Start with an official RSS feed, JSON feed, API, or state educator job board; use page scraping only when those options do not cover the vacancies you need. For listings gathered from public careers pages, keep each employer’s original vacancy link and a last-observed timestamp. A listing is evidence that a job appeared online—not proof that the position is still open or that a hire was made.

The examples below focus on the United States. Statewide services vary in coverage and availability, so check the relevant state education agency and each district’s own careers site.

Choose the source before choosing a scraper

Make an inventory of the districts and roles you need, then check each district’s careers page, its recruiting vendor, and the relevant state education agency. Look for an explicitly offered RSS feed, JSON feed, API, or downloadable export before parsing page HTML.

Check for official feeds and APIs

The Illinois Education Job Bank describes RSS posting feeds and says a unique subscriber ID is required (Illinois Education Job Bank). SchoolFront documents RSS and JSON feeds for internal and external postings; an administrator enables feeds in recruiting configuration and shares the resulting URL with a webmaster or technical team (SchoolFront RSS and JSON Feeds). These are examples of supported routes, not evidence that every district or recruiting vendor offers one.

USAJOBS documents search, RSS, exports, and REST services (USAJOBS developer documentation). It is a general federal jobs system, not a substitute for district or state sources when your target is local school hiring.

Check statewide services, but confirm their scope

Several US state education agencies describe statewide educator job boards that aggregate district listings. Indiana says its board automatically aggregates teaching jobs from district websites and was upgraded with Nimble in January 2026 (Indiana Department of Education). Missouri DESE says it launched its statewide educator job board with Nimble in January 2025 (Missouri DESE). Oklahoma also describes district-site aggregation through its statewide educator job board (Oklahoma State Department of Education).

These examples establish that state-level aggregation exists in some places, not that any board covers every district, vacancy, or role. Confirm current coverage and fields with the agency or board before treating it as a complete source.

Build a source inventory and collection plan

  1. List the employers and roles. Record the districts, schools, states, and job categories you intend to cover. Decide whether you need teaching roles only or also substitutes, paraprofessionals, administrators, and support staff.
  2. Find the official route. Follow each district’s careers link to its recruiting platform. Check the state agency’s educator employment pages for an aggregation service.
  3. Ask what the source includes. For feeds and boards, verify the fields, update cadence, pagination, role coverage, and whether listings link back to the employer’s original vacancy.
  4. Record source-specific access details. Note subscriber IDs, feed URLs, API documentation, or administrator enablement requirements, as applicable. Do not assume that a publicly viewable page grants permission for automated collection.
  5. Choose page collection only for remaining gaps. Treat every careers-page parser as a site-specific integration that needs validation and ongoing checks.

A supported feed can reduce the need for page-specific parsing, but the cited feed documentation does not compare ongoing maintenance costs. Choose based on the source’s actual coverage and access terms, not on an assumption that one method is always simpler.

Collect from careers pages when structured sources are missing

A recurring collector can visit a public vacancy page, identify individual job postings, and extract fields such as title, employer, location, original URL, posting date, and description. The method is feasible at research scale: an education research paper describes automated collection across 242 of Washington’s 295 school district websites, with scans twice weekly—usually Mondays and Fridays—from early December 2021 through the end of December 2022 (Institute of Education Sciences study).

That study does not provide a universal parser or establish that all districts use the same platform. A page can be static, generated by a recruiting vendor, or otherwise structured differently from another district’s site. Validate each integration against the actual postings it is intended to collect; do not assume one scraper will reliably cover every school vacancy. The Institute of Education Sciences study notes that modern web-scraping techniques can gather postings directly from district websites at relatively low cost, but that is not a guarantee of completeness or a prescribed collection schedule (Institute of Education Sciences research brief).

Keep collection bounded and respectful

  • Use a feed or API the employer or vendor explicitly offers when one meets your needs.
  • Check each site’s published terms and access instructions. The sources cited here do not establish one legal permission rule for every school website.
  • Do not invent a universal crawl interval. Set a schedule only after checking the source’s instructions and your operational needs.
  • Track failures separately from an empty result: a timeout or parser error must not be recorded as evidence that a vacancy disappeared.

Normalize, deduplicate, and preserve listing history

Different employers use different titles and formats. Normalize records before merging them, while retaining the original source text so that categories remain auditable.

Useful record fields

  • Employer and school: district or employer name, plus school name when the posting identifies one.
  • Role: original title, normalized job category, and subject or specialty where stated.
  • Location: city, state, and any more specific location supplied by the listing.
  • Source and verification: original vacancy URL, source type, first-seen timestamp, last-seen timestamp, and most recent collection result.
  • Posting details: posting date and description, if provided by the source.
  • Identity: a stable record key that helps recognize the same vacancy across repeated scans.

Possible broad categories include teacher, paraeducator, administrator, and principal; subject-area specialties can be stored as a separate field. If the index will support workforce or licensure analysis, the Institute of Education Sciences study recommends aligning role and subject categories with relevant state licensure and employment data where useful (Institute of Education Sciences research brief).

A stable key can use a source-provided posting ID where available. If a source has none, derive a key from stable listing attributes and retain the employer’s URL; treat changed titles or URLs as possible updates rather than automatically assuming a new job. The Washington study reports that its scraper assigned unique IDs on first observation (Institute of Education Sciences study).

Represent freshness without claiming a vacancy is confirmed open

Run repeat scans and retain observation history. Display the original employer link and wording such as “listed on employer site” or “last observed [date/time].” If a listing is absent from a later scan, mark it “no longer observed” until you can confirm its status with the employer or recruiting source.

Do not interpret removal as proof that a job was filled. The Washington study warns that administrators may remove filled jobs slowly or remove unfilled jobs, and that one posting may not map cleanly to the number of positions available. A listing can also represent multiple hires, omit internal transfers, or remain online after a role is filled (Institute of Education Sciences study). A page observation is therefore a useful signal for discovery and change tracking, not a confirmed hiring outcome.

Choose an approach by coverage and maintenance needs

Troubleshoot common collection problems

A feed returns no postings The feed may require a subscriber ID, may not be enabled, or may not include the roles you expect. Check the feed’s setup instructions with the district or vendor; confirm scope and access details before treating the empty response as no vacancies.
