In Scheduled, open the task and check the connected app and account, trigger and conditions, and instructions. Confirm that the account remains authorized and can access the information the trigger needs. Workspace rules and any action-approval requirements still apply; a task can pause while an action awaits approval.

  • Slack: OpenAI’s task guidance says to add @ChatGPT to every channel being monitored.
  • Gmail: Supported triggers include new messages, with sender and subject filtering.
  • GitHub: Triggers cover supported pull-request activity in authorized repositories on github.com.

Web and supported mobile apps can create or edit event-trigger conditions. The desktop app can show existing event-triggered tasks but cannot create or edit their trigger conditions. For current eligibility and supported services, consult OpenAI’s Scheduled tasks help article.

Eligibility and workspace restrictions

As described in that OpenAI article, event-triggered tasks are available to eligible Plus, Pro, Business, Enterprise, and Edu users and eligible ChatGPT for Healthcare workspaces; Free and Go accounts and FedRAMP workspaces are excluded. Enterprise, Edu, and Healthcare administrators must enable the feature. Healthcare event-triggered tasks are not covered under a BAA and must not be used to transmit, store, or process protected health information (PHI). Managed workspace administrators can also restrict connected apps and event-triggered tasks.

Understand what app permissions do—and do not do

App permission choices determine when ChatGPT asks before it uses an existing connection to read or take an action. Depending on the app and account, choices may include Always ask, Allow read actions, Allow low-risk actions, and Allow all actions. Not every choice is available for every connection. OpenAI summarizes the boundary in its Connected apps in ChatGPT guidance: “App permissions do not grant an app new access.”

The account connected to the app, that account’s provider-side permissions, and workspace policy determine what information or actions are available. Changing a prompt preference does not connect an account, expand its provider permissions, or override workspace rules. Even when an option allows actions without a routine confirmation, sensitive actions may still require approval or be denied.

Disconnect an app to stop future access

  1. Open Settings, then select Apps or Plugins (the label depends on the interface).
  2. Choose the connected app and disconnect its account. The provider may also offer a way to unlink it.
  3. If this is a managed workspace, ask its administrator whether app access or role policies restrict the connection.

Disconnecting prevents future access through that connection; it is not a deletion command for information already present in chats or saved memories. See OpenAI’s Managing app permissions in ChatGPT.

Keep Google app data, Memory, and chat history distinct

OpenAI’s Google app data controls FAQ says a connected Google app can provide information needed for supported requests, subject to Google account permissions and workspace settings. An ordinary Google app connection does not automatically create a personal synced index. An eligible workspace administrator may separately set up administrator-managed Google Drive indexing.

OpenAI’s model-training statements here apply specifically to data directly from connected Google apps and its derivations. The FAQ says generalized models are not trained on that data except when a conversation is submitted as feedback, app data is manually copied, pasted, or uploaded into a ChatGPT conversation, or the data appears in ChatGPT’s response. It also says Improve the model for everyone does not enable training on data accessed directly from connected Google apps; with that setting disabled, app data will not be used to improve models even if it appears as part of a conversation. Do not assume these Google-specific statements describe every connected app; check the applicable guidance for other providers.

When Memory is enabled, eligible information accessed through connected Google apps may personalize ChatGPT, subject to settings and provider-specific restrictions. To review or remove saved information, go to Settings > Personalization and review saved memories. Review and delete relevant conversations separately. Disconnecting Google does not itself remove existing chats or saved memories.

Share a task without exposing more than intended

A personal task-sharing link can be opened by anyone who has it, so review the instructions before sharing. The link is a snapshot containing the task title, instructions, schedule, and original time zone. It does not include the creator’s identity, chat history, prior results, saved memories, custom instructions, attachments, connected-app data, or credentials. Avoid putting sensitive details in task instructions.

The snapshot does not update when the original task changes. Use Copy link in the Share dialog to create a refreshed link. Deleting a link stops others from opening or scheduling from that link, but does not delete the original task or copies recipients have already created. Qualifying managed-workspace links are limited to workspace members.

A recipient who schedules a shared task gets an independent copy, subject to their own account capacity and permissions. To use an event-triggered copy, the recipient needs Work, their own supported app connection, and any required app and workspace permissions. See OpenAI’s task-sharing guidance.

Know the current task limits

OpenAI’s Scheduled tasks help article lists the following active-task limits. These are product limits stated on the current help page, checked October 3, 2026; availability and limits can change, so check the account interface and linked article for current terms.

Plan Active task limit
Free 3
Go 3
Plus 5
Business 10
Edu 10
Pro 15
Enterprise 15

OpenAI also states that Free plans can schedule one-time tasks or recurring tasks no more than once daily, using flexible windows such as morning, afternoon, or night. Hourly recurrence and exact delivery times require an eligible paid plan. Across all event-triggered tasks, the stated maximum is 30 runs per hour and 720 runs per day per user. These figures are OpenAI product limits, not independent performance measurements.

Which control should you change?

Goal Control to use Scope and effect
Choose Push or Email task alerts Settings > Notifications ChatGPT notification preferences; browser or mobile notification permission is also needed for push.
Change, pause, resume, or remove one task Scheduled That task’s schedule or status.
Change how often ChatGPT asks before using an existing app connection App permission settings Confirmation prompts for supported actions; does not expand the account’s provider access.
Stop future access through an app connection Disconnect the app in Settings > Apps or Plugins That connection; existing chats and saved memories remain separate.
Review or remove saved information Settings > Personalization and saved memories; review chats separately Memory and conversations, not app connection permissions.
Limit access to a shared task Delete its sharing link Stops access through the link; does not remove the original or recipient-created copies.

For team tasks, connection scope and controls may differ from personal tasks. OpenAI’s Creating and managing team tasks in ChatGPT explains managed team connections, designated account scope, task permissions, and separation from personal memories and history.
